2 Sample ERAS Application
Go over the application and explain that we have the manual application on the website ERAS – application asks for NRMP# if you are participating in NRMP match, but you will not be able to get this information until on Sept 15, since that is when NRMP registration open. You can still submit your application in ERAS by Sept 15 without the NRMP number and go back in to enter this information once you have it. Also, program directors rank students by AAMC ID not NRMP#, so you will still be ranked without this on your application.

3 Documents MSPE LoRs Medical School Transcript Photo Personal Statement
USMLE Score MSPE: goes over your entire medical school career LOR: I sent an about this and hopefully you’ve already started working on getting these Transcript: OSA will upload this for your in ERAS Photos- I already sent an about the photos, but some of you still don’t have this uploaded on medscope ever if you took the photo back in February. Just make sure you reach out to Photo and Graphics about this and they should be able to upload it for you. The most recent photos have white background compare to your first year photos that has blue background. One thing that you have to remember for each of your application just make sure that you assign the document to each program ERAS will transmit these documents to the programs to which you apply, according to your document assignment. Make sure to assign your documents to programs. Your personal statement(s), LOR’s, USMLE transcript, and photograph are assigned to programs according to your instructions.

4 Your Responsibilities
Research residency programs and contact them for information on deadlines or requirements. Confirm they are participating in ERAS 2020 Print or LoR requests and distribute them to your letter writers. Track your documents through the Documents section. Upload your ERAS photo. Keep your profile up-to-date, request updated USMLE scores and make changes to program selections. You will have to go back into ERAS to release any new USMLE scores that come in. Pay all fees. First you have to make sure that you research your residency program to make sure that they are participating in ERAS. If not OSA will work with you to see if you can apply outside of ERAS but most of the programs should be participating Make sure that you request your LORs as soon as possible since some faculties take a little longer to get this to you Track your documents in the documents section in ERAS to make sure that everything is coming in If anything changes, you can go back to ERAS and make the change. The biographic information can be updated. If you go and take the second STEP exam, make sure that you go back to ERAS and ask them to release your score to the program and All USMLE scores are available on 9/15. After that, you must go back into ERAS to release.

5 OSA’s Responsibilities
Upload transcripts on September 15th If 3rd year clerkship evaluations are not in by this date, we will automatically upload your transcript when the evaluation is submitted. Since this falls on a Sunday, we will have them in by September 13th. Upload MSPE’s by October 1st If there are new evaluations that come in after October 1st, we will allow ONE re-upload if your MSPE. Mentorship We have to upload all of your transcripts into ERAS by Sept. 15th, since that falls on a Saturday this year, they will be uploaded on Sept. 14th If you don’t have any 3rd year evaluation that came in, we will make sure that we re-upload your transcript. So basically, we upload everything by sept 15th only if you have your 3rd year evaluations in. we do not re-upload transcripts because everything will be covert in your MSPE Re-upload of MSPE: If you have important evaluation coming in, wait until that comes in and send us an and we will re-upload The most important thing is mentorship, so Dr. Parker, Martinez and Lamos are here for you and their doors are always open. If you ever feel like you’re very stress by the whole application process, just come in and they will make you relax. They’ve gone through this and have been doing it for year. So you are in good hands

7 Personal Statements We recommend that you create your personal statements in a text file. The way you create a text file is click on 'Start' menu on the desktop, under 'All Programs' click 'Accessories', click 'Notepad'. Change the font to Courier New 10 and type your text. Although you have up to 28,000 characters you can use, we suggest that you limit your personal statement to words. Do not use any special characters such as bold, italics, underlines, &, ñ, µ etc. Your document will be displayed in plain text. Make sure that your personal statement is in text file, because if you copy and paste it with any special characters ERAS won’t pick it up and the program might not be able to read it You may create more than one personal statement, but be certain to assign the correct statement to the correct program. If you are applying to ENT, they require a paragraph at the end specifically addressing why you are applying to that particular program so you will need to have a specific personal statement for each program to which you are applying.

