File sizes. If you have an email that is too big to send, there are a couple of things that you could try: Copy & paste the text into the email instead of attaching it as a separate file Compress the file, using a piece of software like WinZip Send files as PDF files instead of word documents.

Archiving. This takes the emails “off-line”, and puts them into a safe location (like a hard-drive or backup tape) Many IT Departments will carry out archiving for you, so that you don’t have to, and so that a structured, official approach to emails is in place. When you have too many emails, or simply want to create a backup of your emails, you send them to an archive.

Benefits. cleans up your email inbox the recovery of lost or accidentally deleted emails, accelerated audit response, preservation of the intellectual property contained in business email and its attachments "eDiscovery" in the case of litigation or internal investigations (what happened when, who said what).

E-mail archiving. A museum has an archive of old exhibits. You can archive your old emails that you either don’t think you’ll need, or are too big to keep storing online. Archiving removes messages from your inbox, but keeps them in your account so that you can always find them later. Archiving is like moving messages into a filing cabinet for safekeeping, rather than putting them in the trash can. Email archiving is a process for downloading, keeping and protecting all inbound and outbound email messages (including attachments) so they can be accessed at a later date should the need arise.

Archiving emails. To archive email, you will be moving the email into an archive.pst file. When you archive your email into another.pst file, all the email you choose to archive is moved into the archive file and is no longer available in the main.pst file. To begin archiving your email, click the “File” tab on the ribbon. On the Account Information screen, click the “Clean-up Tool” button next to “Mailbox Clean-up.” Select “Archive…” from the drop-down menu. The Archive dialog box displays. Select “Archive this folder and all subfolders” and select a folder to archive. If you want to archive all your email, select the node with your email address at the top. Click the “Archive items older than” drop-down list to select the latest date for items to be archived. A calendar pops up. Select a date in the current month by clicking on the date or scroll to a different month to select a date. All items older than the selected date will be archived.

Archiving emails. If you want to keep Outlook 2010 clean and run faster, one method is to set up the Auto-Archive feature. Today we show you how to configure and manage the feature in Outlook 2010. If you want to archive items that are not set to archive automatically using Auto-Archive, select the “Include items with “Auto-Archive” checked” check box. NOTE: Auto-Archive in Outlook 2013 works the same way as in Outlook 2010. Click the “Browse” button if you want to change the location where the archive file will be saved and the name of the archive file. Click OK when you have made your selections. The archived.pst file is saved to the chosen location. Notice that all the email messages you chose to archive are not available anymore in the main.pst file. The archived.pst file should become available automatically in Outlook. However, if it doesn’t, click the “File” tab. In the blue panel on the left side of the “Account Information” screen, click on “Open & Export.” On the “Open” screen, click “Open Outlook Data File.” The “Open Outlook Data File” dialog box opens. Navigate to the location where you saved the archived.pst file, select it, and click OK. In the left pane of the main Outlook Mail window, a section called “Archives” displays and the emails you archived are available. Archiving email can help you keep your emails organized, making it easier to find older emails and to keep your inbox and folders uncluttered.
