V. 21. Automatic LKR field creation from item. Rep_ver 017011 and 017012 Yoel Kortick Aleph Support Manager

2 Introduction Description: LKR creation from item. Cataloging - a way to automatically fill the LKR filters according to specific item information. After entering existing item barcode, the LKR field will be filled with that item's information. In Addition, 245 $$a will be filled with z30 description. The new menu item "Expand from Item" option will be enabled only when LKR field is selected.

3 In other words … Formerly (before version 21) when a cataloger created an LKR field in the bibliographic library he had to manually fill in each of the many subfields of the LKR field, and constantly verify that he was putting in the correct information in each of the many fields (such as the volume number, issue number, administrative system number, etc) This is now all done automatically by entering the specific item barcode in the new dialog box.

4 The LKR sub fields After entering existing item barcode, the LKR field will be filled with that item's information, as follows: $$y > $$j > $$w > $$o > $$q > $$v > $$i > $$p > $$d > $$e > $$f > $$g > $$h > In addition, 245 $$a is filled with z30 description.

5 “Expand from item barcode” menu option The new menu item "Expand from Item" option will be enabled only when LKR field is selected.

6 Sample Item in the web We will now be cataloging an article which is in Journal “Aleph 500 quarterly” Volume 7 issue 2 part 3

7 Sample Item in the GUI It has: Barcode: 57097-500 Enumeration Level A: 7 Enumeration Level B: 2 Enumeration Level C: 3 Chron Level I: 2005

8 Sample Item in the Database usm50@ALEPH20> set head off usm50@ALEPH20> set pause off usm50@ALEPH20> select Z30_ENUMERATION_A,Z30_ENUMERATION_B,Z30_ENUMERATION_C,Z30_CHRONOLOGICAL_I from Z30 where Z30_BARCODE = '57097-500'; 7 2 3 2005 1 row selected. usm50@ALEPH20>

9 The record with the LKR field Now we are cataloging an article which is in the journal. Note that the record has no 245 field (has 246). With mouse on LKR field choose “Expand from item barcode”

10 The record with the LKR field Enter the barcode of the desired item

11 The record with the LKR field The LKR field automatically gets filled in with the item information in the appropriate fields The 245 fields gets filled in with the item description.

12 The record with the LKR field The 245 may then be edited and additional fields added to the LKR field.

13 The record with the LKR field The record then contains a link to the item

14 The record with the LKR field Before version 21 all of the LKR enumeration and chronology sub fields would have had to added manually Now these sub fields are added automatically

15 Additional LKR sub fields Via rep_ver 17012 Aleph was enhanced to support additional linking filters. These linking filters provide the ability to filter items according to all filtering levels of the item. Version 20 Version 21

16 Additional LKR sub fields The following LKR subfields are now also consulted when filtering items: $$d - Fourth level of enumeration $$e - Fifth level of enumeration $$f - Sixth level of enumeration $$g - Alternative first level of enumeration $$h - Alternative second level of enumeration $$j - Second level of chronology $$w - Third level of chronology $$o - Fourth level of chronology $$q - Alternative chronology.

17 Additional LKR sub fields In order to enable the use of the additional sub fields in the LKR field, the following developments were done: 1.The LKR form in the PC GUI catalog module was enhanced to include the additional subfields. 2.Searching in WEB OPAC and PC GUI for documents will return only the Items that match all defined subfields. In order to activate this development 1.New Oracle table Z103X should exist 2.Activate the extended linking routine “update_z103_lkr_extended” in bib and adm tab/tab_z103

18 Additional LKR sub fields Here the z103x table exists in file_list: Here the “update_z103_lkr_extended” exists in bib and adm tab/tab_z103 yoelk@il-aleph07(a21_7) USM01> cd $aleph_root/tab yoelk@il-aleph07(a21_7) USM01> grep z103x file_list.BIB TAB z103x 100K,128K,4M,128M,128M,960M 0K ts0,TS1D,TS2D,TS3D,TS3D,TS4D IND z103x_id 100K,128K,4M,128M,128M,128M 0K ts1,TS1X,TS2X,TS3X,TS3X,TS3X yoelk@il-aleph07(a21_7) USM01> yoelk@il-aleph09(a21_1) USM01> dt yoelk@il-aleph09(a21_1) USM01> grep update_z103_lkr_extended tab_z103 update_z103_lkr_extended yoelk@il-aleph09(a21_1) USM50> dt yoelk@il-aleph09(a21_1) USM50> grep update_z103_lkr_extended tab_z103 update_z103_lkr_extended 1way-par

19 Additional LKR sub fields Here we have six issues, each with six levels of enumeration

20 Additional LKR sub fields Here is barcode 57097-540 Vol Iss Part Section Part Division Part

21 Additional LKR sub fields Here is barcode 57097-550 Vol Iss Part Section Part Division Part

22 Additional LKR sub fields We will now “expand item from barcode” for barcode 57097-540

23 Additional LKR sub fields All of these subfields are automatically filled in

24 Additional LKR sub fields Now we have these two bibliographic records with LKR fields. One points to $$g3 and one point to $$g2

25 Additional LKR sub fields Here is system number 57109 It points to correct item based on LKR subfields

26 Additional LKR sub fields Here is system number 57108 It points to correct item based on LKR subfields

27 Creation of the LKR field Note that by default when a new record is created via “Edit Actions > Derive new record” for the following two options: Create Analytic record Create Analytic record using fix_doc_new (son) An LKR field will already be created with subfields a (link type) b (sysno of the linked document record)

28 Creation of the LKR field

29 Creation of the LKR field For example, here we have system number 57097

30 Creation of the LKR field It has item barcode 57097-570 with “2010 Vol. 3 Iss. 1 Pt.2 Sec. 1 Part 1 Div. 1 1st part”

31 Creation of the LKR field We choose “Derive new record > Create Analytic record using fix_doc_new (son)” and get this:

32 Creation of the LKR field When we choose “expand from item barcode” we also get this:

33 Creation of the LKR field We then edit and save the record

34 Creation of the LKR field In the web OPAC a link appears to the “father” record And a link appears directly to the specific item

35 Creation of the LKR field Link to the specific item

Thank You! Thank you Yoel.Kortick@exlibrisgroup.com
