2 Who can be a Testing Liaison? ONE RULE: INSTRUCTORS AND INSTRUCTIONAL AIDES CANNOT BE TESTING LIAISONS OR PROCTORS Typically, Testing Liaisons are – Counselors or guidance staff – Assessment center personnel – Administrators or administrative support

3 How do I become my school’s Testing Liaison? 1.Take this training 2.Pass the quiz at the end of this training 3.Fax completed documentation to the CTTC Confidentiality Agreement Test Order Form When these steps are completed, the CTTC will send a confirmation email that contains access information to the Testing Liaison.

4 How often do Testing Liaisons and Proctors have to go through the online training and site setup process? Because tests and testing processes change each year, Testing Liaisons and Proctors must complete training and submit the required documentation each school year.

5 Testing Liaison Responsibilities 1.Know and follow all CareerTech Testing Center (CTTC) policies and procedures when administering tests and distributing results The CTTC Policies and Procedures are under the Resources tab at okcttc.com

6 Testing Liaison Responsibilities 2.Maintain the security of test content and student information  Protect access information to the online testing and sFTP systems ***This information cannot be shared with students, instructors, or others who are not approved liaisons or proctors***  Authenticate test takers (picture ID)  Monitor computer usage and prevent access to other resources  Remove unauthorized resources from the testing area  Prohibit access to and use of communication devices during testing  Observe test takers to deter cheating behaviors

7 Testing Liaison Responsibilities 3.Maintain confidentiality of student information  Protect access information to the online testing system ***This information cannot be shared with students, instructors, or others who are not approved liaisons or proctors***  Store student information and test results securely  Distribute results to students quickly and in a confidential manner

8 Testing Liaison Responsibilities 4.Verify student information is entered accurately into the testing system  The Student Testing Number (STN) is used *** DO NOT USE SOCIAL SECURITY NUMBERS ***  Student name is spelled as it appears on his/her identification NOTE: The student’s name will appear on the Coaching Report and/or Competency Certificate exactly as it is typed into the online testing system. Therefore, it is very important to use appropriate capitalization and spell names correctly!

9 Testing Liaison Responsibilities 5.Ensure a safe environment where test takers can concentrate with minimal distractions  Adequate and consistent lighting  Comfortable temperature with proper ventilation  Quiet with minimal distractions  Properly functioning computer and mouse 6.Provide accommodations for students with special testing needs

10 Testing Liaison Responsibilities 7.Work with instructors to schedule students for the appropriate test at the appropriate time 8.Serve as resource for instructors and administrators on testing-related issues

11 Testing Policies Students may only take competency assessments in areas for which they have completed training. Competency assessments are not for use as pre-tests or to gauge progress throughout instruction Students should be administered the competency test as soon as possible after completing instruction and all required performance assessments.

12 Testing Policies Students may take a competency test no more than three (3) times. There is no required waiting period between the first and second attempts. However, students who do not pass on the second attempt must wait three (3) days before testing a third and final time. Students who pass a test may not retake the test in an attempt to achieve a higher score – only the first passing attempt is retained and used for reporting.

13 Accessing Tests 1.Go to www.okcttc.com and click on the Online Testing link on the left side of the pagewww.okcttc.com 2.Testing Liaison inputs the username and password Testing Liaisons are not permitted to give students the username and password so they can log into the system! 3.Testing Liaison selects the appropriate test for the student 4.Enter student information into the registration fields Note: Students may input their information as long as the Testing Liaison has a procedure in place for verifying the information is entered correctly

14 Preparing to Test Testing Liaison verifies that students do not have communication devices or other personal property in the testing area Testing Liaison ensures allowed resources are available (www.okcttc.com, Resources)www.okcttc.com

15 Preparing to Test Testing Liaison verifies that the following information is entered accurately for each student:  Student Testing Number (STN)  No STN? See Testing Liaison Policies & Procedures for instructions  Do NOT use the Social Security Numbers!  Instructor’s Last Name  Student’s First and Last Names

16 Preparing to Test  Testing Liaison reviews the Code of Conduct with students.  The Code of Conduct appears after the student information is submitted. This Code addresses appropriate behavior during and after testing and addresses the consequences of misbehavior and cheating.  Each student must accept each screen. Students who do not accept both screens will be exited from the testing system.  Testing Liaison provides blank paper and writing instrument, if requested  Testing Liaison reviews test instructions with students

17 Administering Tests Testing Liaisons may not:  Translate questions or allow test takers to use translation devices  Explain questions  Define words

18 Administering Tests  All questions are presented to the student in one screen  Students use the scroll bar on the right side of the screen to navigate through the test  All questions must be answered before the exam can be submitted for scoring

19 Finishing a Testing Session  Collect all paper and writing instruments used by students during testing  Submit exam for scoring Note: Cut score on most CTTC tests is 70%

20 Obtaining Results The Coaching Report:  Shows the student’s outcome on the test (pass/fail)  Breaks down student performance by duty area  Documents competency attainment  Identifies areas where remediation is needed

21 Distributing Results  Print two copies of the test taker’s Coaching Report Student receives one copy of the Coaching Report One copy of the Coaching Report is retained in the Student’s testing file Coaching Reports are accessible by Testing Liaisons through the CTTC website, www.okcttc.com.www.okcttc.com

22 Retaking Tests  A student cannot take a test more than three (3) times  Remediation is recommended prior to retesting  There is no mandatory waiting period between the first and second attempts  Students must wait three days before retaking an examination for the third (and final) time  A student may not retake a test that he/she has already passed  Violations of the above can result in loss of access to the CTTC Online Testing System and invalidation of student competency test results
