3 PLM Master Data Coordinator (MDC) - Army DODAAC
SAR APPLICATION PLM Master Data Coordinator (MDC) - Army DODAAC PLM Master Data Coordinator- Vendor RICs PLM Master Data Coordinator (MDC) - Army DODAAC. This application allows the DODAAC Coordinator to submit DODAAC Requests in AESIP. PLM Master Data Coordinator- Vendor RICs: This application should be selected if the DODAAC Coordinator will also serve as a RIC Coordinator. In the justification field of the SAR, the new ANS should indicate that they are a new primary (or alternate) DODAAC Coordinator (and provide the name of their Installation or Command). On the next screen of the SAR, the ANS should select the types of transactions that they will be requesting while performing their job duties. (Must be completed for each role selected). USARNORTH ANS should select the following: PLM MDC- Army DODAAC: Deployment, Normal, Redeployment PLM MDC Vendor RIC: Single Stock Fund not Needed (AWCF SSF DODAACs are only submitted by the LAISO ANSs)

The Tutorials encompass all functions that the new ANS/ DODAAC Coordinator will be performing in AESIP. Each Tutorial has a corresponding Assessment. Some scenarios included are: Creations Realignments Mass Realignments Changes Reinstatements Extensions Modules beginning with a ‘C’ indicate Customer Master (DODAAC) and modules beginning with a ‘V’ indicate Vendor Master (RIC) [Must be completed if the DODAAC Coordinator will also be a RIC Coordinator]. A score of 80% must be achieved for each assessment. Tutorials and Assessments can be taken an unlimited number of times. The USARNORTH ANS should select Area 1 (Active Army-Army Reserve). The objective of each scenario is to train the new ANS how to process each type of DODAAC request in AESIP, in addition to teaching the ANS how to navigate the AESIP system.

5 Welcome Screen This is the AESIP Welcome Screen. To be able to access the AESIP system, either for input or queries, you must complete a SAR at the LOGSA home page. The Detailed Navigation screen is located on the left and contains several menu options. On this screen, there are three tabs present (depends on access level): Customer Master (DODAAC) Processing, Vendor Master (RIC) Processing, and BI Documents. There are several access levels: 1. Query Access Only 2. PBO Warfighter= Can submit transactions to the MDC 3. Master Data Coordinator (MDC)= ANS/DODAAC Coordinator/RIC Coordinator 4. Master Data Specialist (MDS)= Reviewer 5. Master Data Manager (MDM)= Final Approver If you are not a ANS, you may request query capability. Access to Army DODAAC, RIC and Contractor DODAAC input requires additional permissions.

6 Pending DODAAC Worklist
The Pending DODAAC Worklist screen will only show if there are transactions directed to an individual account. This is used mostly by LOGSA. Some ANSs who have granted permission for PBOs to input transactions to them will also have actions. Transactions are color coded based on the Action Type. This Pending Worklist shows Contractor DODAAC and Normal (Routine) DODAAC transactions (green).

This Pending Worklist shows Deployment/Redeployment and Mobilization transactions (blue) and NTC Depex transactions (yellow). In addition, the Pending Worklist will show the Request Type (New, Change, Realign, etc.).

The Pending DODAAC Worklist can be filtered by Type of Action, Org ID (who submitted the transaction), UIC, Contract Number, or Date.

9 Army DODAAC Maintenance
The Army DODAAC Maintenance Request Menu includes the options below, along with a description of each menu option. Most actions done by the ANS will be done in this menu. Create- Create a new Army DODAAC Change- Change an Army DODAAC Realign- Realign to a different UIC Mass Realign- Realign several DODAACs under a UIC to a new UIC Reinstate- Reinstate a DODAAC that has been deleted for less than 30 days Inactivate- Delete an Army DODAAC

Select ‘Create New Army DODAAC’ The UIC must be active. Enter the UIC of the unit and click ‘Submit’.

CONUS This is the drop down selection for the DODAAC description and should be selected before starting the transaction. In this example, we will look at a CONUS DODAAC Request. Three basic DODAACs are given to most new units – PBUSE, SAMS-E and S4 USE. If in question on the description, please check. With the exception of Deployment DODAACs, the unit must have authorizations in order to have a PBUSE DODAAC.