8 Personal Statements Feel free to have one of the OSA Deans and department member read it and give you feedback. Go to ‘Documents’ tab and select the ‘Personal Statement’ tab Enter a title in the ‘title’ field. Copy/paste into the content field Click ‘Save’ Carefully review your personal statement and click ‘OK’ * You will be able to edit your personal statement prior to assigning it to a program. This is how you upload personal statement in ERAS

9 Letter of Recommendation (LORs)

Here is add letter of recommendations. Make sure that you spell everything correctly and put in the correct tittle and department of the letter writers since you cannot redo this part

11 Letters of Recommendation (LoRs)
When you go in here: click in on add new and if you need to download or letter you can pick the option below and hit confirm. ONCE YOU PUT LORs IN THERE YOU CANNOT DELETE THEM. So, make sure that you double check them over and over because once you go to apply to program and you assign the wrong LOR this might be very confusing, so please make sure that you pay close attention to that OSA cannot view the letters and are not allowed to screen them and tell you which to use. You have the option to edit information for any letter of recommendation that is not yet confirmed for upload. Once you edit the information, then select the LOR and click confirm. Once its confirmed for upload, you will not be able to make any changes to it

12 Letters of Recommendation (LoRs)
The title/department is too long to fit in the field given? What do I do? You may need to abbreviate. My letter writer has several titles? Which one do I put in ERAS? If your letter writer has several titles, you should use the title of their highest rank. Should I wait to submit my application for all of my LOR's to come in? Do not wait for your LORs to come in before submitting. Submit on September 15th, and the letters will come in when they come in. What do I do if two people sign the letter? Use the highest ranking faculty member. How will I know when LoR is uploaded so that I can assign it to programs? you will receive notification in the MyERAS center for each LoR that is uploaded by your LoR authors. And a copy of this notification will also be sent to the address listed in your MyERAS If you can, please make sure to submit your LORs before Sept 15th, because the site might crash on that day due to the volume on people trying to use it at the same time

13 Letters of Recommendation (LoRs)
In order to assign LoRs to programs, LoR Authors must be finalized in the Documents/LoR tab. LoR selections will be locked upon assigning to and applying to a program. You will not be able to unassign it, so be careful! Once the maximum number of four (4) LoRs have been assigned to any given program that you applied to, additional LoR assignments cannot be made during the application season An applicant may only change their selection prior to applying to a program. Once a letter has been uploaded, it cannot be edited or deleted. Letter writers can upload over an older letter if there is a mistake. Programs will only be able to view the most recent version of an LoR. Make sure that you hit the finalized button

14 ERAS 2020 Application Fees OSA can help figure out the right number of programs to apply to for each student in our MSPE meetings. More is not necessarily better. Example 1: 30 Emergency Medicine programs [$ (10 x $14.00) + (10 x $18.00)] = $419.00 Example 2: 20 OB/GYN programs [$ (10 X $14.00)] + 10 Family Practice programs [$99.00] = $338.00 Example 3: 23 Internal Medicine programs [$ (10 X $14.00) + (3 X $18.00)] + 7 Radiology programs [$99.00] = $392.00 Example 4: 12 Internal Medicine programs [$ (2 X $14.00)] + 10 Emergency Medicine [$99.00] + 8 Family Practice programs [$99.00] = $325.00 Example 5: 3 ACGME-accredited Family Medicine programs [$99.00] + 3 AOA-accredited Family Medicine programs [$99.00] = $198.00 Additional Fees USMLE Transcript: $80 (assessed once per season) COMLEX-USA Transcript: $80 (assessed once per season)

15 National Resident Matching Program (NRMP)
Provides an impartial venue for matching applicants' preferences for residency positions with program directors' preferences for applicants. Each year approximately 16,000 U.S. medical school seniors use the program. The NRMP accommodates couples entering the Match. Let the OSA Deans know you are couples matching!! Visit the couples match page. Registration opens on September 15, 2019. There is a $30 charge per program ranked over the first 20. NRMP- Is a service that matches you guys to the programs. They have algorithm that they run before match day to try to match you all If you are a couple matching – the NRMP also accommodate this, so make sure that you go to the residency application manual to look at the information for couple matching page and let your MSPE writer know as well since they can help you with this

