8 Three Account Types: Adults SchoolMail Account Types Customer Administrator: manages the overall SchoolMail district application. May create all accounts (school-administrator, teacher, moderator, student and parent), add schools, define grades and set policies for users. Grants privileges to school- administrator. School-Administrator: can make changes for users only in schools where access has been granted. Teacher: any adult member of your school community, including educators, media specialists, counselors, principal, etc. Learning Objective: Understand the different account types

9 Three More Account Types SchoolMail Account Types Moderators: Moderators oversee communication to and from students, and one is assigned to each student account. This role augments technology filtering to ensure that the communication is appropriate and on task. Student: Only for students in your school/district. Filters and access parameters are set for all student communication and define who and how the student may communicate. Learning Objective: Understand the different account types

11 Accessing Your Webmail Account To access your email, click on Inbox from your homepage, after signing in with username and password Learning Objective: Understand how to access your teacher webmail account

12 Composing Email 1.Click Compose 2.Enter email address in To: field or select from Addresses 3.Add a subject in Subject: line 4.To send a file, click Attachments and pick file 5.Select your email signature using Signature drop-down list 6.To keep a copy of your message, check the box next to Copy outgoing messages to my Sent Items Folder 7.Click in the message text box area and begin writing your message 8.Save Draft to finish and send later 9.To translate, pick the language you want to translate into and then click Translate 10.Click Send to deliver your message Learning Objective: Understand how to compose an email

13 Address Book ePals Address books populates all school contact groups and my students group directly from the information provided by the district when accounts are being created. Learning Objective: Understand how to Add/Delete Contacts in Address Book

14 Personal Contacts Group Personal contacts group allows you to create and store your personal groups and information including names, email addresses, street addresses and phone numbers, individually or in groups

16 Address Book: Group Contacts Learning Objective: Understand how to Group Contacts in Address Book “Add Mail Group” allows you to create a mail group so you can select addresses from your address book to add to the group Click on “Add Mail Group” and you will be presented with an “Add Mail Group dialogue box.

17 Signatures Learning Objective: Understand how to use a Signature on your email Signatures appear at the bottom of every email that you send. They can say who you are and what you do. Some people like to include a quote or saying. You can have multiple signatures available. If you have more than one signature, you can choose which one you want to use on the compose screen as you are writing an email. 18 Creating a Signature Learning Objective: Understand how to Set up a Signature 1.Click Settings 2.Checkmark Use Mail Signature 3.Type a name in the Name this signature small text box 4.Click Save Setting or Save and Close. (Or click Cancel to exit) ✓

19 Auto-Reply You may want to send a automatic reply to people who send you an email message when you are on vacation For example, you may wish to let people know you are gone, and when you will be back to check your messages, during academic breaks or when you are on vacation Learning Objective: Understand when to use an Auto-Reply

20 Setting Up an Auto-Reply 1.From your Webmail Toolbar, click Setting 2.Click the checkbox next to Turn Auto-Reply On 3.Type the message you want sent automatically to respond to your email messages 4.Click Update button at the bottom of the screen 5.Click Save Settings or Save & Close Learning Objective: Understand how to set the Auto-Reply ✓

22 The safety and security key is found at the top of all SchoolMail365 users’ homepage. This area contains your Safety and Security Key. The symbols within your Safety and Security Key tell users who they may email and what safety filters are applied when sending and receiving messages. Safety and Security Key

23 SchoolMail365 allows you to both moderate and monitor your student email accounts. Students will be assigned to moderators for the purposes of monitoring mail. Moderation enables you to: Safely bring email technology into the classroom. Preview students’ outgoing email messages, including attachments. Ensure that messages are appropriate to age, setting and context. Safely integrate student email in appropriate, educational ways. Moderating Student Email

24 Moderate vs. Monitor Moderated mail requires the moderator to take an action on the message before it can be delivered to its recipient. Actions required are “Approve” and “Delete”. Email in the moderation queue can also be forwarded. Monitored mail is sent requiring no human intervention. These messages are stored in the “Monitored Mail Folder” and the Moderator can review these messages at any point.

25 Moderate Mail Queue Another way to access the “Moderation” queue is by clicking on the “Moderate” link from the toolbar located on the left hand side of your homepage and clicking “Moderate Mail”. Once you have approved or rejected the message, that message will be stored in the “Processed” area for review at a later date.

26 Moderate Mail Messages are flagged according to the filters and access settings for each student account (see Safety and Security Key above).

27 Moderate Mail Messages which require moderation need to be approved by you before they will be delivered to the recipient. To view a message requiring moderation, click on the subject link of the email in question.

28 Moderate Mail Depending on the content of the email you can chose to “Approve”, “Reject”, “Forward” or “Print” the message. By clicking on the link beside “Message Attachment” you can open the full message for review.

29 Processed Mail The processed mail folder will keep all emails that have been sent by the student that you are moderating after you have approved or rejected the message.

30 Monitor Mail Messages can also be accessed within the “Moderate” toolbar by clicking on “Monitor Mail” where you can review these messages at any point.

31 Students To view the students that you are responsible for moderating click “Students” from the “Moderate” toolbar.

32 Students This will allow you to search and view your students and their assigned email addresses.
