âSetting up the Presentation êNovice êIntermediate êAdvanced âUsing Features âTransferring the Presentation âDesign Considerations : Outline

Setting up your Presentation ÞNovice ÞIntermediate ÞAdvanced

For different levels of expertise there are different options as to how to begin your presentation. : Using (3 levels) Setting it up:

For those wanting a little more direction and structure using the wizard is best. Move through each step and answer the questions according to your needs. : Using (wizard) Novice:

: Using (templates) If you feel that you need little guidance but do not want to design your own templates you can choose to use an existing presentation template. Intermediate:

: Using (master) If you want to be free to design a completely original presentation then you should experiment with a blank presentation. The slide master can be used to create your own unique templates. Advanced:

Features ÞDisplay Information ÞCatch Attention ÞElaboration

: Dressing it up (images) It is important that PowerPoint functions are not over used. Use special features only when they will add to your presentation. (view -> toolbars) Features: Adding Images - clip art (insert -> picture) - pictures from file (insert -> picture)

: Dressing it up (images 2) - graphs/charts (insert -> chart) - tables/worksheets from Microsoft Excel/Word (insert -> picture) - use drawing tools (view -> toolbars -> drawing) Adding Images Features:

: Dressing it up (alterations) - Power Plugs (downloaded from the Internet) - Shadow Features: (insert -> picture) (drawing tool bar) Text and Image Alterations

: Dressing it up (animation) Animation Effects (including Power Plugs) (slide show -> custom animation) - use with discretion Too much movement is distracting and annoying! Features:

: Dressing it up (links) Hyperlinks (insert -> hyperlink) - Useful for giving examples and for increasing the potential for viewer interactivity. - exampleexample Features:

Transferring the Presentation ÞTransparencies ÞPack and Go ÞHTML

: Transfer (transparencies) Transferring the Presentation: Once you have completed your presentation you must consider how you will be transferring the presentation to the classroom. Several options are possible: 1. Print the slides out and have them made into transparencies. - buy printer transparencies - copy shop in SUB

: Transfer (pack and go) Transferring the Presentation: 2. Use the “Pack and Go” utility under “File” to transfer your presentation onto disks. - simple to follow wizard - may use more than one disk - enables presentation to be uploaded on any computer - take disk to copy shop to have transparencies made (saves paper)

: Transfer (HTML) Transferring the Presentation: 3. Save the presentation in HTML format so that it can be accessed via the Internet. - post on Internet - use FTP file transfer Note:For links to work effectively it is best to use a presentation saved in HTML format. DO NOT LEAVE TRANSPORT OF THE PRESENTATION TO THE LAST MINUTE!

Design Considerations ÞContent over Design ÞSimplicity ÞOutline of Ideas ÞAppease the Audience

: Content - outline the essentials (use mini goals) - be insightful and interesting - ASK QUESTIONS! - make your point clearly and concisely Is the Content Clear?

: Consider (slides/overheads) 1. Will you use slides or overheads? - Overhead transparencies must have lightness contrast. Dark backgrounds are hard to print and do not display well with an overhead projector. Not enough light to dark contrast. - Slides are easier to view in the dark with dark backgrounds. To keep your viewers from falling asleep use the lightness contrast and adjust room lighting accordingly. Consider the following:

: Consider (colour) 2. Colours can reflect content. - Using bright colours gives your presentation a more relaxed feel. - Light backgrounds with simple template designs tend to appear professional and elegant. - Try not to use opponent colours. Blue - yellow and red - green combinations should not even be placed together on the same slide. Consider the following:

: Consider (fonts) 3. Use text/fonts wisely. - Always use large fonts (24 -> up) when presenting. - Fill slides no more than halfway. - Fonts that are too abstract may be difficult for viewers to read. - Do not use too many different fonts. Consistency is good! Consider the following:

: Consider (clutter) 4. Clutter is bad! - Use features like movement, shading and graphics sparingly. - A viewer can easily become lost in a vast display of moving items and unnecessary graphics. - Do not put more into a slide then it can handle. Always leave blank space around the outside edges of a slide. Consider the following:

: Consider (centre) 5. Centre, centre, centre! - Centre all text so that the viewer always knows where to look. Remember, consistency! Consider the following:

: Consider (simple) 6. Simplicity is good! - If you spend more time designing your presentation than preparing your content there is a problem. - Remember, the point of a lecture is to effectively teach a lesson to the class. - Use a similar template for all lectures. Design must not take away from content! Consider the following:

: Consider (expertise) 7. Personal level of technological expertise. - If you do not feel secure about transferring a presentation to another computer then stick with overhead transparencies. - Always have a back up plan! Computers do fail and you do not want to be left unable to present your lecture. Consider the following:

Design (a very bad slide): This is a slide that could drive anyone insane! The Most Awful Slide I Could Create Can you even understand what some of the text says? Would you really want to WOW your audience like this? HEADACHE YET? GARBAGE

: Questions QUESTIONS?

: Evaluation Please take a moment to tell me what you thought of this workshop. Evaluation Note: There are two questions on the back of the survey.
