Purpose: “Getting Connected” Purpose: Provide quick and easy access to new Faculty and Staff to key enterprise systems.

Quick Systems Access User immediately has access to UCR Campus enterprise email system and wireless

Overview of UCR NetID Upon Hire – New employee entered into PPS – Tel coordinator creates UCR Net ID & Temporary Password Results: – Next Day Access to Email and Wireless Network – Next Day Access for SAA’s to assign user responsibilities Accountability Controls – Upon employee termination within PPS, UCR NetID is inactivated automatically over night. Please note that UCR Webmail remains active according to UCR ECP (60 days senate faculty, 30 days staff, and indefinite for Emeritus Faculty. – Immediate (within 2 hours) UCR NetID inactivation enabled through UCR Tel program

Process Overview 1. New Hire (please note that this process will also be used for existing employees who need to have their passwords reset) 2. Enter Employee into Payroll & Personnel System 3. Department Personnel Administrator provides the Tel Coordinator the UCR NetID form Highlights of the New UCR NetID Form Available On-Line Department Keeps the Original as department of record, in employees personnel file Does not require Department Head or delegate signature The employee is automatically granted the authority to obtain a UCR Net ID by being employed and entered into PPS. UCR Net ID provides access to campus email system and wireless. To obtain access to other administrative systems either the SAA grants access (via EACS) or a form must be submitted for IBM systems, Legacy systems, or PeopleSoft.

Process Overview (continued) 4. Next Day Tel Coordinator enters the employee into the Tel Database AND creates a UCR NetID AND assigns a Temporary UCR NetID password 5. SAA’s (System Access Administrator) authorize employees via Enterprise Access Control System(EACS) for transaction processing systems 6. Employee’s can begin to utilize UCR Webmail, Wireless, and all systems they have been granted access to 7. Employee registers Permanent password via the web (must be completed within 7 days)

Accountability Controls “ Given the recent expansion of systems available via the iViews portal and the associated importance of quickly revoking access when such access is no longer appropriate, the Financial Systems Steering Committee (FSSC) is announcing the deployment of new functionality that will disable UCR NetIDs based upon an individual’s status within the Payroll Personnel System (PPS).” Gretchen Bolar, Vice Chancellor, Academic Planning and Budget UCR NetIDs are in general managed by departmental Tel Administrators while campus System Access Administrators manage EACS entries. – Currently, when it is no longer appropriate for an employee to access the portal (or applications within the portal), either the Tel Administrator must inactivate an employee’s UCRNet ID or the SAA must remove authorization within EACS.

Automated UCR NetID Process Employee Separation within PPS. When an employee separates from the university, his / her UCR NetID will be automatically disabled the following business day. Thus, when the user attempts to login to the portal, he or she will be denied access. Access to E-mail. Employees who leave the university in good standing are allowed to access their e-mail for 30 days after their separation date. Such former employees will access their mail by visiting webmail.ucr.edu or by accessing their mail via Eudora or Outlook. Enterprise Access Control System. Employees who separate from the university will not have their EACS profiles altered. Many employees who leave the university (e.g. via retirement) return on a limited, casual basis. Such former employees may have their UCR NetID re-activated as an Affiliate. Once the UCR NetID is made active as an Affiliate, the former employee may once again use the portal and the applications he or she has been authorized to use via EACS. Request for establishment of Affiliates may be sent to Terri McDonald at Computing and Communications (terri.mcdonald@ucr.edu).Upon Separation of Employment UCR Webmail will remain in effect for;terri.mcdonald@ucr.edu
