6 Impacts of SSA – Attendance

7 Attendance Snapshot Addition
The snapshot is scheduled to be open in April with clearance deadlines in June. This snapshot contains student level attendance information for each school.

8 Impact to School – Attendance Snapshot
SSA Errors Attendance fields will only pull errors if blank or not numeric Level 2 EOY and OC snapshots will not reference the Attendance fields Attendance Snapshot will lead to an additional set of Level 2 errors during the end of the school year

9 SSA – Funding Codes Retired Funding Codes
New Kindergarten Funding Codes 89 – Not Eligible, CPP/ECARE Allotment Met 83 – Part-Time, CPP/ECARE No longer an option for grade 007 Still an option for grade 004 80 – Full Time, Non Specific 91 – Full Time Online (single district) 92 – Full Time Online (multi-district) Updated Funding Codes Not applicable options for CSI schools

10 Impacts of SSA – Funding Codes
Check that kinders have appropriate funding code in SIS: 80 for full-day students 82 for half-day students Check that no students have the 89 funding code CPP/ECARE Schools can now use one CPP and one ECARE slot for full day preschool Schools can use two ECARE slots for full day preschool.

12 Participation - Delay Codes
The addition of 4 new codes mostly related to Not Valid options The removal of 17 delay codes Modification of the definition of 8 delay code definitions Delay Codes Added 58 – Not Valid – Additional evaluations or special evaluations needed 59 – Not Valid – No personnel available for evaluation 60 – Not Valid – Staff missed the timeline 61 – Not Valid – Other__________(provide explanation in exception request)

13 Impact to School – Delay Codes
Coding option “61 – Other” now requires an exception be requested, so more details on the reasoning for the delay will need to be provided to CDE for reporting purposes. SIS/PMS updates are anticipated to be implemented this fall First opportunity to utilize these options will be for December Count *See Special Education Participation File Layout for the Delay Codes available within each delay field.

14 Staff Assignment – In Field Status Field
06 – HQ via 24 Hours is no longer a valid code

15 Impact to Schools – In Field Status
Schools will need to update all staff previously coded as HQ via 24 Hours to best applicable option. Starting point files have all of the 06 – HQ via 24 Hours options highlighted to ensure people update.

16 School Discipline Collection
The Attendance file has been removed completely SASID/LASID was added to the remaining 3 files and made optional to assist with accurately reporting discipline information by student. While CDE is making SASIDs/LASIDs optional, CSI encourages schools to utilize this field streamline troubleshooting of errors.

17 Impact to School – School Discipline
Student-level discipline data will be made available to data contacts if the SASID/LASID field is completed Depending on how IC/PS sets it up, there may be a way toggle this field on when needed (for troubleshooting) but remain off by defaults. As more information is made available, CSI will share out additional guidance and welcomes school feedback!

18 TSDL Collection: Dates and Deadlines
One of the longest collections – kicks off at beginning of SY (Aug 16th, 2019) and closes at the end of the SY (July 9th, 2019) Initial Training/Guidance will be released start of school year on August 16th, rather than mid-year Course Code initial submission due September, 17th

19 Impact to schools – TSDL Dates and Deadlines
One of the longest collections – Impact: Schools will want to be sure they are staying on top of this collection. As it spans the academic and calendar year, it can be easy to let this collection fall by the wayside. Mark work calendars with all collection deadlines and dates. Initial Training/Guidance August 16th, Impact: Schools will have the training necessary to start the collection process as early as possible. Course Code initial submission Sept. 27th - Impact: Schools will need to perform Course Code audits in their SIS in advance of the Course Code initial submission. Plan for lead time.

20 TSDL Collection: Collection Requirements
All 6-12th grades need to be included SIS Course Audit to confirm alignment with current SCED codes (SCED version 3 & 4) No requirement for reporting for Summer School No summary report required

21 Impact to schools – TSDL Collection Requirements
All 6-12th grades need to be included - Impact: For the prior SY, many schools did not need to report for this collection as it was on a one-year hiatus. Nearly all CSI schools are expected to report this year. SCED codes version 3 & 4 - Impact: SCED codes 1 & 2 no longer valid. Schools need to check SISs to confirm used of SCED 3 or 4 codes. Missing and incorrect SCED codes are the most common errors on Course Code files. No requirement for reporting for Summer School – Impact: Summer School reporting will be required for the TSDL collection. No summary report required - Impact: One less thing to get done!

Plan accordingly for new fall deadlines to support TSDL collection More student data collected = potentially more time in error resolution process Most common errors: Course Code file: Missing or incorrect SCED codes Course Enrollment Invalid grade and course completion code
