3 SOAR checklist DateTask 8 -15 March School Management  Confirm or amend school details  Add the name and contact details of the NAPLAN coordinator Student Management  Check the roll class groupings (Roll class determines the order of packaging of test books.)  Confirm student details (check that the number of students is approximately correct and the students listed are in the right year) April - May Student Management  Register new students who enrolled after the data extract  Delete students who have left the school

4 SOAR checklist DateTask 10 May Assessment Roll  Print the assessment roll for each class and for each NAPLAN test  Supervising teachers aware of procedures for completing the roll 11-13 May Assessment Roll  Distribute assessment rolls with the test materials  Teachers record student name and barcode for any spare book used  Collect rolls, confirm absences, exempt, withdraw, special provisions Student Management Before Check in, ensure you have deleted all students who have left your school, added any new enrolments and added visiting students. Check in  Step 1 - identify all absent, exempt or parent withdrawal students  Step 2 - identify barcodes for all students who used a spare book  Step 3 - identify all students who accessed special provisions  Step 4 - count all completed books and match the number in SOAR 14 May Check in  Step 1 - Update from ‘absent’ to ‘present’ for catch-up students Check out  Complete Check Out, use return labels and Australia Post

6 Term 1’s tasks – new features include: Student management Visiting students will be indicated in new column Confirmation of student details can be arranged, so test books will be printed with correct student information SOAR 2010

7 In Term 1 principals or their delegates will use the School Online Assessment Registration (SOAR) to: update school details, including the name of the NAPLAN coordinator access and check the approximate number of registered students amend or delete the roll class groupings (the order in which test books will be packaged) confirm the student cohort of data. 8 In Term 1 principals or their delegates MAY use the School Online Assessment Registration (SOAR) to: amend, add or delete students who have left the school indicate students who are exempt from testing register new students who enrol after data is extracted SOAR 2010

9 Term 2’s tasks – new features include: Assessment roll Lists of students will include: –enrolled students –visiting students –late registered students The rolls will be available in Week 2 SOAR 2010

10 1.In SCHOOL MANAGEMENT a) check school details – school name, school address b) add the name of the NAPLAN coordinator c) save the changes. To have students’ details printed on the NAPLAN test books:

11 2. In STUDENT MANAGEMENT a) check the number of students is approximately correct b) check the students are in the correct year For example, if Year 10 are listed instead of Year 9, email naplan.nsw@det.nsw.edu.aunaplan.nsw@det.nsw.edu.au

12 c) check whether test books are to be supplied alphabetically by YEAR or in separate CLASS groups For example, if Mathematics classes are to be used, the Mathematics class will replace Roll Class

13 d) confirm the school and student details are correct If schools have time and they would like to, they can also look at students’ details and amend any errors BEFORE confirming the student details This is the last slide for experienced SOAR users. Please press ESC.

14 SOAR will run on PCs using Internet Explorer V6 or higher and on Macs using Safari or Mozilla Firefox. The SOAR URL, school username and school passwords will be sent in a sealed letter to the Principal in early March. To start, enter the URL into your web browser and type your username and password. 16 A navigation menu will appear on the left of the screen. The Term 1 menu items are: 1.Notice Board 2.School Management 3.Student Management 4.Update Password Term 1

17 The Notice Board is used to provide information to schools participating in NAPLAN. Notices

24 Student details are available in the Student Management Screen. When you enter this screen, first choose the Year group (cohort). Student Management Screen Student details

26 If Display all students is chosen (ticked) then all students’ names in that Year group are shown on the screen, rather than the default of 10 students per page. Use the scroll bar on the right to navigate down the page. Display all

28 If a student’s details are incorrect (e.g. name is spelled incorrectly or the gender is wrong), use the Edit option to open a student’s record and amend the details. When you open a student record it will be shown below the full list of names displayed on your screen. Use the scroll bar on the right hand side of the screen to navigate down to the individual student’s details. Edit student details

30 The Delete option will remove a student completely from your school records. This should only be used for individual students who have left the school permanently. Delete student

32 Underneath the student details are the buttons: Add a Student Visiting Students Reject all Students Delete all Roll Class Data Update all Roll Classes. Changing details

34 allows you to provide details of newly enrolled students not registered in the SOAR system. Again, note that the Add a student section opens below the other information on your screen. Add a student

36 Note that country of birth, main language and parent details fields have auto-complete drop down menus to assist you. Auto complete

38 allows you to enter details of students who visit your school to complete NAPLAN tests but who are not enrolled in your school. Visiting students

40 is used to indicate that the entire data set for a Year group is incorrect i.e. students not from your school or the wrong Year group. Reject students Please email naplan.nsw@det.nsw.edu.au to notify us of the error, so we can arrange to fix it.naplan.nsw@det.nsw.edu.au

41 You will see this alert if you choose to Reject All Students: Reject students

42 If Reject All Students is used mistakenly, there is a restore option available. The restore option becomes visible only after students have been deleted and you filter for Deleted students. Reject students

43 and are used to indicate how you want your test books sorted for delivery. If no roll class data is entered, test books will be sorted alphabetically by Year group. If roll class data is present, test books will be sorted alphabetically within roll classes. If your school uses vertical roll classes which would result in many packages of books with only a small number on them, you will see a message alerting you to this and asking you to change the data. 44 You will also receive an alert when you choose Delete All Roll Class Data. Delete all