Once the description is selected, the system will give you a choice of only those Requisitioning Authenticity Codes (RACs) that apply to that type of DODAAC. In this example, your choices are either PR (requisitioning) or PU (non-requisitioning) which corresponds to the PBUSE description. If the second position of the RAC code is “R”, the DODAAC is requisitioning; If the second position of the RAC is “U”, the DODAAC is non-requisitioning.

MACOM Unit Name The red * areas must be completed before submitting a transaction. Certain information is auto-populated based on the data input into certain fields. The UIC entered auto-populates the MACOM and Unit Name (Addressee) information for the DODAAC. The FSN selected auto-populates the fiscal station number address. FSN access is determined by ORG ID- Certain Organizations have access to certain FSNs.

Type of Action Types of Action for Army DODAAC requests include the following: DEP - Used when the unit is transferring to the theater of operations. -REDEP - When unit is returning from deployment and DODAACs are being realigned from Rear DUICs back to the Parent UIC (required for unit RESET). -MOBE - When DODAACs are being realigned to Rear DUICs prior to unit arrival at MOBE Station. This type of action should also be used by MOBE Station DODAAC Coordinators when assigning mobilization DODAACs to units upon arrival at the MOBE Station. -MOD - Modularity related transactions including, but not limited to, realignments of DODAACs for transformation to BCTs. -DSRX (No Longer Used) NTC /NTC DEPEX - When the units are being sent to Fort Irwin or are doing training prior to deployment. AWCF SSF - Used for SARSS movement, change, deletion, and creation. Only the SARSS managers should utilize this type of action. -NORMAL- Routine DODAAC maintenance such as address changes, BBP changes, DODAAC deletions, etc. -NGBROU/NGBMOD/NGB- REDEP/NGB MOBE- National Guard actions. The Type of Action selected will route the request to the appropriate ACSP POC at LOGSA.

Enter the physical address of the unit. Then click on the binoculars to enter the zip code which will auto-populate the city and state. Select the city where the unit is located. Do not select shortened names for cities.

Click on the Binoculars to select the appropriate Standard Point Location Code (SPLC). It is important to have the SPLC identified in advance. Once you select SPLC, it opens another query screen.

Enter the nine digit zip code that you verified with USPS. Click ‘Submit’. Based on previous research, you should be able to select the appropriate SPLC code.

To establish a DoDAAC as a new BBP, leave the BBP/CCP blank so that the system will default to the new DoDAAC as the BBP. To identify an established BBP, click binoculars for BBP/CCP.

The zip code will be autopopulated from the information you input on the TAC address. Once the BBP DoDAAC is selected, the system will auto-populate the DSS ALOC and the SPLC . Based on previous research, select the BBP DoDAAC that best matches your location.

Once the BBP DoDAAC is selected, the system will auto-populate the DSS ALOC and the SPLC . If you input an existing BBP, the system will overwrite any entries that had previously been input for the DSAL and SPLC.

Select FSN. Access to FSN is determined by the ANS Roles and Permissions. You are allowed access to only your FSNs that apply to your organization. Some ANSs will have multiple FSNs, while some will have only one.

A list of Requestor IDs is tied to the Organization ID. These Requestor IDs are tied to the legacy FSN (FSN prior to GFEBS). Due to GFEBS, the drop-down menu now includes a Requestor ID field. If your organization is using FSN for GFEBS, you will select for the FSN and the Requestor ID will identify the legacy FSN. If your organization has not converted to GFEBS, the Requestor ID field and FSN will be the same. The Organization ID is not editable by the MDC- It is auto-populated based on the user’s portal ORG ID. Once the FSN is selected, the system will auto-populate the TAC 3 billing information.

