Allison Keck, Advisor Orientation Center Ray Lambert, Bursar Mikelle Porter, Benson Campus Director February 18, 2017 Journey & decision to create/ implement online orientation Increasing demands with limited resources (time, funding, human resources) Same exposure/ consistent info Questions before developing online orientation Steps of development/ implementation

2 Journey to GTC’s Online Orientation
Evaluate & assess needs Research, review & discuss Propose solutions Develop & implement Launch Evaluate & assess needs Research, review & discuss (gather information, identify needs and answer questions before developing online orientation) Develop & implement Launch - Demonstrate GTC’s Online Orientation

3 Orientation, Advising & Registration
Fall 2010 – Fall 2015 “New Student Orientation” Format Time commitment Staff to Student Ratio Materials Budget Access 10FA – 15FA used the same orientation, advising and registration model Describe: Time, number of students/ staff, ratio, format (presentation delivery, lab registration), content, staff demands (packets, check in, facilitating, travel between campuses), materials/ supplies (packets, snacks), not required for all students, static online option for distance students or others, access only within registration periods, Degree seeking student only participated in NSO, etc.

4 Evaluate & Assess Identify needs & existing resources
Research and review View online orientation demos Consider questions Diverse teams were charged to evaluate effectiveness, resources, strengths, identified areas for improvement and opportunities (using data from students surveys and feedback from faculty and staff) and propose solutions for an innovative and engaging solution to the colleges orientation experience Identify needs and existing resources Research and review (other technical colleges/ best practices) Viewed online orientation demos Questions to consider

5 Identifying Solutions
Questions to Consider Early engagement Connect with all students Easy, on-demand access Utilize technology Interactive experience Effectively utilize resources Offer consistent information Track and report progress Colleague integration Questions to Consider How do we engage students early How can we offer easy access to students (on demand, 24/7 access, online anytime from any device) How can we use technology/ how can the orientation be interactive How do we reduce human and financial resources How can we offer consistent information to all students, regardless of academic goal or declared major Can we track and report progress and ensure an online orientation integrates with Colleague

6 GTC’s Solution Develop Online Orientation
Face-to-face advising and registration Research vendors Approval from Presidents Cabinet Secured vendor through RFP process Our research directed us to exploring how an outside vendor could offer the tools, expertise and resources and time necessary to develop and implement an online orientation experience for students effective for the spring 2016 registration cycle. Not wanting to eliminate a face-to-face experience for advising and registration, the team developed a proposal to develop and implement an immediately accessible online orientation experience that offered consistent and relevant information to incoming students before they arrive on campus for advising and registration. Upon approval from PC, and securing a vendor through the RFP process, Advantage Design Group and GTC representatives began working in March 2015 to launch our on demand orientation, 24/7 effective October 20, 2015.

7 Develop & Implement Vendor experience Orientation Demonstration
Tracking/Reporting Lessons learned Student response Mike logs into GTC4me (show how it is accessed from notification or have the orientation already open?) Review home page, student name, etc. Show Ray’s slide (not started/ grayed out/ locks) Return to Mike’s session, review the following section/ slides/ videos Rachel’s welcome video (Welcome, Slide 2) Non-video content (Section Smart Start Slide 5 and Slide 11) Quiz Video (Section Smart Start Slide12) Checklist (all students, customizable) Alerts (student specific) Resources (GTC determined links & Items of interest, “I” button) PASS registration ADA Format Discuss ADG experience (aggressive timeline, college support, time commitment, content development, ADG on-site, phone consults, support, test and launch) Reporting Lessons learned Student Reaction Note: I think the discussion does not warrant PPT slides, only Ray’s orientation slide and then discussion can follow similarly to the MTC meeting.
