4 Main menu > Self service > time reporting > report time > timesheet

5 Select calendar period
The timesheet is defaulted to View By Week. Select View By Calendar Period because you will submit your timesheet once a month, not weekly.

6 Entering your time 2:00:00AM Time can be entered in 2 ways:
24-hour standard OR AM/PM Example of 24-hour standard = 13:00 (1 o’clock in the afternoon) Example of AM/PM = 1PM = 1 PM = 1:00PM = 1:00 PM Be careful of AM/PM errors!! If you simply put “2” it will default to 2:00:00AM

7 EXAMPLE 1: Started work at 10:15AM. Ended work at 1:45PM.
One shift EXAMPLE 1: Started work at 10:15AM. Ended work at 1:45PM. One Shift EXAMPLE 2: Worked 12PM to 5PM. Not required to take a lunch break so did not take one. One Shift

8 Split Shift Split Shift
EXAMPLE 1: Started work at 8AM. Ended work at 10AM and went to class. Came back to work at 1PM and ended work at 5PM. Split Shift EXAMPLE 2: Worked 8AM to 5PM which is over 5 hours in one shift so took a lunch break (12PM – 12:30PM) Split Shift

9 Select the correct Time reporting code
Refer to the Budget Number section on your COE for your Time Reporting Code. Federal = Federal Work-Study State = State Work-Study Financial Aid ‘058’ = Institutional Work-Study Dept Budget (not WorkFirst) = Institutional Work-Study Dept Budget (WorkFirst) = Workfirst/Workstudy Selecting the wrong Time Reporting Code may result in a late paycheck.

10 Click save for later Do not click Submit until you are ready to submit your timesheet for the whole month which is on the last day of the month or the last day worked.

11 Check for violations If you work more than 5 hours, you must take a 30 minute lunch break The timesheet may calculate the week from the 1st of the month instead of calculating from Monday. For example: Tuesday, September 1st to Wednesday, September 8th Just remember, our week is Monday to Sunday.  The total hours worked during any week cannot exceed 19 hours!

12 Ready to submit your timesheet?
Make sure it is View By Calendar Period before you click Submit!!

13 Communicate with your supervisor!!
There is no notification that goes out to your supervisor when you submit your timesheet. Therefore, when you submit your timesheet, let him/her know. Your supervisor will not see your timesheet immediately, he/she may see it the next day or in a few hours.

14 Check to see if all your hours say Submitted.
You can Check on your timesheet status the day after you submit your timesheet Check to see if all your hours say Submitted.

15 Click on payable time tab on the bottom of your timesheet
Needs Approval means your timesheet is waiting approval by your supervisor.

16 It is the 10th and you have not received your paycheck yet…
On the 10th, if you navigate to View Paycheck, you can see if there is a paycheck on your way. If you do not see a paycheck, the Work Study office will work with you to find out what may have happened.

17 Submit your timesheet error free & on time to your supervisor
Contact the Work Study Office front desk if you have any questions  (509) Violations will result in being placed on probation. Submitting a late timesheet will result in a late paycheck.
