Duty Log and Chat Setup SSG Frese, Jerome S. Sensor Manager Cell 12 MDD

Overview Duty Log and Chat is a Microsoft Access Database created to automate the Reporting and Logging process for Sensor Managers The Database has the built in capabilities to be modified for use by other Organizations

Start Up When starting the database, a Security Warning will appear. To continue, click the button labeled Options

Security Warning Select “Enable this content” Click “Ok” This will allow the Database’s programming to operate correctly. If this is not done, many if not all of the features will not function as designed.

Main Tab This is the Main Tab. In the Main Tab, you have 2 Options. Clicking the Shift Button will start your assumption of Shift. Clicking the Admin Button will open the Settings Menu Tab where you will setup the Database for your Unit.

Settings Menu The Settings Menu Tab has many buttons for various settings. The Settings Button will allow you to edit the General Settings The Shift Settings Button will allow you to modify how you assume shift and the information initially set into the Duty Log

Settings Menu (cont) The Tables Button will allow you to modify up to 25 Tables that can be linked to Dropdown Boxes or List Boxes for easy selection. The Form1 thru Form10 Buttons will allow you to modify each individual Forms that are opened at Shift Start and used.

Settings (General) (cont) Unit – This is used for the Unit box on the DA 1594. Organization - This is used for the Organization box on the DA 1594. Location - This is used for the Location box on the DA 1594. Classification – This will add a Classification at the Top and Bottom of the DA 1594.

Settings (General) (cont) Save Location – This is the base directory where the files will be saved to. Files are saved prior to Email and when the Save Button is clicked on the Shift Form. Additionally, there will be subdirectories created following the “MMMYY Shift\” format. Save File Name – This is used for the file name of each save file. The save file will be in PDF format and will end in “- DTG.pdf”

Settings (General) (cont) Form Name # - These will change the name of the Forms on the Tab on the top bar when a shift is started. If there is nothing in the field, the form will not load when Assuming Shift. The form data, entered elsewhere, will not be deleted. Save Changes – This button is the only way to update the settings. Closing the Tab without clicking this will result in no changes being made.

Shift Settings (cont) Crew Member # – This block is for the duty position of the Crew Member. Currently only 4 positions are supported. Detail Name #– This is the name listed that will be Entered. Example would be if you require to log a current status, Current State would be a good entry for one of these fields. Currently there are 30 fields associated with this form.

Shift Settings (cont) Detail Dropdown – This will contain the table name for a Dropdown List to appear when filling out the Shift form. The options will only be the Table Names. For how to set this up, see Table Settings. Detail Prefix – This entry will, only for purposes of Duty Log Entry, add whatever is listed before the Detail. If the Prefix is set to ABC: and in the Shift window states DEF, when the Start Shift button on the Shift Tab is selected, the log entry will state ABC: DEF Detail Post - This entry is the same as Detail Prefix, except the entry will follow the Detail. For the previous example, it would be DEF ABC:.

Shift Settings (cont) Action Taken – This box is for the DA 1594. Whatever is listed in this box will be entered in the DA 1594 under Action Taken for the event. Save Changes – This button is the only way to update the settings. Closing the Tab without clicking this will result in no changes being made.

Tables

This Tab is opened by clicking the Tables Button on the Settings Menu. This is where any modification to any table in the Database will take place. The database handles Emailing of the Duty Logs as well as posting to mIRC Channels if the IRC Server allows this option.

Tables (cont) Email List – This is a list of email addresses that can be selected as recipients of a generated email with the DA 1594 attached. The email will be generated by clicking the Email Log button on the Shift Tab. The email will need to be manually sent to add a human in the loop in case of accidental emailing. Chat Channel List – This list will be on every Form opened so that selected channels will be sent the message generated in the form. Both of these lists can be edited, items added, and items deleted from this form.

Tables (cont) The Table1 thru Table30 buttons will allow you to edit the individual tables in the Database Tables in the Database are used for Dropdown Boxes in the Shift and Form tabs. The are also used in the Listboxes in the Form tabs.

Table# (cont) The area that says Table 1 next to the Change Name Button will allow you to change the display name of the Table. This makes using the Tables in the Shift Settings and Form Settings tabs easier. Once the name of the Table is changed, the Change Name button will update and save the information to the database.

Table# (cont) Display box will have the name of the item as it will appear in the Listbox or Dropdown. Chat is the entry that will contain the actual portion of the message that will appear in the Message box on the Form tab as well as in the Log. These 2 items, Display and Chat, should contain multiple entries. Currently there is no known maximum number of entries that can be made.

Form Settings (cont) From the Setting Menu, clicking a Form# button will bring you to the Form Settings tab for the form. From the Form Settings tab, you will modify the look and actions of a form.

Form Settings (cont) Detail Name is where you will put the name of the information you are prompting input for. This is for typing in information to be added to the log and sent over chat. Detail Name

Form Settings (cont) Detail Prefix is where you will put the message that will show before the Detail Value (from the form that is typed in by the user) for the Log and Chat message. Detail Prefix

Form Settings (cont) Detail Post is where you will put the message that will show after the Detail Value (from the form that is typed in by the user) for the Log and Chat message. Detail Post

Form Settings (cont) List Name is the title of the information you will be asking the user to select from the fields listed in the List Box. List Name

Form Settings (cont) List Displayed is the Table that will populate the Listbox on the Form. Users will select one or more option from this for the Log and Chat message. List Displayed

Form Settings (cont) List Prefix List Prefix will have the message that will be appearing before the list selection in the Log and the Chat message

Form Settings (cont) List Multi List Multi will be checked if the Listbox should allow multiple selections. The Listbox will allow multiple selections if it is not checked, but will only report on the first selected item.

Form Settings (cont) Order of Appearance is where you will enter what is the first, second, and so on in the message for the Duty Log and Chat Message. When making changes, make sure to Save Changes prior to adding an item and modifying the order. The dropdown list will be generated from the names of the Listboxes and Details. Order of Appearance

Form Settings (cont) Save Changes button will save the current changes to the Database. Closing the tab and reentering the Form Settings will update the information before modifying the Order of Appearance selection. Action Taken will update the Action Taken on the DA 1594 when the Log button on the Form is clicked.
