1 INTRODUCTION TO PROJECT PLANNING AND APPRAISAL SWOT ANALYSIS

2 Used to analyse the internal strengths and weakness of organisation and external opportunities and treats it faces. Can be used as a tool for general analysis or to examine how an organisation might address specific problem or challenge.

3 Steps of SWOT Analysis Ideas are generated about internal strengths and weaknesses of an organisation and threats. Situation is analysed in terms of how the organisation`s strengths can be built on to overcome identified weaknesses and opportunities to minimise threats. A strategy for making improvements is formulated and used later using additional planning tools.

4 COMPONENT OF SWOT ANALYSIS STRENGTHS : Motivating and internal factors within the control of the organization. Occur at present and should be capitalized upon WEAKNESS : Inhibiting factors which can affect the organization but mostly beyond the control of the organization. OPPORTUNITIES : External positive factors which can affect the organization but mostly beyond the control of the organization THREATS : Negative external factors normally beyond the control of the organization

8 STAKEHOLDER ANALYSIS Some Definitions Stakeholders : Individuals or Institutions that may directly or indirectly, positively or negatively be affected by or affect an issue or activity and are in position to influence on its outcome to their benefit. Beneficiaries : Those who benefit in whatever way from implementation of an activity. Target Groups : Group/Entity who will be directly positively affected by the activity at the activity outcome level.

9 Stakeholder Analysis Main problems identified and cause and effect relationships. On whom these problems impact on most. Ask what the roles and interest of different stakeholders might be in addressing the problem and reaching solutions. On some occasions- advisable to undertake stakeholder analysis before problem analysis. Reason? There may be strong competing interest within or between stakeholder group that may influence their impact with problem analysis.

10 Purpose of Stakeholder Analysis Understand the interest of different groups and their capacities to address identified problems. Design activities appropriately address institutional capacity, distributional and social issues. Stakeholder analysis: Ask the questions (whose problem?) (who will benefit?). Also helps to determine who needs to change the way they operate to address problems to achieve desired objectives.

11 Steps in Stakeholder Analysis Identify the principal stakeholders Investigate their roles, interest, relative power and capacity to participate. Identify the extent of co-operation or conflict in relationship between stakeholders. Interpret the findings of the analysis and define how this should be incorporated into activity design.

16 Size of the circle used to indicate the relative power/influence of stakeholder groups. Spatial separators used to indicate relative strength or weakness of the working relationship between different groups. Can be used to analyse the potential conflict between different stakeholder groups.

18 Legend The agency has relatively strong technical management skills. The agency has some critical shortcomings in terms of transparency and accountability, its relationship with clients and learning and evaluation mechanisms. Key requirement in undertaking this type of analysis is to include all the relevant characteristics of the organisation.
