1 Understanding Payments Nic Hone 29 th January 2015

2 Background Practices receive monthly and quarterly payments from NHS England, Local Authority and EHS and HR CCGs NHS England are responsible for GMS/PMS Contract, NES and DES payments EHS and HR CCGs are responsible for Local Commissioned Services (LCS) formerly LES, Practice Based Commissioning Schemes (PBCS) and Adhoc payments.

3 CCG Payments Local Commissioned Services (LCS) and old Practice Based Commissioning Schemes (PBC) Payment is claimed quarterly (monthly for some services) by LCS claim sheet. This must be returned to the CCG for processing by the end of the 6 th of the individual month or the month after quarter end. A payment schedule is then prepared by the CCG, authorised and sent to SBS for payment in the following week. Once the amount is agreed your claim form is returned to you showing any amendments i.e. quarterly payment etc and this should help reconcile against the SBS remittance. Payment details will appear on the SBS remittance.

4 CCG Payments Adhoc Payments E.g POF attendance, PCCS, Over 75s, Payment is claimed by invoice raised to the CCG monthly or as required. Practices send the invoice to Shared Business Services (SBS) in Wakefield. The invoice is then approved for payment by the CCG and will be paid via SBS. Payments will appear on SBS remittance

5 Notice of Payments Exeter Statements Each month the Practice will have access to Open Exeter and a statement detailing payments. GMS – 24 th of month PMS – 21 st of month Open Exeter – Remember that you will now receive your remittance advice on the day that the payment is raised, details will be available on Open Exeter but this could be a few days later. There will be no CCG payments on the Exeter statement

6 Remittance Advice Important Points Reference Number - If you have a query please either phone or email and quote this number from your bank statement or remittance advice, with this the payment accessed. Payment Date – This is the date the payment will be made into the practice bank account. The total can be several items added together. If one or more payments have been processed they will be ‘lumped’ together. These could relate to an Area Team or a CCG Payment or both. Please let us know if a CCG payment is “lumped” with an Area Team payment. Also let us know if you do not receive remittance slips

7 Remittance Advice Continued… Any payments that are a ‘-’ or a ‘+’ will be added together. Generally any invoice number starting TE (showing TW here as I plagiarised from HWLH ppt – thank you) will be an NHS England payment and not a CCG payment Remember to check against the dates of payment to help understand what you have received. When payment is for an invoice that the Practice has raised to the CCG, the invoice number will appear on the remittance advice. It’s important that the Practice keep a record of all invoice’s that have been raised using a sequential numbering system. The invoice number will appear on the remittance advice and can be used to reconcile payments to the bank.

8 Invoice Template Before submitting please make sure that all required fields have of been completed. If not, SBS may reject the invoice and will delay payment. 9 Points to Remember & Contacts Any payments you are unable to reconcile please phone or email with details. LCSs or Adhoc invoice’s should be paid within 28 days. If you have a payment query relating to an invoice the Practice has raised to the CCG please contact the person to whom the invoice was directed.
