Program Wednesday 14.00 – 15.00 Welcome and presentation, coffee 15.00 – 15.30 Presentation of Picturae – digitization projects (how much time do you need?) 15.30 – 16.00 Short presentation of Botanical collection at NHM, focus on challenges. Data entry tools. Digitariums data entry tool. 18.00 Dinner at Olympen Thursday 09.00 – 12.00 Visiting the collections (all 5 floors) (probably too much time we can move to progress plan) 12.00 – 13.00 Lunch at Munch museum 13.00 – 14.30 Progress plan – assignment agreement

Projects in 2015 and 2016-2017? Wishes 2015 – Budget 4,2 mill. NOK 1.Transcribing of General vascular plant herbarium 2.Imaging of General vascular plant herbarium (50 boxes) Imaging of Arctic vascular plant herbarium (500 boxes) 3.Imaging of Nordic vascular plant herbarium (9278 boxes) probably 4.Transcribing of 2, 3 and 4 Wishes 2016 and 2017, depending on funding 1.General lichen herbarium (2100 boxes) 2.Norwgian bryophyte herbarium (880 boxes) 3.Transcribing of 1 and 2

Vascular plant herbaria General herbarium – almost all material imaged by Digitarium. Due to mounting and growth about 5 000 sheets for imaging in 100 boxes. Arctic herbarium – 40 000 sheets originally in 930 boxes. We try to compress shipment to 500 boxes. Nordic herbarium – 700 000 sheets in 9278 boxes. 185 of Orchids must be withheld due to CITES regulations.

Vascular plant herbaria - challenges Imaging/scanning process Herbarium sheets, data recorded labels but no barcodes. Herbarium sheets with more than one gathering. Some times difficult to detect if there is more than one gathering. Examples. Gathering with more than one sheet. Not a big mistake to give them separate record number. Loose labels, especially from Ecochange, ignore to glue them on. Labels glued on each other (very rare) or large folded labels. We need more than one image (very rare). Herbarium sheets with capsules (common for very small species for example genus Lemna, Elatine). Ignore to open the capsules. Plant material cover labels. If the label is partly glued it may be possible to let the labels cover part of the plant material.

Vascular plant herbarium - challenges Data entry Material with complex determination history. We want the latest determination. Old labels can be difficult to interpret. General herbarium may be the most challenging herbarium. Synonyms Homonyms Tools from NHM Taxon lists, person name list, geographical places, all previous data from entered labels. Splitting the data entry on Nordic herbarium, Arctic herbarium and General herbarium will probably help.

Bryophyte herbarium (beyond 2015) Imaging process Weak capsules, add a new one (or we may do it by ourselves?) Remember all the loose labels inside the capsule. Some times there several of them. Not to be glued. Already barcoded capsules, also remember to image the barcode on the backside of the capsule. Data entry Old, handwritten labels are common. Synonyms are not immixtures, often marked with = Immixtures are mostly marked with a + symbol Immixtures must always have the same information as the main collection (of course exept taxon).

Lichen general herbarium (beyond 2015) Imaging/scanning Lichens on stone – enough depth of field? Some boxes heavy. Lichens on soil is very fragile material (usually we glue the soil when we handle this material today) Remember all loose labels inside the capsule (not to be glued) Labels outside capsule glued on each other. We need more than one image. Capsules glued on sheet, must be removed (we may do it ourselves?). Some objects are on herbarium sheets. Ignore immixtures.

Other collections beyond 2017? NHM, Tøyen Algae Fungi Norwegian lichens Økern Nordic vascular plants, Hieracium, Taraxacum and Rosa. Several small fungi herbaria, both Nordic and General General bryophyte herbarium The ambition is to image all the botanical collections and to transcribe all labels

Our data entry tools Vascular plants – database developed by UiO (MUSIT). Bryophyte – will be migrated from a dos- based database to MUSIT this winter. Lichens - will be migrated from dos-based DataPerfect to MUSIT 2015/2016. Special contructed excel file for importing labels to above mentioned MUSIT databases.

Entering of data Transcribing manual? According to tender Taxon genus and epithet, last determination. Geography - Country, state/province, municipality – the field «Administrative place» in our databases have all these levels implemented and connected. Year – but easier to choose right geography if we have full date especially for Norwegian/Nordic material Extra costs for full date? If full date use verbatim. Collector (verbatim)

Transport We are ready in time Unfortunately no ramp at Tøyen We have earlier unloaded three truck with a tractor with pallet fork. About one 1 to unload 26 pallets. We have not tried to load a truck at Tøyen We will probably hire container for temporary storage of stacked pallets at Tøyen
