STARFISH EARLY ALERT PILOT SPRING 2018

2 PURPOSE OF TRAINING: Starfish Early Alert is a retention tool that allows you to recognize students who are doing well and to connect students with appropriate resources such as tutoring. The following slides will walk you through the steps you can follow to carry out these actions.   In Early Alert, you can recognize students who are doing well and electronically send them a compliment by giving them "kudos".   You can alert students to class specific concerns such as attendance or missing assignments. Refer students in need of extra assistance to an appropriate area by assigning an electronic "referral".   You can carry out these actions in a "Progress Survey" that allows you to review and apply kudos and referrals at a designated time within the semester to all of your students within a class at once. You can also individually apply kudos and referrals to any students you wish at any time throughout the term (as opposed to the designated Progress Survey time frame).

3 PURPOSE OF TRAINING: Definitions:
Progress Survey: A Progress Survey allows you to review and apply kudos and/or referrals at a designated time to all of your students within each class at the same time. Individual Kudos/Referrals: You can apply kudos and/or referrals to individual students at any time throughout the term. Closing the Loop: The Starfish system will send you weekly notifications. You will be able to see which of your students attended tutoring, based on your referral. This is known as closing the loop.

The Spring 2018 pilot will focus only on referrals to tutoring, counseling/tutoring for our STEM students and counseling/tutoring for athletes in MNHS classes.    Early Alert has many additional features that we hope to take advantage of in future terms. For our spring pilot, we are keeping the focus simple and narrow to introduce you to the platform, provide feedback on what you do and don't like, and give us suggestions for the future.    Please direct all feedback to: Cindy Anfinson Mathematics Nancy Moreno Manager, Orientation & Follow-Up Services

5 SPRING 2018 ALERTS The alerts you can issue are:
STEM Tutoring referral Math Tutoring referral Athletics Tutoring referral Counseling Referral for STEM Academies students Counseling Referral for Student Athletes Showing improvement kudos General Kudos Attendance reminder alert Class Progress alert for incomplete/missing work or low scores

6 SPRING 2018 IMPORTANT DATES
For Spring 2018 the Progress Survey will be open from February 20 through March 13. You can issue individual alerts throughout the spring semester. Starting the week of February 20, you will receive a weekly report on students you have referred to tutoring.

7 TUTORING REFERRAL WORK FLOW
Instructor completes Progress Survey assigning kudos or referral to tutoring. Student receives corresponding notification. Student attends tutoring (Future plans) Tutoring is able to view all referrals to their areas real time “Loop” closes after student attends tutoring and faculty receives weekly reports. (Future plans) If student does not visit tutoring, retention staff reaches out to student to assist.

12 LOGGING IN TO STARFISH The next screen is the “Single Sign-On Portal” page Click on “Starfish Early Alert”

13 FACULTY MAIN PAGE UPON LOGGING INTO EARLY ALERT, THE SCREEN WILL LOOK LIKE THIS: YOU SHOULD SEE YOUR NAME IN THE TOP RIGHT CORNER OF THE SCREEN

14 PROGRESS SURVEYS UPON LOGGING IN, YOU WILL SEE THE PAGE BELOW. IF THERE IS A PROGRESS SURVEY TO COMPLETE, IT WILL SHOW AS INDICATED BELOW AS “OUTSTANDING PROGRESS SURVEYS” – CLICK THE LINK

15 PROGRESS SURVEYS FROM THE STUDENT LIST THAT APPEARS, ASSIGN STUDENTS KUDOS OR REFERRALS BY CLICKING THE ASSOCIATED BOX IN THE APPROPRIATE COLUMN TO THE RIGHT OF THEIR NAME. IF PROMPTED ADD COMMENTS. STUDENTS WHO YOU DO NOT WISH TO ASSIGN A KUDO OR REFERRAL TO CAN BE LEFT BLANK

16 PROGRESS SURVEYS Click on “Submit” when finished
ONCE YOU CLICK SUBMIT YOUR SURVEY WILL BE MARKED COMPLETE AND YOU WILL NOT BE ABLE TO RE-OPEN IT. IF YOU CANNOT FINISH THE ENTIRE SURVEY IN ONE SITTING, CLICK ON “SAVE AS DRAFT” (BUTTON ON LEFT WITHIN CIRCLE ABOVE). ONCE THE PROGRESS SURVEY HAS BEEN SUBMITTED AND/OR IS NO LONGER AVAILABLE, YOU CAN APPLY INDIVIDUAL KUDOS / REFERRALS– SEE NEXT SLIDE

17 INDIVIDUALLY ASSIGN REFERRALS/KUDOS
SELECT REFERRALS OR KUDOS FROM THE TAB OPTIONS AT THE TOP LEFT CLICK IN THE BOX TO THE LEFT OF THE NAME OF THE STUDENT(S) YOU WOULD LIKE TO GIVE A REFERRAL OR KUDOS TO

18 INDIVIDUALLY ASSIGN REFERRALS/KUDOS
FROM FACULTY MAIN PAGE, CLICK ON “ STUDENTS” AND THEN “ MY STUDENTS” IN THE “CONNECTION” FIELD/DROPDOWN, SELECT THE DESIRED COURSE(S) IN THE “TERM” FIELD/DROPDOWN, SELECT “ACTIVE”

19 INDIVIDUALLY ASSIGN REFERRALS/KUDOS
COMPLETE REFERRAL OR KUDOS AS APPROPRIATE AND SAVE STUDENT WILL RECEIVE (FUTURE PLANS) TUTORING AND RETENTION STAFF WILL BE ABLE TO VIEW REFERRAL AND ENSURE STUDENT IS HELPED
