1 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
One of the most important things you will have to do as District President is inspect the Auxiliaries in your District! You are required by the By-laws to make one official inspection of each Auxiliary in your District during the year. However, if you can attend more than one of their meetings a year, they will know you are interested in helping them and knowing that you are concerned about them.

Remember, a District President makes an official “Inspection” of an Auxiliary, while the Department President makes an official “Visit”. You are going to see if they are in good working order and will utilize the current year’s form provided by the Dept. President This is a time to get to know your Auxiliary Presidents, make a connection, meet the members and see if you can provide guidance and assistance as needed.

3 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
You should be in contact with your auxiliaries on a monthly basis. Either by phone or an unofficial visit. You have the ability to check each of your auxiliary’s membership stats and reporting This allows you to monitor their status, assist with membership if needed, ensure that they are doing reports and putting those into the on-line reporting system.

4 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
You must be knowledgeable of the By-Laws, the various officer positions and their roles, proper protocol for running a meeting and basically you are the go-to person for your Auxiliary Presidents. If there’s a question you’re unfamiliar with, you are to go to your Dept. President or the Chief of Staff. Schedule your inspections with each Auxiliary as soon as possible, preferably before the end of October. This gives you time to visit, assess if there are any issues that need addressing, help them with membership, etc.

5 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
Know approximately what each Auxiliary’s current membership percentage is and always encourage them to get their 100% as soon as possible. Offer suggestions for help. Promote participation in all the programs and for small Auxiliaries especially, have a list of ideas of what they could do in each program to be participated. When talking to small Auxiliaries try to make suggestions they can handle for their size.

6 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
As you travel around your District, it is most important that you are up to date on information. Therefore, in addition to your By-laws and Ritual, you should have: The current Auxiliary Inspection form (hard copy or electronically) A copy of the most recent General Information and/or Department President’s Newsletter Copy of the National and Department Program Books Extra report forms The most recent copy of the National Magazine If possible, a copy of Roberts Rules. You should also have read the most recent promotional materials (and take the information with you) that have been given to you. All this information will help you assist the Auxiliaries in your District. If you are better informed, they will be better informed.

7 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
The current Auxiliary Inspection Form should be found on the website under Department Forms. Answer all questions on the inspection form completely and accurately. Review before your first inspection so if you have any questions as to what the questions mean, you can ask. You’re there to ensure that meetings are run according to the By-laws and rituals. Ensure that all parts of the meeting are being completed. Ensure that all topics are being discussed.

8 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
You MUST physically see the Secretary’s books. Check for signatures on all pages by at least 2 trustees indicating that the minutes have been audited, check to see that there’s a copy of the last audit in the book, etc. (per the audit checklist provided by the Dept. President). You MUST physically see the treasurer’s books (checkbook, treasurer’s reports, bank statements, savings statements, etc.) You are looking to see if ALL these documents have been signed by at least 2 trustees at the time of Audit and that the audits have been completed in the time required.

9 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
Sit with the Treasurer, President and Secretary after the meeting to check their books and provide any immediate feedback you can so that it’s fresh in your mind as to what you saw. 10 DISTRICT PRESIDENT’S INSPECTION RESPONSIBILITIES
You need to have a minimum of one chairman per program at the District level to speak on the programs during the District meeting. If a program chairman is not at the meeting, the President should be speaking on the program not reported by the District chairman. Utilize the program materials which are put out by the Department chairman.