23 DODAAC Request Creation Form
OCONUS For ARCENT Deployment Sites, click the “ARCENT Deployment Site” box. The TAC 1 and TAC 2 information will be auto-populated based on the Site selected from the drop-down list. In addition, the APOD and WPOD will be autopopulated. The previous example showed a CONUS DODAAC Request. This is an example of an OCONUS DODAAC Request (for an ARCENT Deployment Site). Please note that this is a DEPLOYMENT Type of Action. Once the ARCENT Deployment site is selected from the drop-down, the TAC1 and TAC2 information will be auto-populated. In addition, the corresponding APOD and WPOD will be filled in.

If information needs to be verified, select ‘Save Request’. If the information is correct, select ‘Submit Request for Approval’.

25 Change Army DODAAC Select ‘Change Army DODAAC’
This is the most common type of Army DODAAC request received.

26 Change Army DODAAC The type of change will determine what elements need to be addressed. If you are changing the TAC 1 address of a unit, without changing the city/state, be sure to check the BBP information. Does the new location have a different BBP? Does the new location have a different BBP? If you change the DODAAC description, you will have to re-input the RAC.

27 Change Army DODAAC When the request is routed to the appropriate LOGSA POC, the changes to the DODAAC will be highlighted in yellow.

28 Realign Army DODAAC Select ‘Realign Army DODAAC’
Input the DODAAC that you are realigning and click ‘Submit’.

29 Mass Realign Army DODAAC Select ‘Mass Realignment of Army DODAAC’
Once you enter the UIC, the system will display a list of DODAACs that are currently assigned to that UIC. Enter the Current UIC.

30 Mass Realign Army DODAAC
Input the UIC you are realigning to and select the DoDAACs to be realigned.

31 Reinstate Army DODAAC Select ‘Reinstate Army DODAAC’
You only have 30 days to request reinstatement of a deleted DODAAC.

32 Inactivate (Delete) Army DODAAC
Select ‘Inactivate (Delete) Army DODAAC’

33 Request Status List The Request Status List is a listing of all submitted requests and the status of the requests. The requests that have been approved are highlighted in green. The requests that are still open are highlighted in yellow.

34 Enter BBP W91EKJ and click Submit.
DODAAC Query DODAAC Query There are a variety of query options available in AESIP. This is the DODAAC query screen. You can query an individual DODAAC or query for several DODAACs fitting a specified criteria. You can search by several fields and filter your results. You can perform a DODAAC Search by UIC. (Input the UIC in the UIC field). This will retrieve all DODAACs aligned to a specific UIC. You can also query by state/country code, zip code or APOD/WPOD (applies to OCONUS DODAACs only). Other fields available include CAGE/SUBCAGE code, contract number, Requestor ORG ID, Requestor ID, and Requestor Description. There is also a selection for FSN. This will pull all DODAACs associated with a specific FSN (ties to the billing address). In this example, we will query all DODAACs using BBP W91EKJ (Sierra Army Depot/SIAD). Enter BBP W91EKJ and click Submit.

35 DODAAC Query Select the CL VIII Unit Name Qualifier Code (DODAAC Description) and click Submit Export to Excel The search returned 11,432 DODAACs. We will filter these results to include only Class 8 DODAACs. The filter returned 50 DODAACs. These results can be exported into Excel. Click the Export to Excel button.

36 Select the fields to be displayed on the Excel spreadsheet.
DODAAC Query Select the fields to be displayed on the Excel spreadsheet. The available fields for Excel are shown. Click on the field(s) you wish to be displayed then click the single arrow to bring the field(s) over to the right. Click the double arrow to select all available fields. Once you have made your selection, click “Download Excel”.

37 UIC Query UIC Query UIC Query allows you to search by several fields to include TPSN, Component Code, Long Unit Description, MACOM, or Branch Code. Entering the first four characters of the UIC will pull the entire UIC series.

38 UIC Query Enter “W85R” Entering the first four characters of the UIC will pull the entire UIC series. The

39 APOD Query APOD Query will allow you to query by APOD or APOD Description, in addition to state/country code.

42 Other Service DODAAC Query
AESIP gets a feed from DLA Transaction Services (formerly DAASC) of the Other Service DODAAC Information. Air Force= E, F, and J Coast Guard= Z DLA= S-U and H GSA= G and 0-9 Marines= M and L Navy= Q, N, V, and R
