1 Kronos Information for DU Supervisors: Running Reports

2 The time and attendance system offers a variety of reports that supervisors and managers can run. In this training, you will have the opportunity to run the following reports: -Time Detail -Accrual Detail Once you are comfortable running these reports, you will be able to set-up and run many of the other reports that are available to you. Click continue to run the first report: Time Detail. Continue

3 Select Reconcile Timecard

4 Employees who use a Kronos terminal may request a hard- copy of their timecards. Time Detail is a quick way to print timecard information for multiple employees. To print Employee 1 and 2’s timecard click on the Employee 1’s name. Hold the Ctrl key on your keyboard and click Employee 2’s name too.

5 Select Reports.

6 As you can see, there are many different reports. You are going to run the Time Detail reports for Employee 1 and Employee 2. This report is available in PDF format and Excel. Click Time Detail.

7 Continue Once you select a report, a description about the report and options to customize the report will appear.

8 Continue The default is to run the report for Previously Selected Employee(s). You selected to run this report on Employee 1 and Employee 2.

9 Click on the down arrow to view which Time Period option to choose.

10 In this case, you will print a Time Detail report for the Current Pay Period. Click Current Pay Period to continue.

11 Since you would like to give these reports to the employees, you will need to create a page break between employees. Click the down arrow to the right of Page Break between Employees.

12 If you were to leave this selected as No, some of Employee 1’s information could be printed on the same page as Employee 2’s. Click Yes.

13 Continue In the Actual/Adjusted view options selection you have the choice to Show hours credited to this period only or to Show hours credited to this period plus historical edits made for this period. Since you are running this report in the current pay period, there probably aren’t any historical edits. Leave the setting at Show hours credited to this period only. Click Continue.

14 You are ready to run this report. Click Run Report.

15 The report Status tells you that it is waiting. Click Refresh Status.

16 When the Status states: Complete, you can view the report. Double click on the Time Detail row.

17 Here is the page break that you created. The next page will show Employee 2’s time detail. This is a pdf document. You can save it, print it, or email it as you would with any other pdf document. Here is Employee 1’s report. You will see each of his time-in and out times. Scroll down to review Employee 2’s report. To exit the report, “X” out of the report, or click File then Exit.

18 Let’s go back to Quick Links, and run another report.

19 Click Reconcile Timecard.

20 Employees can view their leave accrual balances at the bottom of their timecard, and on their Accrual widget; however, neither of these options are printer friendly. The Accrual Detail report is best run individually. To practice, select Employee 1’s name.

21 Click Reports.

22 Click Accrual Detail.

23 Continue Once you select a report, a description about the report and options to customize the report will appear.

24 Continue The default is to run the report for Previously Selected Employee(s). You selected to run this report on Employee 1.

25 Click on the down arrow to view which Time Period option to choose.

26 Employees might ask for the past quarter’s worth of accrual information. To do that, choose Range of Dates.

27 Two date fields will appear. Click in the first date field.

28 Enter 7/1/2015 in the first date field, then click the second date field.

29 Enter 9/30/2015 in the second date field.

30 Click Run Report.

31 The report Status tells you that it is waiting. Click Refresh Status.

32 When the Status states: Complete, you can view the report. Double click on the Accrual Detail row.

33 This is a pdf document. You can save it, print it, or email it as you would with any other pdf document. This report shows you running balance of leave broken out by pay code (e.g. sick and vacation). You are also able to see when leave was used. To exit the report, “X” out of the report, or click File then Exit.
