2 R ULE 10 – ORDER OF INDEXING UNITS FOR ORGANIZATIONS The general rule is that the units of a business name are indexed in the order in which they are written, the first word being the first unit. 3 R ULE 10 ORDER OF INDEXING UNITS When the first name or initial and the last name of an individual or individuals appear in a business name, the units in each individual’s name are transposed in the same manner as the units in an individual’s name considered by itself. 4 R ULE 10 ORDER OF INDEXING UNITS An exception to this rule would be a business name which contains the name of an individual that is so widely known that confusion would result from such a transposition. 5 R ULE 11 WORDS DISREGARDED Minor words – English articles, conjunctions and prepositions, such as the, and & of, to, for, by, at, in – are not considered to be units for indexing purposes. These words are enclosed in parentheses so that they will not be confused with the units to be indexed.

When the appears in the middle of the name, place it in parentheses and do not remove.

10 R ULE 12 – S INGLE L ETTERS When initials or acronyms form all or part of the name of an organization, treat them as one filing unit. Also treat TV and radio call letters as one unit:

11 R ULE 12 – S INGLE L ETTERS Some business, institutions, associations and so forth, are known both by their initials and by their full names; for example, YMCA, CP Express. In such cases the most commonly used form of the name should be used in filing, and the other form should be cross referenced.

13 R ULE 13 – COMPOUND GEOGRAPHIC WORDS Each word in a compound geographic name (Mount Royal) is considered to be a separate indexing unit, unless the first part of the name is a prefix (Las Vegas). In such cases the complete name becomes the first indexing unit.

17 R ULE 15 – HYPHENATED BUSINESS NAMES Hyphenated business names which do not include compound geographic words or compass terms are indexed as one unit. 18 R ULE 16 FOREIGN BUSINESS NAMES Foreign business names are indexed as written unless the name obviously follows an English pattern, and then the regular indexing rules are applied. 19 R ULE 17 POSSESSIVES The apostrophe in possessives is ignored. The word is indexed as though the apostrophe were not there. 21 R ULE 19 – NUMBERS IN BUSINESS NAMES Names that start with numbers are arranged in numerical sequence (not spelled out) and are indexed before all the alphabetic names. Numbers that are spelled out (not written as numerals) are indexed in alphabetical sequence. Numbers which appear as the second or subsequent unit of a business name are indexed immediately preceding a similar name without a number.

23 R ULE 20 - IDENTICAL BUSINESS NAMES When the names of two or more businesses are identical, the addresses are used to determine the indexing order. First index the name of the business, and then index the addresses as follows A) Alphabetic order by town or city B) Alphabetic order by province C) Alphabetic order by street name D) Numeric order by building number. If the address includes both a building name as well as a number, use the building number for indexing. Include the name of the building for reference only.