16 SF Match (Ophthalmology) www.sfmatch.org
Coordinates the PGY-2 appointments for ophthalmology training programs. The match is timed to allow applicants to know their PGY-2 placement in ophthalmology before they submit their rank list for PGY-1 choices. Applicants must also register with the National Residency Matching Program (NRMP) for their PGY-1 placement. SF Match’s Central Application Service (CAS) distributes complete applications to programs electronically. Ask if anyone is doing ophthalmology match, if not then skip the slide # of CAS Distributions Fees 1 - 10 $60 total $10 per program $15 per program $20 per program 41 or more $35 per program

18 Urology Match http://www. auanet
Match registration is accepted through December. The match programs have the option to participate in ERAS. You will find a list of accredited U.S. urology programs on their website. Note program application deadlines, but do not wait until the last minute, as they can change. If you are offered an interview by a program, respond immediately, as interview slots can fill quickly. The program you match with generally provides pre-urology training. Applicants are no longer required to register with NRMP to obtain the PGY-1 year of training. Ask for any urology match as well It’s an early match that go through December Make sure that you take note of all of the programs deadlines

19 Urology Match Timeline
Summer to January- Register and check program requirements and deadlines. Fall to January – Interview. December to January 3 – Submit your preference list. January 18 – match results are send to applicants, programs and medical schools. Although seniors participating in AUA match are no longer required to register with the NRMP to obtain the PGY-1 year of training, participating in ERAS is on individual program basis. Check with ERAS for information and a list of participating programs. ”.

20 Military Matches We suggest you contact the military recruitment representative for the branch of military you are interested in matching in. The U.S. Air Force, Army, and Navy do not participate in the NRMP but make their own appointments directly. Since the number of military appointments available is often insufficient for the number of candidates applying, students may need to participate in the NRMP simultaneously to protect themselves. Army – Elkridge MRC, Navy – Medical Officer Recruiter, or Air Force – Health Professions Recruiter, National Health Service Corp. – *For all others students should contact OSA directly* Dr. Matt Tulis can also assist with military match students. Dr. Tulis can help with this matching program If you are selected for a military residency, you will start working at a military health care facility as an active-duty physician, and you will be paid as a captain in the Army and the Air Force, or as a lieutenant in the Navy. Keep in mind that your time in a military residency will not count toward your service commitment, but it will count toward your eventual promotion, pay longevity and retirement.

21 Residency Application Timeline
May 15 – Your CV must be on file at OSA June - August - Create your Profile and MyERAS application, select programs of interest, assign all documents to each individual program. (Do this as documents are available instead of waiting for everything to be in for a given program) Beginning of September - Review MSPE for errors, deadline for photo. September 15 - Certify and submit application. You should begin applying to residency programs and programs will begin contacting ERAS. (Everything should be in except maybe one or 2 LoRs). Register with NRMP. October 1 - MSPE’s released to programs (LoRs should be received prior to this date) December - Military Match results are available January 11 – SF Match (Ophthalmology) results available Mid - January– Urology Match results available Late February– Deadline for registration and rank order list certification March 16* - Match results are available, Supplemental Offer and Acceptance Program (SOAP) begins March 20– Match Day! *Projected SOAP & Match Dates Hopefully everyone has already submitted their CVs because this is what the MSPE would need to help write your MSPE You will have access to ERAS by June 7th Beginning of September – I will send you a draft version of your MSPE for your to review before we upload the final one in ERAS. This way, you get to see the full documents and if you have any questions Sept 15th- you have to also register by the NRMP MSPEs are released to programs on October 1 We will let you know the deadline for registration of the rank order. It’s usually in February but we don’t know the date yet
