2 Practical ideas and advice on:
the benefits of delegation – for you and others how delegation can make your time more productive how to do it, what to delegate, and who you might delegate to key stages of effective delegation – including letting go! potential pitfalls, trip hazards and barriers – and how to avoid them.

3 Delegation ‘An empowered organisation is one in which individuals have the knowledge, skill, desire and opportunity to personally succeed in a way that leads to collective and organisational success.’ Stephen Covey, author of ‘The 7 Habits of Highly Effective People’

4 No ‘I’ in leader? The leaders who work most effectively, it seems to me, never say ‘I’. And that’s not because they have trained themselves not to say ‘I’. They don’t think ‘I’. They think ‘we’; they think ‘team’. ‘They accept responsibility and don’t sidestep it, but “we” gets the credit…. This is what creates trust, what enables you to get the task done.’ Peter Drucker

6 Collaborative behaviour
Collaboration: is a working practice whereby individuals work together to a common purpose to achieve business benefit. Along with the technical competencies on the previous slide, we have the six principal behaviours required to be effective in the school business management profession (Purple inner circle) The values and ethics of school business management are also explicitly set out as part of the framework. – outer circle NASBM PROFESSIONAL STANDARDS [2015]

7 Collaborative Tiers Tier 1: Establishes constructive, collaborative relationships with colleagues in the team Tier 2: Builds beneficial relationships, actively listening and gaining respect and confidence Tier 3: Forms collegiate relationships with a diverse range of internal and external stakeholders Tier 4: Builds internal and external strategic relationships for the overall benefit of the school/trust

8 Delegation – but it’s quicker to do it myself!
I just never have enough time I really ought to delegate some of my work I can’t ask anyone for help when they are so busy No one else will do it half as good as I do it I suppose I could show them how to do it Invest time

11 Set the culture for delegation
Create a cohesive sense of values and direction within the team. Don‘t let your colleagues think you know all the answers. Don‘t be a hero – ask for help. Transfer some of your own decision-making powers to others. Share responsibility and accountability with colleagues. Coach colleagues to give them confidence in their own abilities. Provide supervision and resources to support the team. Explicitly recognise where delegation is already happening (e.g. financial management). Set up processes and systems that explicitly include delegated tasks and responsibilities. Ensure procedures manuals are in place.

12 Barriers, pitfalls and trip hazards

13 Lack of respect within the team/organisation...

14 You/team not effectively managing workload...
1: IMPORTANT/ URGENT DO NOW Emergencies, crises, staff issues, problem resolution, Not Urgent activities left to the last minute 2: IMPORTANT/NOT URGENT PLAN TO DO – and DELEGATE other tasks Planning, system and process development, networking, research, 3: NOT IMPORTANT/URGENT REJECT & EXPLAIN – to ensure able to take on DELEGATED tasks Trivial requests from others, ad hoc interruptions (‘could you justs’), others being disorganised 4: NOT IMPORTANT/NOT URGENT RESIST AND CEASE Gossip, s, embellishment, over production, activities no longer adding value From Businessballs.com

15 I can’t delegate because...
not enough time – we already know we have to INVEST time work is not completed to the required standard work is not completed in time colleagues resent me ‘dumping’ work on them I am a control freak! Work not completed to required standard – a) does it matter – to anyone but you? B) whose fault is it? Could be yours c) review with them what went wrong and learn Work is not completed in time – a) does it matter – to anyone but you? B) whose fault is it? Could be yours for procrastinating before handing over the job, or yours because you didn’t ensure they understood the urgency of the deadline, or yours because you didn’t look at their workload and help them prioritise Colleagues resent me dumping work on them – a) do they really, or is this just in your mind/an excuse not to delegate? B) why do they resent you? Are you now working collaboratively? C) How can you work with them team to ensure a more collaborative and cohesive workforce?
