Examples of types of emails to put in project folders: To review with your supervisor For ongoing projects where there is a need to visit the folders regularly For day-to-day processing, i.e. printing, data entry To read later or keep on hold (information only, no action required) Project folders: Getting started

6 6 © 2015 Atrendia - The leader in eemail management Click on the LeanMail tab/Options In the Project folders count dropdown menu, choose 3 or 6 You can show up to 6 folders on the toolbar. (Next version with have up to 12) Project folders: Viewing Project folders

7 7 © 2015 Atrendia - The leader in eemail management Examples of Project folder names: Executive Team Print John Smith (your boss) To rename a Project folder: 1.Click on the drop-down arrow to the right of the folder icon and choose “Rename Project folder 1”. 2.Enter ”Read later” (or another new name) 3.Restart Outlook for the changes to take effect. 8 8 © 2015 Atrendia - The leader in eemail management To add an email to a project folder select an email in your Inbox or anywhere else and click on the Project folder of choice. To add a note and a Next action before moving the email, click the drop-down arrow and choose : To archive an email in the LeanMail Archive with the Project folder category, Click on the drop-down arrow and choose: Project folders: moving mails to project folders

9 9 © 2015 Atrendia - The leader in eemail management When emails in a Project folder are completed Delete Archive with InstantArchive button Retiring Project folders: Rename to new project name – after all mails are removed Rename to ”Available” or another word designating that the folder is not being used. Project folders: Renaming

Do’s: Use for ongoing projects Use for specific people you meet with regularly Don’ts: Don’t use as archives (If a email no longer requires actioning - archive or delete) Don’t use when you have a set date of action. Project folders: Do’s and Dont’s

11 11 © 2015 Atrendia - The leader in eemail management Archiving mails with a note If you look closely at your LeanMail toolbar, you will notice that the blue button that was used to instantly archive a mail with the category ”Read” has been changed. You are now able to instantly archive a mail with a note instead. This helps you distinguish the mail from all the other mails with the same category in your LeanMail archive. The ”Note” is the same as a Next Action so if the mail already has a next action and category, it will be archived directly

Choosing LeanMail will take you to our support page where you can download documents about LeanMail and read FAQ’s.

15 15 Customizing your dashboard © 2015 Atrendia - The leader in eemail management The LeanMail add-in includes a dashboard so that you can monitor your daily progress. To take advantage of this functionality you will need to create an anonamous alias and add your work hours so that it can begin to gather data.

16 Click on LeanMail button/Dashboard to access your dashboard in your inbox 16 © 2015 Atrendia - The leader in eemail management The LeanMail Button: Dashboard Clicking on the LeanMail button and choosing dashboard will open a series of charts in your Inbox which will help you see your progress. Soon you will be able to control what charts you see. This feature is being upgraded continuously. You will see receive changes without the need to upgrade the add-in.
