1 District / Club Online Membership Database Extension (MDE) & Directory Martin Brocklebank

2 District 1080 has its own searchable membership database It is NOT linked to the RIGD and therefore Club Secretaries continue to update it as normal NOT RI Global Database

3  Can edit own data  Clubs can add / edit officers  Data is always up to date (as long as your details are correct)  No need to notify District  Responsible for your own and club data  Can produce printed information in many formats  Generic email addresses for club officers  Benefit to Clubs, Members & Officers

4 So how do you do it …. Only a summary!

5 IMPORTANT If you have your own Club website you still need to maintain this database ~~~~~~~~~~~~~~~~~  You do not have to use the Website RIBItemplate  The data is provided for the benefit of ALL members and officers  It enables visitors to the District Website to find your Club

6 CLUB ADMIN ACCESS This is NOT an Officer Role but a level of access given to the member(s) who will maintain the system ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ A club can have as many designated with this access level as they wish However it is recommended:  A minimum of two and max of four (depending upon whether using the RIBIt)  These members are responsible for maintaining the system  One of these should be the Secretary

7 There are only a few things to maintain  The Meeting Details  The Officer Details  The Member Details  A link to your own website if you have one this diverts any visitors to your website from District  add committees and past presidents

8  login in to rotary1080.org and the members page is accessed (Green)  click the “Search & Directories" link  search for something  look at the results  choose a report you want (next to "go") and see what you can get Simple “how to” Summary

19  It is only as good as the data you put in  All Members can use it - if they wish  Log in difficulty may initially occur  Email:webmaster@rotary1080.org.uk  please help by keeping your club up to date Caveat

20  Easy access for club members  Search for any combination of criteria  Refine results  Create reports for directories, name badges, lists, event listings, emails etc  Send email to results search  Create file for local or external printer 1080 online membership database
