Continued Data Entry/Adjustments Obtaining Credit Card Information from Members Manually Paying EFT’s in Millennium for successful EFT drafts that occurred in RMS. Please Note: When you collect a member’s credit card/payment information, you do not have to use the “Client Membership Insert” feature to add it to their profile in Millennium. You can simply go to that customer’s profile (Data -> Clients -> Client Information), click on the Membership button and then on the “CC/ACH Info” button. Remember, once you collect a member’s credit card/payment information, you still need to go back into RMS and mark their profile as “Non EFT” as well as remove the default note in Millennium.

4 Grow on What You Already Know! Manually Paying EFT’s in Millennium EFT drafts that are still processing through RMS need to be reviewed & analyzed on a daily basis until all memberships (with payment information) have been successfully transferred into Millennium. EFT drafts in Millennium for these customers will result in suspension and must be manually paid daily. The “RMS Prepaid” payment type should ONLY be used to apply payments to these manual adjustments. Gift Card/Gift Certificate Redemption Gift Certificate balances were not converted. The “RMS Gift Certificate” payment type should ONLY be used to apply payments on Gift Certificate and/or Gift Cards (if not found) redemptions. In addition, the payment type note should contain the number of either the Gift Certificate or Gift Card that was redeemed. 5 Purchase Orders, Receivals & Credits Purchase Orders MUST be used in order to determine Average Cost on retail items sold as well as current on hand counts of retail/operations items Millennium uses the system FIFO (First In First Out) to determine Average Cost Automatic Purchase Orders can be created based off of your ordering point (minimum shelf count) & model quantity (maximum shelf count). The Automatic Purchase Order will analyze the current on hand counts against the ordering point of each to determine the order quantity Receiving a Purchase Order Always make sure you adjust the “Unit Price” of each item on order before receiving the Purchase Order. This will ensure that items are received at adjusted values which will impact your Average Cost Calculations You should always “Receive All Items” and then adjust items that may have been received partially or not at all. These items will appear on the Backordered Items report. Once they come in, simply mark them as received on the original purchase order Barcode and/or Retail labels can easily be printed for all items received Inventory Credits Inventory Credits/Returns should always be utilized when sending retail/operational items back to the Distributor. Always make sure that you enable the “Deduct On Hand?” check box prior to saving your record. Any replacement items will be marked as ordered and received via the Purchase Order Screen

6 Operational Usage & Check Out Employee/Operational Supply Usage Millennium give you the ability to “check out” operational items that employees may use when performing services Please Note: Check out both Retail & Operational Inventory Items Filter “usage” by specific employee or product Analysis of usage for a certain period of time Inventory Sales/Usage History tracking for model quantity & ordering point analysis

7 Inventory Analysis Top N/Bottom N Analysis Millennium allows you to analyze your Top Spenders (Clients), Top Items (Products), & Top Sellers (Employees) based off of retail purchases. Inventory Wizards Model Quantity Slow Moving Inventory Inventory Turns

8 Form Letters & Client Selection Millennium provides the ability to query members & prospects based off of similar attributes including, but not limited to: (1) sales, (2) birthdays, (3) purchases, (4) membership “status” and (5) first/last visits. Form Letters (Marketing -> Form Letters) Appointment Confirmation Member Expiration/Renewal Member Suspension New Member Thank You New Prospect Client Selections (Marketing -> Client Selection) Appointment Confirmation Member Expiration/Renewal Member Suspension New Member Thank You New Prospect Please Note: You should always create a “sample” form letter that contains just your email address. This will give you the ability to preview & verify the format of the email before it’s sent to your customers.

9 Millennium.Mail & Email Maintenance Millennium.Mail is the “engine” that allows mass emails to be sent from Millennium. Mass emails can be sent via the Appointment Confirmation & Form Letter Screens. Invalid email addresses should be monitored each time a mass email is sent out to the community. You have the ability to identify customers with invalid email addresses by navigating to Utilities -> Millennium.Mail Maintenance. Please Note: You have the ability to “search” for a customer by their email address. Navigate to Data -> Clients -> Client Information and click on the “Quick Search” button. Simply copy any invalid email address located on the Millennium.Mail Maintenance screen and paste it into the “email address” field on the Quick Search screen to locate that customer record to remove the email address from their profile.

10 Reports Overview Default Report Categories Annual Drawer Closing Employee Sales Reports Marketing Monthly Payroll Weekly Intelli-Text Intelli-Text is a shortcut provided in Millennium that allows you to search for reports based off of specific keywords (i.e. Productivity, Commission, Goals, etc.). It’s located on the main Icon tool bar, but can also be accessed by hitting Alt + I on the keyboard at anytime. Export Capabilities to Adobe, Microsoft Word, etc. Millennium gives you the ability to export any report into a variety of formats. In order to export information contained on the report, simply “Preview” the report first and then click on the Export icon located in the top left hand corner of the screen Reports User Guide Help -> Reports User Guide Provides definitions & calculations of each field contained on every Report provided in Millennium

11 Top N Reports Annual MA225 Sales Statistics - Shows sales by date range compared to same date range for the previous year Drawer Closing MR080 Register Summary - Summarizes how people paid, total sales, total refunds, and coupons used MR110 Payment Details - Prints the details of how clients paid grouped by payment type Marketing DR040 Referral Income Summary - Shows how much money each selected referral brought in by date range Monthly MH005 Daily Summary - Shows daily metrics such as massage units, revenue and membership sales MH010 Business Detail - Shows detailed information for the date range selected such as types of memberships sold Payroll DE050 Employee Commission Detail - Shows detailed commission by item ONLY if the employee is paid by item or by straight scale. MA050 Client Visits by Type - Analyzes client retention using appointment types Weekly DB020 Membership Prospects - Shows new clients, repeat clients (without a current membership) that were serviced and how many purchased a membership.

12 Report Scheduler The Report Scheduler allows you to automate to printing, emailing & exporting of your favorite reports at a date/time interval of your choosing. You have the ability to export Millennium Reports into a variety of formats including.PDF, Word, Excel & HTML.
