Who approves changes to an existing programme? Some programme changes must be approved by the relevant University Board while other programme changes may be made within Schools in consultation with or with the approval of the relevant Programme/Graduate Board. You may contact programmes@ucd.ie at any point for clarification and advice. Timelines for University Board approval: For undergraduate programmes, in order to meet CAO deadlines, it is necessary for certain programme change proposals to be submitted at least 18 months prior to the implementation of such changes to these programmes (e.g. change to entry requirements). For further advice, please email programmes@ucd.ie.programmes@ucd.ie University Board Approval – In the first instance your proposal, as per the completed Form B, must be reviewed and approved by your Programme/Graduate Board. Where your proposal also needs University Board approval, your Programme/Graduate Board will submit your proposal to Academic Secretariat for consideration by the University Undergraduate Programmes Board (UUPB) and/or University Graduate Programmes Board (UGPB). Where UUPB/UGPB raises queries regarding a proposal or where a proposal is not approved, Academic Secretariat will contact the relevant Programme Board following the meeting. UUPBUGPB Implementing your changes – Changes to existing programmes where the change required UUPB/UGPB approval can only be implemented when the proposal has been formally approved by UUPB/UGPB. 3 There are a number of changes to programmes, majors, minors and modules that do not require approval by the University Undergraduate Programmes Board (UUPB) or the University Graduate Programmes Board (UGPB) before they can be implemented. Such changes, which may be undertaken within Schools in consultation with the relevant Programme/Graduate Board, include the following: Module Changes: ۰ Creation of new modules ۰ Change in titles for existing modules ۰ De-activating modules Programme Structure changes: ۰ Replacement of modules ۰ Change in ratio of core:option ۰ Change in descriptive text informing students about module choices ۰ Introduction of full-time or part-time option for existing programme, or online delivery of programme (i.e. change in mode of delivery) ۰ Creation of a stream (or streams) within a major (i.e. structuring optional module choices) UUPBUGPB FOCUS ON: PROGRAMME REPORTS TO THE DEPARTMENT OF EDUCATION AND SCIENCE On an annual basis, UCD must report its programme offerings to the Department of Education and Science. Academic Secretariat is responsible for communicating this information to the Department. While the introduction of full-time or part-time options for existing programmes, or change in the mode of delivery, do not need University Board approval, all such changes must be communicated to Academic Secretariat to ensure the accuracy of this report (it is important to note that this report informs decisions around student visas). This information is normally communicated by your Programme School Liaison to Academic Secretariat.
