1 On the Home Page, you will always have a complete up-to-date overview of all your RFP Projects and their status

2 Once you have opened the relevant project that you are working on, you will arrive at the Project Overview page. This section gives you a complete overview of all the critical steps in the RFP Process and their status 1 st Step: Project Set Up

3 In this section you will enter data relevant to the project. Some of the information will be shared with suppliers – other data is for internal use only. Click on Company Details

4 Sample pages in Project Set Up… You can now work collaboratively with stakeholders of your RFP project and Project Leaders can assign read/write privileges

5 Sample pages in Project Set Up… The Project Schedule will be shared with suppliers, as it details the key milestones in the RFP Project using a reverse calendar. The buyer can amend the dates at any time during the course of the project and the system will automatically generate a message to all relevant suppliers.

6 Once Project Setup is complete you can move on to Select Suppliers. In this section all you have to do is select the suppliers you want to invite into your RFP process. ETABid have a comprehensive selection of suppliers in each market segment. 2 nd Step: Select Suppliers

7 You are now ready to build your RFP. The next step is to create RFP Overview, which is the administrative section. 3 rd Step: RFP Overview

8 The sub-sections in RFP Overview will provide suppliers with a summary of your company, it’s culture and the markets in which it operates. Also, you will share critical spend data which will enable suppliers to formulate their pricing proposals. You can also outline what the key requirements are for the project. 9 You can provide a summary of your travel policy…. Or using our attachments feature, you can upload a copy…

10 You are now ready to move on to the next step… 4th Step: Create RFP

11 Creating the questions for your RFP could not be easier. In this section all you have to do is open our industry-specific libraries and select the questions that you want to ask.

12 Just tick the relevant boxes…

13 There are several question-types: Table Free-Format Multiple Choice Yes/No

14 You can customise our web-templates by creating your own sections or questions.

15 You are now ready to send your RFP to suppliers. Just click the button and let the application do the rest…

16 Whilst the suppliers are compiling their proposals you can set the weightings for each section and sub-section.

17 Suppliers may need some clarification on certain aspects of the RFP. You will receive these via ETABid. Responding is easy, via the system. You can choose to answer suppliers individually or to make your responses visible to everyone. Step 5: Clarifications

18 You are notified by the application of any updates or developments, via an email to your inbox. You will be requested to visit the application and will be able to see which suppliers have requested clarifications or submitted proposals. You access messages via the ETABid Inbox

19 Step 6: Supplier Proposals You are now ready to review supplier’s proposals

20 Each response is scored by each of the buyer team stakeholders, who can add comments below each response to facilitate collaboration amongst the team.

21 Project Leaders can ask suppliers for further clarification for each response, as it’s being evaluated.

22 ETABid provides the buyer project team with detailed evaluation reports, summarising weighted scores and total scores on a supplier by supplier basis.
