BIM I Business Information Management Systems

If you follow these guidelines, you will look like you know what you’re doing…

Analyze your audience and presentation goals Organize presentation according to the needs of the audience and goals of the presentation

PowerPoint is a visual aid that is designed to help you DO NOT let the PowerPoint presentation be the center of attention The presenter should be the center of attention

Bring a set of handouts with you to the presentation You may want to print out a set of handouts to make notes on them OR write notes for yourself on index cards Make extra handouts for your audience

Your audience needs to know where to look You need to help them understand the visuals

Look at visuals as you direct the audience Remember to talk to the audience, NOT the visuals

You will usually be transitioning your own presentation by using the board or the computer keys If someone else is transitioning the slides for you, make sure that you use a cue like a gesture or a vocal signal to tell them that you are ready to move on to the next slide Make sure that you DO NOT talk about a slide without actually having that slide on the projector as your audience may become confused

This will allow you to be comfortable with the material and content of the presentation It also gives you a chance to see if the equipment is working properly

How Do You Capture the Interest of Your Audience?

You are more likely to stay focused on the appropriate content when you know the specific purpose of your presentation

The number of audience members and their knowledge of the topic will impact what you say, your approach, and the details on each slide For the purposes of this class, your audience will be considered a professional audience

You can choose handouts, notes, videos, or other multimedia equipment. Will you use sound or music in your presentation? Hyperlinks to other sources of information? The type of materials you choose should be appropriate for your audience, room, and subject matter.

Know the time of day for your presentation and how much time you will have so that you can rehearse your presentation accurately and thoroughly.

Consider the layout of the room. How and where will people be sitting? This will impact your choice of materials, use of sound effects, and even font sizes.

Will it be live, self-running, or online? This will help you design the content and delivery of your presentation.

Use a consistent color scheme throughout a presentation. Limit the number of colors to 4 or 5 per slide. Choose background colors, fonts, and font colors that enhance the content.

As a general rule, use dark colors for backgrounds and bright colors for text. Light-colored backgrounds are okay to use under certain circumstances such as when the lights in the room are off.

Use Brief Lists With No More Than Six Lines Per Slide and Six Words Per Line This allows you to use larger fonts (at least 36 points on titles and at least 24 points on bulleted items) Results in improved readability and immediate impact Limit each slide to one topic

Incorporate appropriate graphics that support the topic and attract interest. Use transitions and animations appropriately.
