Lync Attendee Overview Lync Attendee is a rich client that lets you join online meetings, when you don’t have the Lync Online client or a Lync account. If enabled by the organization, Attendee client provides all the in-meeting features, such as computer audio, video, screen sharing, and PowerPoint presentations. However, a presenter in the meeting can change your role to presenter, so you can access all the features.

Install Attendee 1.After you click the meeting link, click View alternatives for joining the meeting. 2.Click Lync Attendee, then download and install Lync Attendee. By default, Lync Web App, which does not support computer audio/video, launches to join the meeting. By installing Lync Attendee, you’ll have a full meeting experience.

Meeting Join Experience After the installation, Attendee starts automatically If you receive a security warning, click Allow. On the sign-in page, click Join as Guest, type your name in the box provided, and then click Join. Select an audio option, and then click OK. Use Lync Attendee integrated audio and video: This is computer audio; use PC microphone and speakers or a headset. Do not join audio: Select if you want to call in to the meeting using a phone. Call me at: If enabled by the organizer, the conference service calls you at a number that you specify. You may be directed to the meeting lobby temporarily, if enabled. A presenter will admit you in the meeting.

Meeting Audio If using computer audio Use the microphone and speaker buttons to mute/unmute. Use the Audio Device Settings to configure your audio if needed. If calling into the meeting audio Click Join Information and Meeting Options in the meeting invitation. Use the audio number and participant passcode to call in (also included in your meeting invitation). If using ‘Call me at’ You’ll be called at the number that you provided. You can use the mic/speakers button to mute/unmute your phone if it is necessary.

Attendee Options Prepare Attendee before the meeting for optimal experience: Go to Start, All Programs, and then click Microsoft Lync 2010 Attendee. In the Lync Attendee-Options window, set up the options, such as IM, audio and video devices.

Manage meeting participants Use the People Options menu to invite additional participants, and for options that apply to all meeting attendees. Right-click a participant’s name if you want to take actions for only that individual, such as mute, unmute, or make a presenter or attendee. People Menu Right -click a participant’s name

Share your Desktop 1.Click Share, and then click Desktop. 2.When you start sharing, notice the sharing bar at the top of the screen. 3.Click Stop Sharing on the sharing bar when you’re done. Stop Sharing Give Control to share control with another participant Share your desktop when you have a live demonstration and have to switch between applications and windows. Be aware that everything on your desktop is visible to all participants.

Share a Program Share a Program when you’ll be working within one application only. The application you’ve selected will be visible to the participants, and no one can see any other programs that you navigate to. Stop Sharing Give Control to share control with another participant 3.Double-click the program. Notice the sharing bar at the top of the screen. 4.To stop sharing your application at any time, click Stop Sharing. 1.Open the program that you want to share. 2.Click Share in your meeting, and then click Program.

Insert a Whiteboard Use the whiteboard to post a note to everyone in the meeting or use as a fresh page on which to brainstorm. Everyone in the meeting can write and draw on the whiteboard. 1.Click Share in your meeting, and then click New Whiteboard. 2.Start writing or drawing, using the tools at the bottom of the meeting, such as text, lines, arrows, and laser pointer. 3.To see who added the content, hold the mouse pointer over the content. 4.The whiteboard is automatically saved in the meeting. To save a local copy on your computer, click the Save button. 5.Click Stop Sharing when you’re finished.

Insert a Poll Slide Polling is a great way to get people to interact in your meeting, find out what they think about the ideas, or ask questions on any topics to gather information and compile preferences. 1.Click Share in your meeting, and then click New Poll. 2.Type the poll name, a question, and the choices. 3.Click OK when you’re done. 4.Participants select the options to answer your question. 5.Use the control buttons at the bottom of the poll page to manage the poll page, such as open, close, show, or hide results. 6.To save the poll locally on your computer, click the Save button.

Add or View Attachments (file transfer) Add a file to your meeting, such as a handout or your presentation, for the participants to download locally on their computer. 1.Click Add or view attachments, and then click Add Attachments. 2.Select a file and then click Open. 3.By default everyone in the meeting can save the attachment locally. To control access, click the arrow next to the file, point to Make Available to, and select one of the following: Meeting Organizer, Presenters, Everyone 4.Participants in the meeting can click the Add or View Attachment button, and then click the file to download it locally.
