4 Focus for the Future Results of many months of hard work are contained in Provost Aiken’s note from 4/23/14 – 14 non-academic proposals – Many academic proposals All are proposals at this point – Feedback is critical to final decisions

6 Consolidate Selected IT Functions Through a selective centralization of technology processes, services and personnel into ITS, UI will accomplish: – The creation of a deep team that can provide a consistently high level of technology support to UI constituents – The improvement of opportunities for technology employee skills development and career advancement – The elimination of duplicative technology and the focusing of resources on strategic initiatives – The creation of a sustainable, robust and secure technology infrastructure and funding model

7 What Does This Mean? Developing a prioritization framework that balances unit and UI strategic needs Determining key institutional technology risks and developing mitigation plans Reviewing current open technology positions and determining the greatest institutional need for those positions

8 What Does This Mean? Reviewing implemented technologies and prioritizing the removal of duplications Reviewing current roles and responsibilities of technology employees and determining the best possible organizational fit to benefit units, employees and UI

9 Who Will Be Involved? The collaborative review, led by ITS, will include all employees who support technology regardless of location, title and funding source – Must be thorough to identify existing technologies, possible risks, efficiencies and cost savings Input will be requested from leadership across UI to address needs Conducting a review does not mean everyone and everything comes to ITS

10 How Will This Help? This can help UI by: – Saving money through standardization and the reduction in duplicative services – Creating more employee time for value-added activities – Reducing risk in reliance on individuals – Accessing wider ranges of skills for key projects – Improving technology budgeting & spend analysis, – Improving security – Allowing for a more comprehensive and consistent approach to technology position classification and compensation

11 How Will This Help? This will help units through: – Reduced reliance on a single person/position – Broader range of skills and advice available for projects – Management of technology professionals by technology professionals – Budget savings from the removal of duplicative technology

12 How Will This Help? This can help technical employees through: – Improved career opportunities – Management by technology professionals – Opportunities for the development of new and deeper skillsets – Reduced stress through cross-training and team coverage

15 Technology Purchase Options With input from UI constituents, ITS will develop a list of hardware, software and cloud-service options approved for rental, lease or purchase by UI departments Examples include, but are not limited to, Mobile phones Printers & Scanners Copiers Storage (cloud or on premise) Software Desktops Laptops Workstations Tablets Servers

16 How Will This Help? Savings through economies of scale More consistent level of support Minimizes duplicative services Improved security Improved contract management Improved asset management Better understanding of technology investments Frees employee time for more value-added activities
