5 How to access Policies You will then be brought to the “Policy Health” page. Here you will find overview information on “Almost Due Policies”, and your “At-Risk Policies”. Your “At-Risk Policies” is designed to show you the policies most violated by your employees, simply so that you can see which policies need the most attention. ©2015 Convercent. 6 How to access Policies From the “Policy Health” page, you can access your policy library by clicking any link stating “Go to Policy Library”. A link also appears in the right sidebar. ©2015 Convercent. All rights reserved.

7 How to access Policies This will then bring you to the “Policy Manager”. From here you can access any policy in any of the three states, and create a new policy or policy set. The search bar allows you to find specific policies quickly and with ease. ©2015 Convercent. All rights reserved.

8 Published: Finished and relevant policies.
How to access Policies The filters in the search bar allow you to choose what policy type you are looking for. You can change “policies” to “policy sets” if you’re searching for a certain policy set. You can change the second filter between three options. Draft: policies that are not yet ready to be published and viewable to participants. Published: Finished and relevant policies. Archived: Policies that are no longer relevant to the organization. You can change a policy’s classification between these three at any time. ©2015 Convercent. All rights reserved.

11 Creating a new policy This will bring up the policy creation wizard. The first page is where you will create your policy title, policy description, and classify your policy. After doing so click “Next”. ©2015 Convercent. All rights reserved.

12 Creating a new policy You will then be brought to the relationships portion of the wizard. On this page you will select what you wish the policy to be related to. This includes “Addresses Behavior”, “Supporting Courses”, and “Values Supported”. These are most used in policies addressing remediation, though other categories are available, and no relationships are required when creating a policy. Click “Next” to continue. ©2015 Convercent. 13 Creating a new policy You will then be brought to the document portion of the wizard. On this page you can upload a file or attach a link to your policy. When uploading a file, do so by clicking “Select file”. This will bring up a file viewer. Once your document or link has been selected, click “Next” to continue. The check box allows for a wet signature. ©2015 Convercent. All rights reserved.

14 Creating a new policy Next, you will select people who have access to change the policy and from them choose the policy owner. This is done by searching for active users in the “Add People to the Policy” text field, and then selecting the relevant person. The policy owner is selected from a dropdown menu compiled of all people granted access. To continue click “Next”. ©2015 Convercent. All rights reserved.

15 Creating a new policy Next, you will select “Pertinent People”. Pertinent people’s attestation to the policy will be tracked. Though, unlike campaigns, they won’t be notified automatically through the app. Once you have selected all pertinent people, click “Next” to continue. ©2015 Convercent. All rights reserved.

16 Creating a new policy Finally, you will confirm your new policy. Every detail you have provided is visible from this page, so that you can verify the details of your new policy. ©2015 Convercent. All rights reserved.

17 Creating a new policy Once you have reviewed the information for your new policy, click “Submit” at the bottom of the form. This will create your new policy as a draft. Publishing a draft is covered in the next section of the PowerPoint. ©2015 Convercent. All rights reserved.

When you first access an issue from the issue manager, you will see this page. You can edit the description of your policy by clicking the “Edit Description” link. You can also upload new versions or links to new versions in the “Policy Document Upload” box. You can access archived versions and your attestation history by navigating the tabs. ©2015 Convercent. Farther down the policy details, you will be able to select the option to add a disclosure field upon attestation. This allows the participant to disclose anything when they attest to the document. You can also upload a draft document or link. ©2015 Convercent. All rights reserved.

When you select the box allowing for a disclosure field, you will be able to view the disclosure within the “Employee Scorecard”, which is pictured here, or in the “oData” data pull (Reference our “oData” education package) and in a “Campaign” recipient record (Reference our “Campaign” education package). ©2015 Convercent. At the bottom of the policy details page, you will see “Open Tasks” and “Progress”. “Progress” allows you to track the pertinent people associated to the policy status of attestation. “Open Tasks” allows you to create and manage tasks associated to the policy. ©2015 Convercent. When you select to “Add a new task” you will be brought to this window. From this window, you will create the new task, including who the task is assigned to. This task is then managed by you as to its completion. The person the task is assigned to is notified of the task when it is created, and on the chosen reminder date. ©2015 Convercent. The final portion of the policy details page is the sidebar. The sidebar allows you to change the policy owner, the policy status from draft to published or archived, the policy category, people with access to the policy, and people denied access to the policy. You can also view recent activity within the policy on the sidebar. ©2015 Convercent. All rights reserved.

The bottom of the sidebar is where you can manage the relationships the policy has, so if a new version of the policy addresses a new behavior you can change that in the policy without creating a new one. You can also manage pertinent people, so that you can add or delete people whose attestation is tracked against the policy, as well as create or delete tags for the policy. ©2015 Convercent. 27 Creating a policy set Now that you know how to create policies, and understand modifying and updating them, you can group your policies into sets. Select “Create a new policy set” from the policy manager. ©2015 Convercent. All rights reserved.

28 Creating a Policy set Next, you will be brought to this window. From this window you will title your policy set, and add a description for it. ©2015 Convercent. All rights reserved.

29 Creating a policy set Below that on the page is a listing of all your policies, organized by policy status. From this list you can choose all policies you want to be included in the policy set.
