3 Minimal Activity  Required for businesses with annual sales between $3,000 and $10,000  This is a $15 yearly renewal fee collected by the local office.

4 How to Register a Minimal Activity License Select Master Maint. From Data menu

5 Business Number does not exist for new businesses – select F5 to continue

6 License Usage will default in escape to continue

7 Select F5 to add the Business Owner Name

8 Enter the Owner Type, Location, Phone, Mailing Address, Email, & FEIN/SSN

9 Enter the Title information and select F4 to update

10 Enter the Contact Information-Can be different from the owner-Select F5 to add a contact that is different from the owner-If it is the same select F4

11 Enter all required fields-Make sure to code License Flag M for Minimal and select Business Type-F4 to proceed to payment screen

12 Using the enter key follow the prompts to enter payment information-F4 to update and print the license

13 Minimal Activity Business Registration When adding new businesses, do NOT change any dates. Let system set dates and after printing license, check dates. If the dates are not correct, they can be changed, but need to verify they are incorrect and let LGC find out why incorrect.

14 Minimal Activity Business Registration Initial Payment flag for Minimal will always default to NO. Initial payments are only applicable for Standard Business Licenses. Minimal Activity Businesses are defined as Activity Fees, paid annually

15 Minimal Activity Invoicing  Minimals are kept separate from Regular Businesses in FlexGen  Invoicing should be done annually to alert those businesses that they need to pay their annual activity fee at the local office.

19 Minimal Activity Businesses – changing status Minimal to Regular  Change the flag on Master Maintenance Screen  If the business opened as Minimal, when they are changed to Regular they will then receive their first “Initial Payment” license, not a renewal. The renewal will be done NEXT time their license is due with the State  An initial license fee can only be collected one time on a Regular License  Create change file to send information to the state

21 From Main Screen under Tax Tab Select Initial License Payment, Enter Payment Transaction, F4 to Save and Print License, Build Change File to State Changing Status-Receipting Regular Initial Fee

22 Minimal Activity Business-Changing Status Regular to Minimal  Change the flag in Master Maint.  Issue a Activity Fee license. (If a business changes from standard to minimal, they must still file a Final with the State)  Collect the Minimal Activity Fee of $15.00  Create and send change file to the State

23 From Main Screen, Data Tab Select Master Maint., update Flag, F4 to Save, Proceed to Minimal Payment Changing Status from Regular to Minimal

25 Reminder on Changing Status of License- Regular to Minimal  If a Business opened as a Regular, changed to a Minimal, and changes back to a Regular, this will need to be a renewal with the State as an initial license has already been issued. Original State account number should be reactivated by the State  A Final Return will need to be filed with the State if status changes from a Regular to a Minimal.

27 Minimal Activity Tax Reports-3 Different report options 1.Businesses with Minimal Activity License-This report identifies all businesses within the system that are flagged “M”. Can be run by status, O-open, C-closed, A-all

28 Minimal Activity Reports 2. Delinquent Report-Identifies all Minimal Activity Businesses within the System that are missing an Activity Renewal Fee. No FlexGen feature for collection of penalty for businesses will appear on report.

29 Minimal Activity Reports 3. Totals Report-Lists total amounts paid for Minimal Activity Fee per business by date range

30 Exemptions – New Feature Added a new Class Code of “6” that can be used for businesses that are defined as “hobbies” reporting less than $3000 annual gross. These can be stored in the software for local record keeping only. Nothing is reported to the State nor are fees applicable. Class 6 does not have a license flag. Businesses classified as Class 6 can be changed to Class 1-4, set up as license type “M” and changed to a Minimal Activity business. Reports, Business by Class - will allow you to run by Class and select “6” to list those exempt businesses in the system.

33 Register Regular Business Data, Master Maint., F5 (options) to add a new business. License Flag should be “R” for Regular When adding, do not change the dates that default in. Check the dates after the initial license is printed. Based on the open date, the period will be correctly assigned. Collect Initial License Payment ($15 per T.C.A. code)

43 Business Tax Reports  Delinquent Reports – these reports were designed to pull data before the State took over in 2009. Therefore were removed in order to not provide incorrect records. We are currently researching how to redesign the delinquent reporting process.  Beneficial Reports  Businesses by Open Date  Business by Closed ID – More Reports, Misc Reports, Reports (A-K), Business by Closed ID.  Active Business - More Reports, Misc Reports, Reports (A-K), Active Business  Reconciliation report – we are working on a new report to help reconcile monthly the State files received with actual records imported.

48 Quiz Questions  Business anticipated sales of $6500 for the first year. What type of license should be issued?  After 18 months of business, owner provides annual gross of $10,800. How should the account be updated?  Individual comes in inquiring about a small business, with expected gross of $1500. How can they be registered?  Your supervisor wants to know how many new businesses were registered in the past 6 months. What report is available?  A Standard business notifies the local office of intent to change to Minimal status and 6 months later notifies the office a second time to change back to a Standard. What information should be modified on the account?
