3  Click on the Titanium Icon on your desktop to open the program  Log in with the username and password given to you by Sherri (contact Sherri if you need assistance). 3

4 4 Displays whose schedule(s) you are viewing and at what date(s) Changes the Date(s) Displayed Home: Returns to your default home schedule page Go To: Displays the calendar for a specific date Find: Locates the client’s next scheduled appointment Find Open: Locates the client’s next available time slot Drop Down List: Allows you to Change the User/Schedule Group Currently Displayed

6  Right-click on a cell at the appropriate time and click on “Add” and then click on “Individual Appointment” 6

7  In the window that appears type in the student’s ID number, last name, or first name and click the Find button. 7

8  Double-click on the student’s name and fill in the appropriate information on the next page if needed  Click “Save” and then “Exit” when all necessary information has been provided 8

9  The appointment now shows up on the SSIS calendar.  Icons represent visual information about the appointment. The first icon from the left indicates the type of appointment scheduled The second icon from the left indicates if a comment is associated with the appointment The third icon indicates the attendance status 9 Type of Appointment Comment? 10  Right-click on a cell at the appropriate time and click on “Add” and then “Group/Couple Appointment…” 10

11  These appointments are a series of appointments that repeat at set intervals.  Right-click on a cell at the appropriate time and click on “Add” and then click on “Recurring Group/Couple Appointment Definition…” 11

12  In the box that appears, fill in the appropriate information in the “Appointment Information” tab.  Next, click on the “Scheduling” tab to add other counselors’ schedules to the appointments. 12

13  Click the “Add/Select” button to add other counselors’ Titanium calendars to the recurring appointment. 13

14  Select the schedules you would like to have the appointment added and click “Ok”, “Save”, and “Exit” 14

15  Placeholders reserve a block of time for walk-in appointments or emergency appointments.  Right-click on a cell at the appropriate time and click on “Add” and then click on “Placeholder for an Individual Appointment…” 15

16  Fill in the appropriate information, then click “Save” and “Exit”. 16

17  The placeholder now shows up on the appropriate schedule in a background color. 17  You can schedule an appointment overtop of a placeholder if you should need to make one during that time period.  To do this, schedule the appointment as usual, and it will show up overtop of the placeholder.

18  Click the “Find” button on the Navigation Bar 18  In the window that opens, enter the individual’s information you wish to find appointment information and click “Find”.

19  Double click on the appropriate individual. 19  On the following screen, you will see all of the appointments the individual has been associated.

20  If you select a particular appointment, it will take you to the appointment on the schedule. 20

21 21  The navigation bar is the main tool to change the schedule view. 22  Click on “Open” in the Navigation Bar, then “Clients” 22  Type in the Client’s information to make sure he/she is not already in Titanium Schedule  If no record exists, click “Add Client”

23  Add all of the appropriate information as needed. Some of the information may come into the office later with forms. 23

25  To open your task list, click on “Open” and “Task List” 25  The Task list will appear in a new window

26  Three types of client notes: Progress Notes: most common confidential notes ○ Examples: Intake notes, Session notes, Termination notes, Referrals, Phone Contacts Process/Psychotherapy Notes: rarely used confidential notes for the therapist themselves or another therapist ○ Will not print with a client’s case file General-Use Notes: less confidential and are frequently used by front desk staff to enter information ○ Examples: demographics, presenting problems list 26

27  Access to clients notes will depend on the user’s security level 27

29  To enter client notes for an individual appointment, go to “Open”, then “Task List”  The Task List will show you the clients without a client note.  Select the file missing the client note by double- clicking 29

31  Under the narrative tab, select the type of note you wish to enter.  If there is a template associated with your selected type of note, it will automatically appear.  Enter the appropriate information in the note field 31

32  If data forms are associated with the client’s information, then a number will appear beside the data form button.  Click on the “Data Forms (1)” button to view and/or complete.  If you need to add an attachment to a client note, click on the “Attach” button and select the file you wish to attach. 32

33  When you are finished adding all of the appropriate information, sign the client note in your designated signature number.  If you are signing in the 1 or 2 slot, then you will need to forward the note to your supervisor for the final (3) signature. 33

34  To enter client notes for a General-Use Note, open the clients record by selecting “Open” and “Clients”  Enter to client’s information in the next window to find the client’s file.  Click “Client File” on the menu bar and then click “New Note” on the next screen  Click “Yes” on the information message 34

35  Select the note type as General-Use and enter the appropriate information as shown in previous slides. 35

36  To change information in a locked client note: Open a locked client note and click the “Addendum” button Enter the information in the Addendum field Sign the client note in the appropriate numbered field Click “Save” and “Exit” 36

38  Individual Appointments  On the Schedule Viewer screen, left-click on the attendance icon and select the appropriate attendance description 38

39  Group Appointments  Open the group appointment by double-clicking on the appointment located on the Schedule viewer or from the task list  Click the Scheduling tab and “Edit” to make changes 39

40  Always associated with a Note  Click on “Open”, “Clients” or “My Clients”  Next, click “Client File” on the menu bar  On the Client File screen, click the drop down arrow beside the “Filter” list and select “Data Forms” 40

41  Double-click on the desired data form to view it. 41
