2 Why Barcoded VUNet IDs are Needed New glucometers coming Monday, October 28, 2013 Requires a VUNet ID to authenticate the user running the test – In the past, we have scanned barcodes, but the new glucometers do not accept this old ID. – A VUNet ID can be manually entered VUNet barcodes can also be used to scan into POU system – POU cards will no longer be provided to new employees or for replacement after November 1 st

3 How to Generate a Barcoded VUNet ID You will need: A list of staff who need barcodes A valid VUNet ID for each – You can get the VUNet ID from VU Mail system if you don’t have already MS Office Excel To print a barcode from Excel, you must download a new FREE font from the web. – Instructions follow Contact LAN Manager if you do not have administrative rights to add software to your AWS or if you need assistance to complete – Call 3-HELP/3-4357 or submit a self service request via Pegasus http://helpdesk.mc.vanderbilt.edu/ http://helpdesk.mc.vanderbilt.edu/

6 2. Highlight VUNet ID column Steps to Generate Barcoded VUNet ID 1. Enter name and VUNet ID on Excel worksheet 3. Scroll fonts list to select IDAutomationHC39M barcode font 4. barcode VUNet IDs will display & can be printed Helpful Hints: There must be an asterisk (*) before and after each VUNet ID The row height of rows with barcodes will automatically resize after you convert from a traditional to barcode font. Once you print the page of barcodes, you will have to carefully cut them apart to maintain the integrity of the barcode. Leave the lettered barcode visible below so you will know which barcode goes to each staff member:

7 Key points to remember Barcodes deteriorate over time, plan to replace annually Cover barcode with a piece of transparent tape to extend the legibility Avoid placing barcode over magnetic strip on photo ID badge. (See photo next page for placement options.)

8 One ID Badge? Secure barcode on back of the badge between opening at top and magnetic strip at bottom Two ID Badges? Secure barcode at bottom of the back of the ID badge without the magnetic strip.
