2 Open a email Click on your inbox and click on a email you want to open then it will open.

3 Send a email To send a email, click on new in the top left corner above your inboxes.

4 Reply to a email Click on a email Press the first purple arrow what says reply

5 Forwarding emails To forward a email you go into email then click on the email you want to forward then at the right top there is a blue arrow which is forward. Once you have clicked forward then you can send the email onto another persons email.

6 Archiving e-mails To organise in coming email I will set up a inbox rule. This will send appropriate e-mails to the correct folder. I can store my e- mails in an efficient manner ready for viewing at a later date. I used the option function, see all options then clicked organise e-mail. Company policy (Acceptable use policy) Arrange your mail - Read messages with high importance first then either save the message in to an appropriate folder or delete the message. Set up in-box rules for distributing with junk mail from people wanting to cause offence. Keep your in-box structured, move messages in to folders or delete messages on a regular basis. Permanently remove ‘Deleted Items’ once you are sure the messages are no longer needed. All e-mails with attachments should be dealt with appropriately, the attachment saved to a folder and the e- mail then deleted.

7 Add attachments Go on your email Click new to make a new email Click the paper clip icon next to the save icon This will attach a file from your folder

8 Open an attachment Click on an email with an attachment Click on the attachment and it should appear. Click open

9 Save an attachment Go onto inbox Click on a email containing an attachment Then click save at the bottom.

10 Use CC and Bcc Click on new when you log into your email Click options at the top Make sure the show Bcc is ticked Type in a email in to, Cc and Bcc This will send it to someone, send a copy to yourself but no one can see you’ve sent it to yourself. Attach a file Write what the email is for above your signature

11 Use folders Right click on inbox Click create new folder Name your folder If needed more folder within the same topic then right click on the folder you’ve created and click create new folder.

12 Digital signature Log into email Click on options Click all options Click setting on the left Type in a signature After your signature click on automatically add signature then scroll down and click Save. From now on all new e-mails will have your signature attached.

14 Use of high/low importance New email Type email Type subject Type message Click on options at top Click the arrow on importance Click high Press OK

15 Email etiquette Use a suitable subject in the e-mail which helps you understand what the message will be about. Start e-mails by addressing yourself this is about being polite and showing respect. Try and use paragraphs which is normal practice for extended writing. Use capital letters where appropriate which is also normal practice for extended writing. Make sure you end e-mails with “Kind regards, Regards, Thanks” which is normal practice in a business context. Sign off your e-mail with your name and job title which is normal practice in a business context No text speak or slang is used which is expected in a business environment Good use of language, spellings and grammar, this is also expected in a business environment. Include company name and logo.

16 Email safety Change your password regularly and keep it in a safe place. Don’t share your password with anyone. Don’t open attachments from anyone you don’t know. Log out or sign off from your account when you’ve finished looking at/sending your email. Don’t reply to spam or forward chain emails. Keep your personal information personal – don’t share bank or credit card information by email. Your bank/building society will not discuss your private financial situation by email. If you receive any correspondence that claims to come from your bank, telephone your branch to verify it and discuss the matter over the telephone instead. Make sure that you have antivirus software installed and keep it up to date. A strong password must contain the following elements: Aproximately 8 characters long Includes upper and lower case letters Includes at least one number Contains alphanumeric characters.. e.g. #SausageMeat10

17 Set up contacts Click on contacts at the bottom on the left Then click new on the top Type in information Click save and close
