Today, external suppliers can contribute 60% or more of the final product design. Time and distance constraints get in the way of effective collaboration. Internal teams such as – management, engineering, procurement, marketing, manufacturing, sales and service – can also be widely spread across different geographies and time zones. Suppliers and customers are also added externally into this cross-functional team. This diagram illustrates today’s “AS-IS” product development environment. As you can see, there are many different groups both internal and external involved in the product development environment. Also there are examples of different types of information that needs to be shared with team members both inside and outside the enterprise. For example a typical customer may need to share: Concept & Customer Requirements, Part Designs and BOM Changes to the entire cross-functional team. Adding to the challenge of the typical product development environment is most information for a single product is usually stored in many different types of systems and databases throughout the enterprise with each system using a different software application. Last but not least, there are varying degrees and different types of communication, such as , FTP sites, and couriers being use today. Many tools used to manage projects and facilitate collaboration are rudimentary Telephone, Fax & FTP Exchange information via a shared Web page Courier Web Meetings Microsoft Project No way to know if data being shared is outdated or inaccurate information At many manufacturing companies, the tools used to manage projects and facilitate collaboration are rudimentary; team members may , fax, FTP site, overnight information to each other, or exchange information via a shared Web page. These forms of collaborative project management are cumbersome and inefficient; telephone tag is frustrating and unproductive; fax limits the content and has security risks; is haphazard, what happens if the recipient is on vacation? FTP is not completely secure; Web sites are static, unable to respond proactively to dynamic situations, and overnight couriers can become expensive plus it’s possible the information delivered overnight is out of date the next day. Many companies have turned to web meetings in an effort to reduce travel costs but these systems are another separate methods of sharing static information which again may be out of date. Project planning tools like Microsoft Project have made project planning much quicker and easier. However, when the time comes to execute against the plan, the plan quickly becomes outdated. Attempts by the project manager to update the plan consume a large percentage of their time because there is no efficient way to collect issues, make go-forward decisions as a team, and propagate changes in the plan to the rest of the team. In addition, the plan is disconnected from the project information. [A1]Managers using these tools find themselves scrambling to coordinate activity, update everyone to changes, and ensure that all team members have the latest information. Critical elements, such as missing an interim milestone, may go unnoticed or a key hand off may be dropped. With Windchill ProjectLink’s bi-directional integration with Microsoft Project, project managers can create project plans in Microsoft Project, manage the end-to-end execution of those project plans through Windchill ProjectLink, and update Microsoft Project Gantt and Pert charts to report actual progress. By using Windchill ProjectLink during the execution phase of the project, project managers now have a way to distribute ownership of plan activities and plan updates and to relate project deliverables to the project plan. During project execution, each project resource now has the ability to report on activity status directly, which automatically rolls up to the entire project plan keeping the plan up to date and everyone on the team up to speed without the traditional project management overhead.
