2. Printing Forms Because the editing process is open until 10 days before the event, Student Intent and Artwork Identification forms, Student Agreement and Artwork Release Forms and Digital Media Documentation forms can not be printed until after the final editing deadline. Please review these documents for errors immediately after the 10 day deadline. Report any errors to your Regional Director immediately.

3. Printing Forms Print forms and distribute to students. You will print the following forms: Student Intent and Artwork Identification Form Student Agreement and Artwork Release Form Digital Media Documentation Form The Student Agreement and Artwork Release Form will need to be sent home for parent signatures.

6. Student Intent and Artwork Identification Form Please have students indicate if they took the pictures themselves, if it is a student-directed photo taken by another student or internet source. Remember the main focal point should be an original student source. Teacher photos are not allowed.

7. Student Intent and Artwork Identification Form If this area is blank, the qualifier will ask the student for this information.

8. Student Intent and Artwork Identification Form Pre-printed information at the top of the form should not be altered by the student or teacher. Students will complete the five questions prior to attending the event. The teacher will also sign and date this form.

9. Student Agreement and Artwork Release Form The Student Agreement and Artwork Release Form will need to be sent home for parent signature. The teacher will also sign this form.

10. Digital Art & Media Documentation Form Any digital entry must be accompanied by a Digital Media Documentation Form. This includes entries classified as: Digital Photography Digital Photo Enhanced Graphic Design-Digital Digital Art and Media—2D and 3D still images, 2D and 3D animations, interactive media

11. Digital Art & Media Documentation Form The teacher will also sign this form. Don’t forget to print your Digital Media Documentation Forms.

12. Artwork Specifications 2D Artwork: Textiles, canvas paintings, shaped canvases, wooden panels and cardboard do not require mats, but must be equipped for hanging.

13. Artwork Specifications 2D Artwork: All other 2D artworks must be matted or mounted with white or black mats/mounts.

14. No color mats. No liners or additional inner mats are allowed. Artwork Specifications

15. 2D Artwork: Artworks can be flush mounted to a sturdy board, such as foam board, mat board or cardboard as long as it is able to stand alone without other means of support. Artwork Specifications

16. No frames, glass coverings, or acetate will be accepted in the presentation of artwork for merely enhancing the work. Artwork Specifications

17. Frames, glass and acetate used for the purpose of holding or containing media are acceptable. Artwork Specifications

18. 3D Artwork: Sculptures do not have to have a base, but if a sculpture has a base, the base must be attached.

19. Installations not attached to a base must meet all size specifications and the student must set up and dismantle the installation. Artwork Specifications

20. Originality and Sources Secondary references must be attached to the back of the artwork. Secondary references are images that students use to assist with accurate representation of subject matter, and not for the purpose of direct copying. Secondary references may include but are not limited to magazines, textbooks, downloaded images, photo files, family photos, etc.

21. Originality and Sources In this student artwork, the source of the main focal point, the female figure, was a photo taken and directed by the student. The background images, the cameras, were drawn from secondary references of several cameras found on the internet. The images were not directly copied, changing positions and composition several times. All references, both student photo and internet references, were attached to the back of the work.

22. Originality and Sources If a student uses more than one reference, all should be attached to artwork. Student photographs, student sketches, student-directed photographs, and any additional secondary references used to develop an artwork by non mechanical means will only be allowed if all reference materials are attached to the submitted artwork. Black and white photos are preferred.

23. Originality and Sources If a student worked from their imagination or direct observation and used no photo sources, pictures do not need to be attached to the back.

24. Preparing for the Event It is the responsibility of the teacher to appropriately supervise all participating students. All teachers/sponsors are required to be present during the check-in and checkout process, and to complete any necessary documents and paperwork. Preparing your students as well as their artwork for the event is essential.

25. Documents There are 2 documents produced from the VASE website that must be attached to the artwork: The Student Intent and Artwork Identification Form The Electronic Media Documentation Form (computer-generated work only)

26. Student Intent and Artwork Identification Form Each 2D artwork entered must have an official Student Intent and Artwork Identification Form securely taped to the center back of the artwork.

27. Documents Attached to the Box and 3D work 3D artwork, textiles, and stretched canvas must have a Student Intent and Artwork Identification Form glued or stapled to stiff board and tied to the artwork with string or wire. A copy must be glued to the outside of the packing box.

28. Photograph on the Box An 8 1/2” x 11” photo of the artwork must be attached on the outside of the box of any 2D or 3D artwork Picture can be digital, 35 mm or a photocopy.

29. Handling Artwork Care should be taken when preparing student artwork so that it is constructed in a manner that is sturdy enough for movement and handling. At the qualifications area and in the juror’s presence, the students will be held responsible for moving, handling and unpacking his or her own artwork.

30. Handling Artwork However, after an artwork has been judged, it will go through a sorting process, and then possibly be put out for display. This process will not involve the student or teacher. Therefore, artwork should be constructed and packed to be moved and handled by several volunteers.

31. 3D Artwork: Artwork must be transported to the juror in an enclosed sturdy box with adequate packing materials, suitable for shipping. Boxes must have the ability to be completely enclosed. Protecting Artwork

32. 3D Artwork: Boxes must be enclosed and made of corrugated cardboard or wood. Adequate packing material for shipping must be included. The box pictured here is not suitable for shipping and is, therefore, unacceptable. Protecting Artwork

33. Packing Materials: Adequate packing material for shipping must be included, such as bubble wrap or air pillows. Protecting Artwork

34. Packing Materials: Loose materials such as foam peanuts or individual newspaper pieces are discouraged. Protecting Artwork Making “pillows” with bagged peanuts is a good practice.

35. 2D works with relief or protruding parts from the surface should also have an appropriate box with packing materials. Protecting Artwork

36. All 2D artworks are required to have a protective fold- over/flap cover to protect the artwork. Acetate sheets are not allowed because they interfere with photographing the artwork.

37. At the Event The student will come to the qualification table with his artwork and a Juror Rating Form which he received at check-in. The information at the top of the form must match the information on the top of the Student Intent and Artwork Identification Form that is attached to the artwork.

38. At the Event Some students will have 2 works of art and will, therefore, have 2 Juror Rating Forms Review the information on the top of each Juror Rating Form and each Student Intent and Artwork Identification Form. Remind the student to keep the proper Juror Rating Form with the appropriate artwork.

39. Repairs and Modifications During the qualifications process, many artworks are found that do not meet qualifications for various reasons. If a work can be modified on location, the student with the assistance of a teacher will be allowed to make modifications for qualifying. For liability reasons, supplies, such as mat cutters, fixative, glues, and utility knives will not be provided for repair. Please be prepared! Bring any supplies of your own that may help with last minute repairs or modifications.

40. Qualifications If an artwork is questionable at qualifications, the Qualification Foreman will discuss the qualification issue with the teacher, not in the presence of the student. For this reason, it is important that all teachers accompany their students through the qualifications process.

41. During the Juroring Process Students will be assigned a room and time At the top of their Juror Rating Form. These are approximate and may change. Students must go to their assigned room within 10 minutes of their scheduled time. Teachers and parents are not allowed in the juror rooms or hallways will students are being jurored.
