Institute for Co-operative Education Industrial Experience Option (INEX) Institute for Information Systems Engineering Information Session Wednesday, September 25, 2019 9:30-11:30 a.m. -My name is Stefanie Corona and I am the Coordinator of Student Learning and Professional Development and Industrial Experience Graduate Programs at the Institute for Co-operative Education. I’m looking forward to sharing information about the Industrial Experience option (INEX) for undergraduate and graduate students. I have been an active member of the Industrial Experience team for several years.

3 *Overview* -Will provide an overview of INEX including the benefits, work term criteria, eligibility and policies, application forms, deadline and policies, international student policies, fees and additional resources. -This session is open to both undergraduate and graduate students.

4 INEX To add value to your academic program, the Faculty of Engineering and Computer Science (ENCS) in collaboration with Co-op offers you an opportunity to gain practical experience in a field relevant to your program of study -In 2017, we made significant changes to the eligibility requirements, policies and application procedures. If you have visited our website in the past and/or talked to friends about INEX, please make sure you have accurate information by reviewing the updated content on our website.

5 INEX versus Co-op Functions like regular Co-op programs with several exceptions: It has a different application process Graduate students obtain 9 academic credits once all work term academic requirements are completed satisfactorily

8 Formal Admission You are formally accepted into INEX and secure a work term through Co-op i.e. you complete the Career Fundamentals webinars, Work Term Prep Seminar and apply to jobs on COMPASS (our internal database). The deadline to apply for formal admission for a work term in Summer 2020, Fall 2020 or Winter 2021 is Monday, September 30, 2019 at 11:45 p.m. via the INEX webpage. -Not all students who apply will be accepted. -You were not formally accepted into INEX but secure a work term through your own job search. The deadline to apply for retroactive admission for a work term in Winter 2020 is Friday, December 6, 2019 at 11:45 p.m. for non-international students. We are currently accepting retroactive admission applications for Winter 2020 work terms ONLY via the INEX webpage. The deadline for international students to apply for retroactive admission for a work term in Winter 2020 has passed. There are no exceptions to this.

12 Eligibility and Policies
Registered in BEng or BCompSc in Gina Cody School of Engineering and Computer Science (Aerospace, Building, Civil, Computer, Electrical, Industrial, Mechanical, Software Engineering or Computer Science) In 2nd or 3rd year of program (i.e. have completed a minimum of 3 semesters of Engineering and Computer Science courses) Have and maintain a minimum cumulative GPA of 2.5 throughout the time enrolled in INEX. Cumulative GPA is an on-going calculation based on grades and credits attempted from the beginning of your degree until its completion.  Satisfied the Writing Skills Requirement by either passing the Engineering Writing Test or by completing ENCS 272 with a grade of C- or better -If you do not have the minimum cumulative GPA of 2.5 then do not apply. -If this is your first semester at Concordia, you cannot apply. Check the website next semester for your options moving forward.

13 Eligibility and Policies
Proficient in either English or French. Students who are weak in French must be willing to do the work term outside of the province of Quebec. Cannot take a leave of absence prior to the work term Cannot rescind an accepted job offer. A student that rescinds an accepted job offer will be immediately withdrawn and will not be eligible to re-apply to the program in a future admission term. May complete 1 work term only Cannot schedule a work term during capstone project

Should a student wish to take a course during the work term, it must be approved by their work term supervisor and Co-op Academic Director. The student's Co-op Program Coordinator must also be informed.  Will be enrolled by the Co-op office in the Work Term and Reflective Learning courses during the work term The Co-op office does not provide advising on academic matters. It is the student's responsibility for knowing the rules, regulations, policies and deadlines in the undergraduate calendar. The Co-op office is not responsible should students encounter any difficulties registering for academic courses, paying tuition and fees and/or applying for graduation.

Students must have a minimum of 9 credits available in their degree.  -If you have any account restrictions, this will prevent us from registering you in the ENCS 6931 course.

