The Logical Choice Create Next Year and Next Year Tracks Done at the Building Level Scheduling menu > Next Year Scheduling > CREATE NEXT YEAR. One of the most important things you do in this entire process, because it creates, properly, NEXT YEAR’S TRACKS

The Logical Choice Create Next Year and Next Year Tracks If your school does NOT schedule, use the initial board, which is blank. You do not need to create a new Board. Track Dates are important. Some schools begin July 1 or shortly after current year ends. This will allow students to be “Currently Enrolled” right away. But, just so you know: Attendance does not HAVE to start then….

A division of The Logical Choice Document you’ve got at hand 12 Best Practices for Next Year Student Data Setup. -- It has nice charts, on how to fill in the next page, which varies by student.

The Logical Choice Setup > Next Year Tracks, Grades and Statuses 13

The Logical Choice As an aside… 14 Any element should only appear once. Student > Demographics Next Year Fields

The Logical Choice A thought on setting up NYR Data 15 NYR OUT Status vs. NYR In Status. Since both start out with “NYR” I assumed both applied to NEXT year. NOT SO! NYR OUT status refers to how the student closes THIS year. NYR IN Status refers to how she begins Next Year.

The Logical Choice Final thought on checking NYR Data 16 You can create User Defined Reports to make sure students received the proper Next Year: o Grade o InStatus o OutStatus o Track o School o Optional things like Homeroom, Advisor

The Logical Choice Print Report Cards 20 Most Schools print them before they do Semester End Update (aka Term End Update). If you print averages on your Report Cards, don’t forget to figure them!

A division of The Logical Choice It’s a Great time to make a Backup!

A division of The Logical Choice Document you’ve got at hand 23 Semester End Update

The Logical Choice Semester End Update 24 Assigns a Completion status for each student’s class. Copies the Grade and associated settings into Student History. Assigns Credits in Student History. Make a backup before AND after running SEU.

The Logical Choice Semester End Update 25 If you are doing this for the last term in your Track, it MUST be done before the rollovers. Can be done before or after Report Cards are printed. If you have not done a Term End Update after any of your earlier Terms, you must do updates like this in order. You can’t do the 4 th quarter, or 2 nd term update, before you do the 2 nd quarter, or 1 st term.

The Logical Choice Semester End Update 26 We recommend doing this at the Building level because, for one thing, it guarantees YOUR completion status. The SEU document takes you through each question the process asks on your screen.

The Logical Choice Semester End Update 27

The Logical Choice Semester End Update – The Biggie 28 We recommend: The 1 st time thru, click PRINT, then click NO. If you click No, NOTHING HAPPENS If you click Yes, the processing occurs.

The Logical Choice Year-End Reports 31 Run all required government reports Annual attendance reports? Fees: Run Outstanding Fee Report Other reports which your District does

The Logical Choice Best Practices 32 One of the things we recommend: Clear all of the money owed to Students, before the Demographic Rollover. This might be a good time to do that.

The Logical Choice Best Practices 33 Another thing we have learned over time: Outside Students may cause issues. They need to be withdrawn from their Outside School prior to running the Rollover.

A division of The Logical Choice You MADE The backup, right? 43

The Logical Choice Scheduling Rollover Go into Next Year Scheduling and Select the version of the Schedule you wish to move forward with. (Select the desired MasterBoard)

The Logical Choice Scheduling Rollover 45

The Logical Choice Scheduling Rollover 46 Click PROCEED and you’ll be asked whether you wish to Roll over. Click YES. The process begins. From then, on, you must depend on your browser display, because we haven’t yet built in a screen that announces when you’re done. Watch your browser’s activity indicator. Unless you installed 3.1.283, this week, which now has a growth bar.

The Logical Choice Scheduling Rollover 47 Since there’s no “finished” message, watch the browser activity indicator. When done, a favorite thing to check: Go into Class Setup and Schedule. Are the classes assigned to the proper NYR Track for next year? Investigate your Students!
