For internal use only What is Redaction Redaction refers to blocking information in a document before releasing it for public consumption. Sensitive government documents, confidential legal documents, insurance contracts, and financial services information are typical examples of documents that are redacted.

For internal use only What is Electronic Redaction While the concept of redaction is simple, the reality of redaction in the electronic age is riddled with pitfalls. Failure to properly redact documents can not only expose sensitive data, it has resulted in litigation.

For internal use only Potential Redaction Pitfalls Visible content At the most basic level, redaction simply involves blocking visible content from view, print, search, edit and copy Metadata Information that is not immediately visible in the content of the document. This includes comments that display on mouse-over, hyperlinks, document properties and previous text revision—even if the changes were accepted. Contextual extrapolation Dedicated ciphers have been able to extrapolate redacted content based on word length and the surrounding content throughout the document.

For internal use only Methods of Redaction Zone / Template Method Zone-based redaction involves removing a particular area or zone on the page of structured documents. Forms are ideal for this type of redaction because the content in the form may change, but the location of that content remains consistent. Text Method Search for a particular text string or a list of text strings. Concerns with this redaction type include variations of word forms such as plural/singular, different verb tenses and misspelled words. Algorithm Method / Pattern Matching The algorithm method is the most intelligent form of redaction and is used in instances where the redacted content changes from document to document but the zone method cannot be used. The software searches for a particular keyword, such as “social security number” and algorithmically decides how much area to redact after that phrase.
