2 StaffOnline Introduction In keeping up with new technology the StaffOnline has a new look and feel. This change will provide the user with new graphics for a softer look with easier navigation and more functionality. This presentation will cover;  Navigation  My Favourites  My Details  In Context  The Employee Calendar  Icons

3 StaffOnline Navigation The Login Screen  Enter Username and your password  Click on Login

4 StaffOnline Navigation The Home Page Hide/show the top frame Click on the hyperlink to go to the program Hide/show My Panel Expand My Details/Hide My Favourites

5 StaffOnline Navigation Menus Return to Home Page Logout of StaffOnline Click on Drop Down to select either My Requests or Current Vacancies

6 StaffOnline Navigation Menus Click on Drop Down arrow to display menus associated with Main Menu items Click on arrow to view and select programs associated with Sub Menu items

7 StaffOnline Navigation Menus User preferences is not used and is for System Administrators Click on the Print to print the screen you have on display (eg Payslips) Click on this icon to display the StaffOnline program you are viewing on the full screen of your PC

8 StaffOnline My Favourites Default Favourites You are able to maintain this list by adding or deleting menus to suit your requirements.

9 StaffOnline My Favourites Add to your Favourites  Ensure you have My Favourites open  Navigate to the program you want to add to your favourites  Click on the Add icon

10 StaffOnline My Favourites Delete from your Favourites  Highlight the program to be removed from your favourites  Click on the Delete icon

11 StaffOnline My Favourites View – Selecting Columns 1.Click on View 2.Move your cursor over Select Columns 3.Click on Action 4.Action column is now added to your view 5.To remove a column follow steps 1 to 2 and click on the column you would like to remove

12 StaffOnline My Favourites View – Selecting & Ordering Columns  Click on the View button  Move your cursor to Select columns and click on Manage Columns.  A pop up window will appear  To add a column to your View, highlight the Hidden column and select the single right pointing arrow.  To remove a column, highlight the Visible column and select the single left pointing arrow.  The double arrows will either add or remove all columns  To reorder your columns highlight the Visible column to be reordered and use the up and down arrows on the right hand side of the pop up window.  Click OK to save your changes

13 StaffOnline My Details The My Details panel provides you with access to your job/s (previous and current with CDU) and your team members Click on the drop down arrow to display the panel

14 StaffOnline My Details Displaying Team Members To display team members click on the ‘+’ icon

15 StaffOnline Exporting Data Export Your Team List  To export data click on the Export icon NOTE: To display and remove extra columns click on the Extra Cols icon You can export lists from my StaffOnline when you see the Export icon displayed on a program

16 StaffOnline Exporting Data Export If you receive this message when exporting your list, click on Yes

17 StaffOnline ‘In Context’  The ‘In Context’ function allows a manager/supervisor to view a team member’s StaffOnline details, for example, forecasting leave balance.  The details that a manager/supervisor is able to view is controlled by security settings

18 StaffOnline ‘In Context’ To be ‘In Context’ of a team member; 1.Highlight the team member in your team list under My Details 2.Click on the ‘Select’ icon

19 StaffOnline ‘In Context’ ‘In Context’ Display The My Details panel will display the ‘Viewing’ details of the employee selected.

20 StaffOnline ‘In Context’ ‘In Context’ Display Navigate to the required form (eg Leave Balances) and at the top of the screen the (In Context) is displayed.

21 StaffOnline ‘In Context’ Clearing ‘In Context’ Display To return to your StaffOnline details click on ‘Clear Team Member’, which is adjacent to My Details.

22 StaffOnline My HR Employee Calendar  The Employee Calendar displays your leave bookings (submitted and approved) and public holidays in a monthly view. These events are also able to be exported to your outlook calendar  The calendar is located under My HR, Personal Details

23 StaffOnline My HR Employee Calendar  The calendar will default to the current date.  You can change the month to display by using the Calendar tool and clicking the Display button, once you have selected a date.

24 StaffOnline My HR Employee Calendar Clicking on an event will display the details of that event

25 StaffOnline My HR Employee Calendar  Click on the Download link from the Event Details and it will open up a calendar invite  Accept the invite to add the event to your Outlook Calendar

26 StaffOnline Icons Icons  Selecting the ‘Export’ icon will extract the details you have on display into an excel document.  You can then save this document to a folder on your network  Selecting the ‘Expand List to Full Screen’ icon will display your list on the full screen of your PC.  Selecting the ‘Go Up’ icon will navigate within the team tree structure. Click to move the focus up one level in the structure  Selecting the ‘Go To Top’ icon will navigate within the team tree structure.  Click to move the focus back to the top of the team

27 StaffOnline Icons Icons  Selecting the ‘Show as Top’ icon will navigate within the team tree structure.  Click to change the lower level team member as the top of the tree.  Selecting the ‘Select Team Member’ icon will select the team member you have highlighted to view their StaffOnline details (known as ‘In Context’).  Selecting the ‘Historical’ icon will display your old CDU (terminated) jobs.

28 StaffOnline Icons Icons  Selecting the ‘Extra Cols’ icon will display additional columns for Position, Position Title, Start Date, End Date, Organisation Level, Organisation Level Description and Depth in organisation.  Clicking on this icon again will close the additional columns  Selecting the ‘Sort Ascending’ icon will sort the data in ascending order based on the column chosen to sort by.  Icon appears when the cursor is run over the end of any of the columns  Selecting the ‘Sort Descending’ icon will sort the data in descending order based on the column chosen to sort by.  Icon appears when the cursor is run over the end of any of the columns NOTE: The Name column takes into account the employee title when sorting

29 StaffOnline Icons Icons  ‘Table View’ will display your team list by hierarchy to be able to drill down through the team members. This is the default display.  Clicking on this icon will change it to the ‘Tree View’ display.  ‘Tree View’ will display your team list as a single list.  This display will allow you to perform searches for employees  Clicking on this icon will change it to the ‘Table View’ display.  ‘Search ‘ icon. Clicking on this icon closes and opens the search fields.  To search for an employee you can search by employee number or name using a wildcard search (%). For example, placing % before and after Cas (%Cas%) and pressing the Enter key on your keyboard.

30 StaffOnline Icons Icons  The ‘Clear Query’ icon will clear a query you have entered for a search  The ‘View’ icon - Clicking on the drop down arrow of this icon will display a list of functions  The list of functions will vary according to the view mode or program you are accessing.
