1 Installation Status & Operational Readiness Process
Integration process – IMT update Installation Status Operational Readiness Process

2 Integration Management Team Overview
IMT Organization Integration Area managers are points of contact for changes and schedules Changes are documented in a Design Change Request (DCR) form Signatures from Integration Area Managers and System Managers assures acknowledgement and communication across systems Project Office final approval – assures funding path is known and approved DCR to CF provides clear direction that action on change is approved and can begin BCR to be submitted by group performing work LUSI Integration Manager newest addition to IMT

4 LCLS Facilities Overview
Construction process Turner Construction Company (TCCo) is CMGC and manages the construction site until Beneficial Occupancy (BO) LCLS CF manages TCCo Electron system facility (BTH-NEH) BO is scheduled for May 20, 2008 Photon system facility BO (X-ray tunnel-FEH) is scheduled for August 20, 2008 Prior to BO TCCo is responsible to provide life safety to their facilities (lights, fire sprinkler, training, etc) At BO all facility life safety systems will be operational LCLS Installation process prior to BO LCLS subcontractors and LCLS/SLAC staff doing work in the TCCo construction zone require the following: Approval by the LCLS Installation System Manager (me) Approval by the LCLS CF System Manager Work tasks included in TCCo/LCLS 6 week look-ahead schedule ESH-375 and TCCo site specific training TCCo permits as needed SLAC permits as needed After BO, facility will be under CF control & all of the above criteria remain

5 LCLS Facilities Overview
Transition of Facilities Turner Construction Company (TCCo) manages the construction site until Beneficial Occupancy (BO) LCLS CF manages the site after BO and prior to handoff to LCLS for installation & commissioning Support of facilities equipment will be handed off to the SLAC Facilities Department LCLS has assigned Area Managers to installation areas (refer to Install org chart); Building managers are defined, need official handoff Installation of technical equipment is organized by the Installation coordinators and approved by the Area Managers in all scenarios; Work Authorization Forms are used to initiate and approve work Safety Systems will be checked by RP and ASD prior to operation; Operations activities managed by the ASD

6 Installation Status (as of 5/1/08)
BTH West & BTH Installation of LTU stands in BTH West – 95% complete Installation of LTU stands in BTH – 95% complete Installation of magnets onto stands Start in BTH West – 5/5/08 Start in BTH - 5/20/08 – use “co-occupancy” access if necessary Installation of cable plant started 3/15/08 Undulator Hall Installation of Undulator Pedestals Start hole layout at tunnel C0-Occupancy (CO) – 5/5/08 Installation of pedestals follows hole layout Start installation of undulator girders after cables installed in trays above girders Start Cable Plant work in UH at CO – 5/12/08 This is a change in plans being implemented on 4/28/08, will delay LTU checkouts but not on critical path

7 Installation Status (as of 5/1/08)
E-beam Dump Installation of Dump stands Start at CO - ~ week of 5/12/08? Contract awarded, NTP pending approval of submittals Installation of Dump magnets Job walk on 4/14/08, bids due on 4/25/08 – no bids received! 2nd round to begin 5/1/08 Installation of Dump Pit Steel Job walk on 4/14/08, bids due on 4/25/08 – one bid received! Qualifying subcontractor FEE/NEH Installation work delayed until FY09 LCLS work planning 2-3 weeks allocated after subcontractor award for submittal review and approval before NTP (notice to proceed) Tailgate meeting held daily 7am, organized by the Area Manager, attended by all project managers/UTRs/SLAC workers who are doing work in the field

8 Installation Status (as of 5/1/08)
Start of installation at co-occupancy has slipped from the plan in some areas - no impact on project float to CD-4 This has resulted in sliding work to the right and stacking tasks Release of subcontract work has taken longer than expected causing some NTP delays Impact from delayed installation start is absorbed by the float days between completion of the Beam through Undulator and FEE ready for beam tasks Mitigation will require shift work, will review in the detailed installation meeting Co-occupancy work proceeding nicely LCLS installation meeting held weekly - Tuesdays LCLS/TCCo meeting weekly - Fridays, tasks being placed on a common schedule TCCo/LCLS “OAC” meeting weekly – Thursdays Results: very good communication with TCCo, LCLS Installation Managers, and LCLS subcontractors to know what is being planned in the field

9 Installation Planning – detailed schedule
Detailed tasks in schedule for close monitoring D-B task to install stands D-B task to install magnets MFD task to install vacuum hardware

10 Installation Planning – detailed schedule
Schedule currently at ~1700 tasks Dump area detailed in Sections for mech/vac – details for controls, network and checkouts

11 Installation Schedule - snapshot
Support stands are 90% installed in BTH 5/1/08 UH Support Pedestals install to start 5/5 Cable Plant installation in UH pending EO of SB3.1 and UH - ~5/12/08 Undulator Girders are shifted to allow cable plant to be installed first

12 Installation Schedule
Float between Commission beam through Und and first light has been reduced to 3 days due to shifted installation start Float to CD-4 still 108 days

13 Operational Readiness Process
LCLS will start commissioning electrons through the LTU, Undulator and Dump in early 2009. Readiness to bring electrons into a new facility requires a myriad of tasks and approvals, which are the same as those used to commission the LCLS Injector. Formal approvals, checks & balances SAD, ARR, BAS, PPS/BCS certified ASD has appropriate procedures & training to search, secure, and operate the facility Facility readiness Area and Building Managers defined Support of LCLS facilities transitioned to Facilities Department and personnel identified

14 Operational Readiness Process cont
Technical Systems readiness Components installed to specifications and verified: alignment correct, shielding installed, Components ready for beam: LCW on, flows verified and checked per specifications; operations of components checked, i.e. limit switches & motions checked, isolation valves functional; MPS verified, Magnets power tested, fields verified, etc Computer system and Software: installed, verified to be operational, functional checks with accelerator operators Deliver Beam Start up Plan reviewed and in place Radiation Protection department will take field surveys Special conditions defined as needed (no access to FEE until measurements verify design, for instance) Electrons into LTU

15 Summary 2008 Installation Planning Operational Readiness process
Installation of technical systems has started, working well with co-occupied areas Delayed start may require shift work to maintain schedule Operational Readiness process Preparations underway LCLS has full support of the laboratory X-rays delivered in ~1 year from now
