1 Qualifications Portal Guide Personal Development and Employability Qualification

2 Step 1 – Logging In To obtain a login for the portal please contact us at qualifications@princes-trust.org.uk and let us know your name, centre name, centre address and the programme (xl/team/none) that you are running. qualifications@princes-trust.org.uk

4 Step 2 – Getting Started When you first log in you must complete the Fast Track form for your centre. You will also need to have signed a Centre Agreement for Qualifications. Until these forms have been submitted and approved by the Qualifications Team, you will not be able to make entries for your learners. Please do this as soon as possible when you get your login details as it may delay your entries.

5 The Fast track should be completed when you first go into the portal. You will not be able to make entries until this is done. Once you have done this you will not be asked to repeat in future years, however you MUST advise the Trust if any of the details on the form change. You can see your centre details and individual details here. You can edit certain parts but if you are unsure please contact the qualifications team.

6 Once we have received your Fast track and Centre Agreement you will be approved as a centre. You will then have the option on the portal to make your unit and qualification claims.

7 Step 3 – Making Entries Remember – you should only make entries once the work has been completed, Internally Verified (IV’d) and you are ready to have the work Externally Verified (EV’d) by The Prince’s Trust. Entries can be made at any time and will automatically fall into the next EV window. Details of the EV window deadlines can be found on our website.website

8 Click on ‘Make claims for Scotland’ to enter your learners

9 All sessions registered on a Prince’s Trust programme and linked to your centre will be listed (there may be some older sessions but these will disappear over time – 1 year after completion). Click on the relevant session to make your entries. Scroll through the pages or choose a column to sort by

10 Learners registered in the session will appear in the table If you have a large cohort there may be more than one page of names You should ensure we have a SCN for all learners – if any are missing please email them to us at qualifications.scotland@princes-trust.org.uk qualifications.scotland@princes-trust.org.uk

11 To make entries for a learner click on the drop down boxes and select the level. You should scroll across to see all units available.

13 Keep scrolling along to find the Qualifications. Tick the box to enter learners for a qualification. They will be blanked out until you have selected enough unit credits to meet the minimum required – rules of combination apply and eligibility will be checked by the qualifications team before qualifications are awarded.

14 Once you are happy with your entries you can “save” (which will keep them on the portal for when you log in next time, or “submit” which will formally make your entries.

15 Once you have submitted a payment screen will appear. This will appear for all centres (even those who pay through the local authority) please select a payment method and continue. Press proceed when the message appears. Invoices are not automatically processed by the portal –this is a separate manual task. You will only be invoiced directly if this applies to your centre.

16 Step 4 – Sample Requests Sample requests are made by the specified deadline as per the dates on the Qualifications website. It is the centre’s responsibility to check for their sample requests and ensure the work is sent for External Verification before the deadline.website

17 To view your sample request: Click on ‘Sample requests and results’ and then Advanced Search

18 Select the session(s) you want to see information for and press “search”

19 Units will show as: Entered – in pink Sampled – in yellow Failed - in red Passed – in green with the Level and qualification code showing NOTE: Sampled units are those that need to be sent to Prince’s Trust Qualifications for EV.

20 Qualifications will show as either entered or if the SQA Accreditation Qualification Code is showing this denotes a Pass. You can export the data to excel for your records

21 Remember:  When submitting entries if you do not fully complete the payment process then your entries will not be made.  You should check your entries once they are made either by going through the “Sample Request and Results” part of the portal or by going back into the “Make claims for Scotland” (the entered levels and units will be greyed out and you wont be able to make changes). Any errors must be highlighted to The Prince’s Trust Qualification team immediately before samples are requested.  It is a centres responsibility to check the portal for sample requests which will be available by the specified deadline. Failure to send samples to us by the deadline will lead to your entries being failed. Deadline details can be found on our website and it is a centres responsibility to adhere to these.
