Making Schedule Changes Throughout the School Year This session will focus on ways to make schedule changes at various times of the year to avoid issues with the Gradebook, report cards, transcripts, and classroom link in PEIMS. What Are My Options?: –Start of school –Semester –Semester 2, after a posted Term grade. Effective Dates, Affect what?: –Student Schedules –Gradebooks –PEIMS Reporting

What Are The Options? – CY Effective Dates Add/Drop dates Modifying dates when necessary – PEIMS 415 Course Completion 410 Career and Tech Attendance 400 Student Attendance Making Schedule Changes Throughout the School Year

Effective Dates and Teacher Scheduling Teacher Transactions – Add/Drop transactions Effective dates should reflect the actual dates section was taught by the Teacher of Record. – Gradebook Teachers can access gradebooks for attendance and grade entry. – PEIMS Reporting 300 Records – Course section record. 305 Records –Teacher Assignment. – Assignment Begin/End Dates Effective Dates & Effects on PEIMS Records and the Gradebooks

Effective Dates and the Gradebook EA+ Gradebooks – Effective dates of a student’s schedule determines when they are visible in the gradebook. This allows the teacher to take attendance and enter grades for the student. ADD date – Should be the first day the student is in the class. DROP date – should be the first day the student is not in the class. Effective Dates & Effects on PEIMS Records and the Gradebooks

Effective Dates and Scheduling EA+ Gradebooks – Attendance Entry Attendance can only be entered for students currently enrolled in a course based on their effective dates. – Grade Entry Grades are entered for students currently enrolled in a course based on their effective dates. – PEIMS 415 Course Completion 410 Career and Tech Attendance 400 Student Attendance Effective Dates & Effects on PEIMS Records and the Gradebooks

Effective Dates and PEIMS PEIMS Reporting – 300 Campus-Course Section Record to identify the classes enrolled in by students and taught by teachers. – 305 Teacher Class Assignment Linked to 300 Course section record to identify the classroom information associated with the teacher’s class assignment. – 400 Basic Attendance Data Identifies the students in attendance for the school year. Effective Dates and PEIMS PEIMS Reporting Overview – 410 Career and Tech Attendance data record that indicates the level of CTE participation, transformed to CTE hours and then CTE (FTEs) for funding. The students transactions dates (begin and end) are used to determine the number of Voc Ed contact hours. The 410 build with the Calculate Contact Hours utility and running the Daily Register and building for PEIMS. Effective Dates & Effects on PEIMS Records and the Gradebooks

Effective Dates and PEIMS – 415 Course Completion Used to capture the course activity for the student – Student Begin Date – PEIMS Extract first checks for a Student Class Transaction Effective Date. If multiple add transaction records, will use first entry date. If none found, Extract will use Class Control Set Attendance Start Date. – Student End Date – PEIMS Extract first checks for a Student Class Transaction Effective Date. If multiple end transaction records, will use last end date. If none found, Extract will use Class Control Set Attendance Stop Date. Effective Dates & Effects on PEIMS Records and the Gradebooks
