2 Introduction to PowerPoint Curriculum Implementation Day Friday, November 3, 2006 K.J. Benoy

3 This Presentation This is the quick and dirty version of how to get started (what do you expect in 40 minutes or so?). There are other ways to achieve the same thing. The handout gives you a number of online tutorial possibilities to take you much further.

4 Why PowerPoint? It is cool! PowerPoint is to blackboards, what modern cinema is to the original silent movies. It integrates text, images (still or moving) and sound. Write it once, use it over and over. Editing and updating is easy.

5 Why PowerPoint? It works much the same on PC and Macs (if you use Linux or Unix, you don’t need my help). All school computers and most home computers have it. Microsoft even has a free download of a PowerPoint viewer for those who don’t. Kids can copy presentations onto flash drives to take home for preview, review or catch-up. Ultimately, we will be able to load these presentations on the Internet.

6 Before You Start On the desktop, right click your mouse. Click on. Click on Give your folder a name. This folder will contain your PowerPoint presentation and any sound or movie files associate with it. Keep them in one place so they can work together.

7 Getting Started Click on the PowerPoint Icon to open the programme. Click on in the first window.

8 Getting Started A window will open with standard templates to choose from. Click once on an icon to see what the template looks like Click OK when you have one you like (you can always adjust colour schemes later.

9 Getting Started This takes you to the AutoLayout page. The easiest way to get started is to select the Title page and click OK.

10 Getting Started Now you can start inserting content. Give your piece a title and prepare to move on. Click on this icon in the lower corner (3 rd from left) to get to the full slide view.

11 Getting Started Click on the command in the top left tool bar.

12 Getting Started Clicking on will bring up a selection of slide templates. Choose the template that best suits your content. For our purposes, select the one with a text box on the right and an image box on the left.

13 Getting Started Choose this one.

14 Getting Started – Adding Text Click on the text box to begin adding text. If bulleting has been selected from the toolbox at the top right, every time you press on your keyboard a new bullet will appear at the same level. If you now press the “demote arrow” in the top right corner, it will place the item as a subsidiary item.

15 Getting Started – Adding Images If you double click the image box, it will connect you with clip art on your computer or allow you to access Microsoft’s clip art online.

16 Getting Started – Adding Images You could also use the button on the top left toolbar, then click on and one of the options from there – to insert other kinds of images. I suggest you collect any images you need and have them in a folder, ready to use.

17 Getting Started – Adding Images An easy way to get an appropriate image is to use Google’s image search. Minimize this presentation. Open IExplore from the the desktop. Go to Google image search. Find an image and right click on it to copy it. Paste it onto your PowerPoint slide and drag it over the image box. It will re-size to fit the space.

18 Getting Started – Adding Sound To do this, you need to have a sound on file, ready to go. If you want to use the PowerPoint on more than one computer, you need to ensure it is in a folder with the PowerPoint presentation – or you may be trying to link to a sound residing on another computer – Oops!

19 Getting Started – Insert Sound To insert the sound, go to the command in the top left toolbar. Click on then. Browse to your PowerPoint presentation file and select the sound you want. You will be asked to select if you want it to start automatically or by mouse click. A sound icon (much smaller than the one to the right) will appear on your slide. Drag it to wherever you want it, or even hide it off screen in the gray area.

20 Getting Started – Movies Insert a new slide to try out the movie function. This time, why not choose a blank slide, since we want a large window for the movie to run in.

21 Getting Started –Movies The process is the same as for inserting sounds. Make sure that you have the saved movie file in your folder. Go to then then, then browse to your selection. You will be asked if you want it to start automatically or by mouse click.

23 Animation You now know how to insert content. The next step is to animate. Use animation to stimulate interest. However, be careful not to overdo it. Too much flash and bang detracts from the content.

24 Animating Text Keep a consistent method for text to arrive. Since we read from left to right, having the text appear from the left is logical. Have entire bulleted items arrive at the same time – not one word or one letter at a time as this is grating to the reader. While it is possible to have text arrive in different ways, it is slickest when standardized.

25 Animating Text Using the menu selection allows you to custom animate all text in a standard way.

26 Animating Text Right click your mouse. Click on

27 Animating Text Click on Tick on and select at least <3 rd level paragraphs

28 Animating Images You will also coordinate when text arrives while doing this. Begin with your first non- title slide. Right click on either a text box or an image. Click on.

29 Animating Images In this window you need to check off anything you want to animate. Anything not checked will be on the screen when the image opens. Choose your transition effect and decide whether you want sound or not (best not if your PowerPoint is to be presented – transition sounds are distracting). Sound is fine if your viewer is just looking at their own computer screen.

30 Animating Images Decide on what order you want things on this slide to come. Use the arrows in to arrange things. While clicked on an item, choose to introduce an item with a mouse click or automatically – if the latter, select the timing.

31 Experiment You have now covered the basics. Play around and see what is possible. In a couple of hours you can master the basics, but you will continue to learn as long as you use the programme.
