2 Don’t panic So you’ve got to plan an event!
Every event can be successful when you plan carefully, ensure you give yourself efficient time and that you have people to support you. Don’t hit the panic button just yet!

3 Superhero Not every superhero can do it on their own!
Make sure you form a team to help you! Don’t be scared to ask for help

4 Define the goal in you event
What is your event about? What’s the purpose? What do you want your end result to be? How are you going to achieve it? Is the event realistic? Be specific!

5 Timeline of events A well thought out timeline is essential to the success of your event, set yourself deadlines. This timeline will give you perspective to how your planning is going so far!

7 Communications Ensure you meet regularly with your event planning team, this will help iron out issues. Make sure that everyone involved understands the goals of the event and that they are committed to deliver that goal. Ensure you define each person’s responsibilities and that they understand them. Create a Facebook page or LinkedIn event for your event. Social media will do a lot of the work for you! Create checklists for the tasks that need to be done. Review your timeline each time you meet so you can update it.

You need to establish your budget from the beginning Your budget doesn’t have to define your event or interfere with your goal Get organised before you get started: Keep track of all expenses as you go along Forecast your expenditures for the event ahead

10 sponsorships Sponsorships are a great way to raise money, in-kind services and products for your event Develop a valuable sponsorship plan (how that money will benefit you and the sponsor) Make a list of potential sponsors based on what you need to accomplish your goals Explain the goals of your event to the sponsor

12 Sponsorship – be careful
Be careful who you chose to sponsor you, not every company is friendly. Don’t get multiple sponsors, you could end up under delivering to them. Ensure that you commit to the terms of sponsorship

13 Picking a venue? Consider your events goal – does the venue fit?
If you are selling tickets, will then venue attract your target audience? Is the venue accessible? Is the venue available? Does the venue offer flexible dates? Is the venue size appropriate for the event? How much will the venue cost? (is there hidden costs) Is a deposit required? Do they have cancellation fees?

14 Advertising and promotion
Advertising is very expensive! If you have a budget use it wisely. You need to consider who is your target audience, that’s who you need to advertise too. Our best advice would be to use social media – It’s FREE Facebook, twitter, posters, s, press release and word of mouth are all free ways to advertise your event!

15 Promotional materials
Decide whether it is worthwhile spending some budget on physical promo materials including dates, logos and the event. All promo material should look the same to ensure there is no confusion. Promo materials are Things Like: Adverts, posters, flyers Invitations Signs and banners

16 After the event Make sure all invoices have been paid
Send thank you notes to participants, volunteers and sponsors Hold a meeting with your team to review the event, look at the successes and the negatives to improve your next event.
