Enhancing MARC Records
Step-by-step instructions for adding a 586 tag to an existing MARC record.

Important! It is important to make sure that you have already captured the MARC record of the item you are adding a 586/Award tag to prior to following these steps. For directions on how to do this, please see the 658 Tag PowerPoint Tutorial or the Cataloging Tutorial.

Step 1 There are two options to opening UnicornECOLE by SIRSI. Option one is to click on the WorkFlows icon on the desktop (see image). Option two is to open the UnicornECOLE by clicking on the start menu, then clicking on programs, then clicking on SirsiDynix, and finally clicking on WorkFlows 3.2J.

Step 1 Continued Option 2: Open the UnicornECOLE by clicking on the start menu, then clicking on programs, then clicking on SirsiDynix, and finally clicking on WorkFlows 3.2J.

Step 2 Make sure that your IP address, port number, and workstation (Name) are entered correctly and then select OK.

Step 3 Enter your User ID and PIN.

Step 4 After entering in the User ID and the PIN, hit the OK button to access the cataloging program.

Step 5 After hitting the OK button you will be redirected to the home screen for the cataloging program. Please Note: Always make sure you are in the Lib1 tab when cataloging.

Step 6 Click on the down arrow in the Cataloging tab to bring down the options in the category’s box.

Step 7 After clicking on the down arrow in the Cataloging, the screen should look like this with the cataloging tab pulled down.

Step 8 Click on Modify Title and have item ready to catalog.
*Please note: Only one window can be opened at a time. 3

Step 9 First, enter the ISBN of the material you are adding a 586 tag to into the “search for field.” Then, make sure you are searching the “Item ID” in the index. Finally, click search. Important: If a record does not show after entering in the ISBN try the title of the item. If the item still does not appear then chances are you do not have the record captured and will need to go back to the 658 tutorial on capturing a MARC record.

Step 10 Your screen should look something like this with a description of information about the item your are modifying. If you see a screen similar to this, click modify at the bottom of the screen to add the 586 tag to the MARC record.

What you’ll see after clicking the Modify button
This is the MARC record for the item that you want to enhance. Everything you save will become part of the permanent record. Be confident but careful. Double check your work as you proceed through these steps.

Step 11 Step 11: The 040 tag – Cataloging Source
This is the tag that tells who created, modified and/or enhanced a tag. Add your LC/NUC code here. For example, the Reinberger’s (RCLC) code is “|dOKeU-LI”. (The “|” is made by pressing the key above “enter” while shifting. Be sure to check capitalization and numbers vs. letters.) The code should appear how it does in the picture above at the end of the 040 tag.

Step 12 Put your cursor in the box with the number that comes just before 586 and right click on your mouse so that the option to place Add Field After appears in the box as shown in the picture. Scroll down to Add Field After and left click your mouse to add a new field. Please Note: The number before 586 may vary. Place the cursor in what tag comes numerically just before 586.

Step 13 After clicking the Add Field After option, an box will appear as indicated by the arrow. Please Note: In the picture 586 is already typed in. 8 Enter in the empty box the 586 tag as shown above in the picture. Once you enter in 586 tag in the box, left click the mouse in the blank field area. This is where the award information will be entered. You can also hit “tab” twice to enter information in the blank field area.

Step 14 Type in the title of the award, insert a comma, then the year the award was given for the item. For example, the item in the image above is a “NCSS Notable, 2007”. Other format examples are: Caldecott Medal, 1979, Printz Award, 2008, Newbery Honor, 2006

Step 15 For items that have received multiple awards, repeat steps for each award. When finished, advance to step 16 of this PowerPoint.

Step 16 After entering in the award for the item, go ahead and save the record by clicking on the save button (see image above). After clicking Save, the enhancing of the MARC record is now finished. Click the Close button indicated by the arrow and continue on with your cataloging duties.