19 *Application Forms*

20 Application Complete the respective application form by Monday, September 30, 2019 at 11:45 p.m. Incomplete/late/ submissions will not be considered. You will not be able to modify your application after you have submitted it. We recognize that students eagerly anticipate the release of their decision and would like to know as soon as possible. All admission decisions (accepted or not accepted) will be sent via . As we receive record numbers of applications, we are unfortunately unable to reply to individual s regarding the status of an application. Please allow a minimum of 10 business days AFTER THE APPLICATION DEADLINE for the Co-op office to process your application. -Application is now completed online. No hard copies will be accepted at the Co-op office or via . There is no need to send any documentation whatsoever via ex. transcript or résumé. These s will be deleted. Focus on answering the questions on the application form carefully. -Make sure to review your responses very carefully prior to hitting the final submit button. You cannot re-apply or ask for your application to be deleted.

21 Application Forms -There is a separate application for undergraduate and graduate students. -Undergraduate application has 15 questions about background information, academic qualifications, language skills and willingness to relocate, which semester you are choosing to do your work term in, academic, professional and volunteer experience. -Graduate application has 13 questions about background information, academic qualifications, language skills and willingness to relocate, which semester you are choosing to do your work term in, academic and professional experience.

-If you are not proficient in French, you must be willing to relocate. This is one of the criteria that the admissions committee will be looking at very carefully. If you indicate that you are willing to relocate, this means that you must accept an offer ex. in Laval, Mirabel, South Shore or out of province. This is where many engineering and computer science industries are located. If you indicate that you are willing to relocate but then are opposed to this later on in the Co-op process, you will meet with the Director.

27 Your INEX Journey Participate in Career Fundamentals webinars via Adobe Connect and Work Term Prep Seminar Fall Apply to postings via COMPASS and through your own search, go on interviews and secure work term by deadline Winter Work full-time, complete Work Term and Reflective Learning or ENCS course requirements Summer -If you are accepted into INEX, here is a high level overview of what the next few semesters will look like. After being accepted, you will receive detailed information about all the mandatory requirements. -We anticipate that the majority of students will likely select Summer 2020 for their work term on the application form. If you select Fall 2020 or Winter 2021 for your work term, your journey will be slightly different which we will map out once you have been accepted. -Career Fundamentals is a series of mandatory webinars managed by the Student Learning and Professional Development team (Job Search, Résumé, Cover Letter and Interview Skills). Work Term Prep is managed by the ENCS Program Coordinators. -COMPASS is the internal database that students, staff, faculty members and employers use. The job bank contains postings from all the top employers in Montreal and is exclusive to Co-op and Industrial Experience students. -You must be physically situated in Montreal in the semester prior to your work term in order to attend interviews at the Co-op office and on-site with employers (i.e. cannot be on exchange or travel). -The Work Term and Reflective Learning courses for undergraduate students are Pass/Fail courses that are not for credit and do not count towards your GPA. Work Term course requirements include submitting a work term report which is assessed by your respective program Academic Director (an ENCS faculty member) as well as an employer evaluation form. Reflective Learning course requirements include contributing to discussion forums on Moodle about workplace topics. The requirements will be explained in detail once you have been accepted into the option. -ENCS 6931 is a Pass/Fail course for graduate students administered by ENCS and managed by Co-op. It is worth 9 academic credits and does not count towards your GPA. There are several assignments throughout the work term including an objectives proposal, monthly progress reports, a final paper (approximately 50 pages) and presentation. The requirements will be explained in detail once you have been accepted into the option. Fall

28 Work Term Criteria Paid Minimum 35 hours a week 12 to 17 weeks
If you are currently working at the company, the internship must be with a different department and supervisor You cannot be supervised by a family member. A graduate student must be supervised by an experienced engineer or computer scientist during the work term. The internship must be in an office setting with a physical address (remote/virtual/home-based company opportunities are not approved) -A job is not guaranteed.

29 International Student Policies
You must obtain a valid Co-op work permit through Citizenship & Immigration Canada. For more information, visit the Government of Canada website. You should consult the International Students Office with any questions -The Co-op work permit will be explained in detail once you have been accepted.

30 Fees Obliged to pay Co-op fees in addition to regular tuition and fees
Non-refundable Fees will begin upon admission and the last fee will be charged during the work term Undergraduate students pay 4 fees of $ in addition to their regular tuition and fees (i.e. 4 x $ = $766) Graduate students pay 4 fees of $185 in addition to their regular tuition and fees (i.e. 4 x $185 = $766 plus ENCS 6931 course) -This is to cover in part the administrative costs particular to Co-op.
