Strategy to Populate the Energy Star Portfolio Manager with California State Buildings Data (Take 2)

K. Herter, 10-23-062 Data Terminology Utility terms SAID – utility’s unique identifier for the service agreement (SA) Portfolio Manager database terms Facility name – User’s name for the facility Building ID – PM’s unique identifier for the facility Meter name – User’s name for the utility SA Internal Meter ID – PM’s unique identifier for the utility SA External Meter ID – utility’s unique identifier for the SA (SAID?) Q: Can we change the term “Building ID” to “Facility ID”? The use of two terms (building and facility) for the same thing has caused a good deal of confusion. Tracy and Steve will look into this.

K. Herter, 10-23-063 Example Data Structure MeterName1a ↔ MeterID1a ↔ SAID1a MeterName1b ↔ MeterID1b ↔ SAID1b MeterName2a ↔ MeterID2a ↔ SAID2a MeterName2b ↔ MeterID2b ↔ SAID2b MeterName2c ↔ MeterID2c ↔ SAID2c Utility 1 Utility 2 Facility Name Building ID

K. Herter, 10-23-064 Mapping fields: EPA  CA Department Real Property Name The State provides…When EPA asks for… User Facility Name Meter NameSAID from utility bill Q1: Can we have two fields, one for Meter Name and one for SAID? Yes. Q2: Can we flag CA State accounts? This is unnecessary with sharing. Tracy, Steve will work on CA specific report. Q3: Is there a limit to the number of facilities per user? Meters per Facility? No. (10 MB per request)

K. Herter, 10-23-065 Strategy Strawman 1. DGS creates initial templates and sends them to Dept. leads 2. Dept. leads enter additional facility info (including SAIDs) and upload to create new Portfolio Manager accounts 3. Dept. leads designate sharing (online), sign data release forms, and send to utilities 4. Utility uses SAIDs to upload data for new accounts 5. Accounts ready to be used

K. Herter, 10-23-066 Step 1. DGS DGS Dept Leads User – User Name (Department), UserID, password? Facility – Facility Name (Property), Street, City, State, County, Zip Other/Office Space – Facility Name, Floor Area Note that formatting convention used here is based on the existing Excel templates, where underlined Names designate spreadsheets and italicized Names designate fields Q1: CA templates are Other or Office. Are there other facility-type options? Yes. Karen and Mike will think about whether they are necessary. Q2: Do we need to enter Other/Office Space Space Names? Q3: Where do we put in UserID and password? It’s not on the template. User Name = Username (not UserID). Temporary password sent to User.

K. Herter, 10-23-067 Step 2. Dept. Leads Dept Leads User information (all but User Name) Facility - Year Built Other/Office Space – Hours, occupants, PCs Energy – Facility, Meter Name, SAID, Utility, Energy Type, Energy Unit Parking, etc. Q1: Current template asks for Meter ID. Shouldn’t it be Meter Name? No, it should be the SAID and then we need to add new column for meter name. Q2: Can we add SAID and Utility to the Energy spreadsheet? Yes. Q3: Who should input Energy Type and Energy Unit? Dept lead or utility? Complete PM templates and create accounts EPA

K. Herter, 10-23-068 Step 3. Dept. Leads Utilities Dept Leads SAIDs (ExMeterID) Data release form (Sign forms and designate sharing) Give utilities permission to use customer data, etc.

K. Herter, 10-23-069 Step 4. Utilities EPA Utilities SAID Energy use Demand data Q1: Can EPA add fields for demand data? Steve M. looking at this. Populate the PM with energy use data

K. Herter, 10-23-0610 Step 5. All Users !! Reports !! Dept Leads EPA Utilities DGS webservice website Q1: When accounts are shared with DGS, can the facility owner (User) be displayed? Steve M. looking at this. Make use of PM functionality
