1 How-to Use iLab Solutions software within Auckland Science Analytical Services in the Faculty of Science, the University of Auckland Auckland Science Analytical Services March 2015

2 From November 12 th 2014, the University of Auckland has been using iLab's equipment and service management software, an on-line system to streamline the process of ordering and billing for core service requests. A one time registration is necessary to set up your account to place service requests in iLab. To register for an account: 1.Go to https://asas-centres.ilabsolutions.com/account/login to login and register.https://asas-centres.ilabsolutions.com/account/login 2.Select your institution (typically the University of Auckland) from the drop down list. 3.Log in with your UPI or UID and password. 4.Upon successful authentication, you will be prompted to select you PI/lab from the pull down list and provide your phone number. 5.Submit the completed registration form. Submission will notify you PI and /or lab manager of your lab membership request. 6.You will be sent an email with basic instructions on using the system. If you are a post graduate student or a professional member of staff, your lab membership request will also need to be approved by your PI or delegated Lab Manager and you will need to have been assigned a Project ID to charge your work to. Hover-over this link and select your lab to go to your lab management page. Logging in:

8 Select the “University of Auckland” option from the drop down menu. Registering in iLab:

9 PI’s Responsibilities in iLab: As a Principle Investigator (PI), you have some new responsibilities necessary to enable your researchers to order service from the centres and to reserve equipment, specifically: 1.Accepting users into your lab. 2.Adding available funds ("Project IDS") to your lab. 3.Assigning funds to lab members. 4.Approving certain core service requests. 5.Managing lab members and their respective authorities.

22 Viewing Your Requests:

23 Accepting a Quote 1.Once the core has reviewed and approved your request, the core may provide you with a quote or cost estimate by email. 2.The email will contain a summary of the request with a direct link to your request where you can review the request including milestones and any anticipated charges. 3.When you are ready to approve the quote you can click on “Agree” on the right hand side of the quote. At this time you may be able to update your payment information, if necessary, and even set a different amount you agree with. 4.Once you click on “Agree”, the core will be notified of your intention to continue with the work, and will notify you when work begins on your project and at other important milestones, including project completion.
