Executive Strategies Making Justice Information Sharing a Reality Breakout Session 1:30 – 2:45 pm Executives: Strategic Planning Principles, Effective Funding, and Oversight Information sharing initiatives are complex, multi-agency programs typically spanning multiple levels of government. As such, they require formal organizational structure and standing, explicit governance structure and processes, innovative funding, oversight, and ongoing planning to achieve success. During this panel session, learn how one information sharing initiative succeeded in tackling these issues. During the presentation, interactive discussions and audience participation you will have the opportunity to explore these issues in detail to assist in your own information sharing initiative.

3 Executive Sponsor must…
…champion the project. ...be mindful of the organization’s overall priorities, goals and mission. …provide the necessary budget and other resources. …balance the needs of all stakeholders. …provide proper monitoring and efficient project management. …accept responsibility for problems escalated from the project manager. Executive Sponsor is a critical part of project management, usually the senior member of the project group and often the chair. In smaller organizations (or small projects within larger organizations) the executive sponsor may also be the project manager but typically the project sponsor will be at a senior executive level in the organization (often at or just below to highest level) who is responsible to the organization and external stakeholders for the success of the project. Where the role of executive sponsor exists as a separate role the person in that role rarely becomes involved in the running of the project. Their role centres around: Championing the project Obtaining budgets for the project Accepting responsibility for problems escalated from the project manager. Signing off documents such as the business case and project initiation document Due to the problem solving needs of the role the executive sponsor often needs to be able to exert pressure within the organisation to overcome resistance to the project. For this reason the executive sponsor will ideally be a person with great executive/political authority and natural authority.

8 Vision What is the end state you are pursuing?
Can it be expressed in terms understood by all partners and stake holders? Is it realistic?

9 Viability Is there broad consensus in support of your initiative
Are there likely to be sufficient resources Are all partners and stake holders committed to the initiative.

10 Collaboration Inclusiveness – Does every stakeholder have a voice at the table. Avoid Technology Dogma – There may be more than one right way to do things.

11 Sustainability Legal Status – Does the project exist as a matter of law. Stable Funding Source – Grants, Bonding, Tax Revenue, User Fees Upgrades and Enhancements – What next?
