1 Draft Your Email Click on Hyperlink Click on insert Step by Step Guidance: Using Hyperlinks Select the file or folder you want to link to END Click OK Send your email in the usual way You can change the text of the hyperlink from the file path to anything you want Click where in your email you want the hyperlink to go

2 Draft Your Email Check the box “Always check spelling before sending” Click on Options Step by Step Guidance: Set your Emails to Automatically Spell Check Consider if you want to spell check the emails you are replying to as well END Click OK Send your email in the usual way Click on File TIP: You only need to do this once, and it will work for all future emails.

3 Open email Click on Mailbox Cleanup Click on Options Step by Step Guidance: Avoid Archiving – Clear Out Old Emails Instead Use the tool to find and delete very large or old emails END Empty your deleted items folder Continue using email in the usual way Click on Cleanup Tools Don’t use auto archive!

4 Open your inbox Select the categories you want to use Click on All Categories Step by Step Guidance: Using Categories (1/2) Rename each category to suit See Next Slide Click OK Click on Categories

5 Right click on the email you want to categorise Click on the category or categories you want an email to have Step by Step Guidance: Using Categories (2/2) Select “Categorise” TIP: You can do the same thing with your calendar END

6 Open your inbox In the box that opens up click on Advanced Click on Options Step by Step Guidance: Auto deleting your deleted items folder! Tick the box marked “Empty Deleted Items folders when exiting Outlook Click OK Click on File END
